I believe that this is correct behavior on the part of OCLC.  When you
download the Direct Produce category they disappear because you downloaded
them.  They will re-appear in your message files as Shipped or Unfilled at
some later time.  (Judith confirm?)

There is a discepancy between the method used by ILLME  and Clio for
converting time of day.  This happens to result in a 3 hour difference for
those in the East.

We will provide a means of correcting this offset in the near future.

ILLME 1.0 will cease to work on April 9th.  If you are a Clio user, Clio
2.0 is required to operate with ILLME 2.0.

I would just caveat this to say that if you are set up so that your patrons
can use the Direct Request feature in OCLC, you might want to check on OCLC
to see if there are any in the Direct Produced category that you have not
seen before you download them through ILLME into CLIO.  This is only if you
keep a paper copy on hand until the item arrives.  Otherwise, the record
"disappears" into your database and you might not know about it until the
item arrives and you go to get the paperwork and can't find it.  Of course,
if you are paperless, "go for it."   I usually do a quick check of Direct
Produced before I download and print screen for any nonmediated requests
that are in that category because I still keep the paper request files.

I apologize if this is unclear.  These time changes are murder for the
first few days and I don't have enough caffeine in my veins yet.

It is correct that when you download the Direct Produced and Online Produced
message file categories using ILL ME Ver 2, they are 'removed' from the
category so that everytime you download, you are getting new records.  You
can choose to print these, your borrowing records, when you download them
just like any other message file category.  The next time any of these
borrowing records will appear to you will be when they are updated to
Shipped, Conditional, Retry, Expired or Unfilled.  They do not show in
Pending or In Process because those are records coming to you as a lender.

The only records in the Direct Produced category will be those that passed
through the ILL Direct Request and were produced by the system unmediated by
any staff.  Any requests that come in to Review and are produced are
displayed in the Online Produced message file category.

There is another report available on records processed using ILL Direct
Request (IDR).  It is an electronic report called the "OCLC ILL Direct
Request Reports" and may be downloaded from the Product Services Web page.
You do not have to sign up for it, it is automatically created when you use
IDR.  The report is generated daily and retained for 14 calendar days.

I have been having problems with sending renewal requests to the
Microenhancer.  I just sent 4 renewal requests and none of them

of null."  I saw a post last week saying that this is because there
must be a date in the Requested due date box.  But I have been
putting in dates!  I use either 28, 30 or 42 (which ever puts the date
closest to 28 days after the current due date).

I have two recurring problems/annoyances
that I hope someone can help me take
care of.

1. Clio keeps printing out second recall
notices for a couple of  items that have
actually been returned. Clio status is
returned but the OCLC status is
"recalled." The transaction has been
completed on OCLC so the original record
no longer exists. The OCLC status on
Clio can't be edited. Short of deleting
the record, how can I get the notices to
stop printing?
2. Not all lending libraries send out
invoices in a timely way. Some invoices
come 6-7 months after the material is
supplied and the records updated on
CLIO. Many records are archived before
the invoice arrives and can't
subsequently be updated to reflect the
amount paid on the invoice. How do other
libraries handle these "rogue" records?
Do I need to (gulp) start keeping a
paper file of the pesky little critters?

Any insight that can be provided will be
gratefully considered.

We are still trying to archive our records. Thus far we have set the =
"maximum record locks per connection" to the largest allowable value on =
our  Novell server setting. I believe we set it at 20,000.=20

Then I went into our borrowing records and brought up all of the renewal =
requests, (which we have been problems getting to load onto OCLC). I then =
changed the few (3? ) that had  incomplete request dates.=20

I am now getting the error message "Error in Archive button click 3624 =
couldn't read the record, currently locked by another user."

But there are no other users on the network.=20

Try checking by going into SEARCH BORROWING REQUESTS

Make the first line read Due Date is earlier than   *your date*
Click more choices and click and
Make the second line read CLIO Status equals RecLoan
Click more choices and click and
Make the third line Date Overdue Sent is earlier than *your date*

This should get you close -- we don't generate overdues through CLIO so I'm
really fuzzy about how that third line should be configured.

We have been concentrating on getting everyone an operable Clio 2.0 system
before the end of this week.  The difficulties of this have been
exacerbated by the profusion of different existing Microsoft Office
environments and the incompatibilities discovered in the process of trying
work within them.  I think we are closing the gap.

At this point we have delivered Clio 2.0 to over 500 libraries in 47
states, the District of Columbia and Hong Kong.

There are still a few customers who have not ordered the upgrade.  We have
tried to contact everyone through this list and the ILL list. We have also
sent a number of messages directly to those 'among the missing' where we
have an email address.  However, some addresses no longer work because of
staff changes or email server address changes.

Early next week we may receive a flurry of 'urgent orders' as the few
remaining customers discover that ILLME 1.0 no longer works.

After we deal with that influx of orders, if it occurs, we will turn our
attention to getting everyone up to a common version, probably 2.0b, and
then begin addressing areas of improvement.

I've seen several postings regarding the error message in CLIO2 that
occurs when you are trying to send an e-mail request.  The error message
reads as follows:

"Error in SaveRec: 2465: Clio: Version 2 can't find the field 'PATRON
ID'
 referred to in your expression. You may have misspelled the field name,
or the
 field may have been renamed or deleted."

Did anyone discover a reason for this error message or a fix I can try?

According to our statistics, as of yesterday, Wed April 5, we still had 336
libraries using ILL ME for Windows Ver 1.0 to process almost 60,000
commands.   That's really waiting until the last minute, folks.

 On Sunday April 9, 2000 ILL ME for Windows Ver 1.0 will no longer function
with the OCLC ILL service.  All users must migrate to ILL ME for Windows Ver
2.0 prior to April 9 to  prevent an interruption to their processing.

As posted earlier:
On April 9, 2000, ILL ME for Windows Ver 1.0 software will cease to function
on the OCLC ILL service. This is not just an end of support for questions
about the product, but an end of functionality.  As of that morning, users
who logon and try to download or update using ILL ME Ver 1 will be
automatically disconnected from the ILL service.

For Downloading, this disconnection will display as a Logoff error and the
Download Function Report will display the error message: "Download session
logged on but could not process requests."  For Updating, a Logoff error
will display and the Update Function Report will show  all updates in the
'Records Remaining' column and the Error Log will state: "No response from
Online System -> TIMED OUT."

All ILL ME users will need to be fully operational with ILL ME for Windows
Ver 2.0 by April 9, 2000 to avoid interruptions to their workflow.  It is
recommended that you complete all ILL ME Ver 1.0 updating prior to
installing ILL ME Ver 2.0.  The data files created by the two versions are
not compatible.

CLIO users may contact Perkins & Associates to inquire about CLIO Ver 2
which is compatible with ILL ME for Windows Ver 2.0.

ILL ME for Windows Ver 2.0 has been available at no charge for downloading
since September 7, 1999.  It is also available at no charge on the OCLC
Access Suite Ver 3.0 CD-ROM.  To download the software or to order the

different departments, we lost some of the constant data for branches.  In
particular when we print our lending book straps, we not longer get the info
on the top left side of the sheet (from the:) and at the bottom (return
to:).  We are having to stamp our address in these two fields.  The strange
thing is that on the top right hand side, it does give our address in the
return field just above the ship to field which we are using as an address
label for mailing.  I've tried everything I can think of to get our address
back on the lending straps.  Have you got any ideas that might help us?

1) Have any of you modified your web form so that users only have
   to enter their demographic information (i.e., name, address, etc.)
   one time?

2) Similarly, do any of you have a web form that makes certain fields
   required (e.g., book title) or that provides a default for certain
   fields (e.g., date not needed after)?

3) Are you using locally developed software to mail the form data to your
   Clio account, or are you using the WebBot stuff that is in the form Larry
   provides?

4) Any glitches in the automated transfer to OCLC?

5) Any other reactions to the product?

can anyone help?
this pm, i tried to move the download report into clio with an error
result. i noticed the clio session was set at 4 hrs. earlier than the
download report. finally savescreened each individual request and moved all
into clio by that method. our systems guru is out of town for the week!!

we are starting to use ClioRequest (CR). I have sent the webform from
cliosoftware a few times, but CR has not grabbed it like it should have. I
have not had a chance to take a close look at the problem yet. Maybe the
fields in the form provided in the sample form don't match the form in CR. I
don't think it is an e-mail problem. The form is sent correctly to the
e-mail box.
 However, there is one thing that CR does beautifully: You can order books
offline through MANUAL ENTRY if you have the OCLC #. It uses the profiles
and holdingspaths already set up for FSILL (ILL through FirstSearch). It
works great: you enter title, patron name, status, and OCLC # and check
"Direct to Profile". You go to SUMMARY and SEND. ClioRequest logs on the
OCLC and places the order. The order shows up in the Direct Request category
in message file.

Under the borrowing menu when we attempted to update to receive copy, we
get an error message that reads "The record for the library symbol has not

Here's a dumb question about archiving and compacting.  I've done this once
since acquiring Clio a short time ago and renamed the old database
cliodata.old and the new database cliodata.mdb - just as it says in the
manual.

My question is: when compacting a second time, should you still rename the
database cliodata.old?  Will it write over the old one?  Someone
recommended that I name it cliodata2.old so as not to lose data in the
first old file.  Is this making any sense?  Can anyone straigten me out?

When you compact your database, a new file is created called cliodata.new.
Rename the cliodata.mdb file whatever you want. It could be cliodata.old or
cliodata1.old or whatever. Then rename cliodata.new to cliodata.mdb. So, when
you compact again, another cliodata.new will be created and nothing will be
overwritten. It is not the cliodata.old file that is created each time.

Sorry to keep harping about this, but...
I'm finding that using CLIO to print off the incoming requests often
results in the affiliations not printing or only partway printing.  I,
personally, have indicated LVIS in my borrowing notes field, because that
DOES print.

However, for all libraries that are not on my reciprocal list or whose
requests don't show LVIS on our forms, I go into the NAD.  I'm finding that
quite a few libraries show an LVIS affiliation in their general NAD but not
in the Interlibrary Loan NAD (for those libraries that have more than one
record).  It might behoove the ILL departments to make sure ALL of their
affiliations show in the ILL NAD.  I hate the thought of requests getting
turned down because lending libraries don't have the time to check multiple
NADs.

Just a thought.

We are trying to print an ALA form in Clio version 2 and we get this
message:
Error in print click 2501 The OpenReport action was cancelled.
You used a method of the DOCmd object to carry out an action in Visual
Basic, but then clicked cancel in a dialog box.
Fore example you used the Close method to close a changed form, then clicked
cancel in the dialog box that asks if
you want to save the changes you made to the form.  We never did this. What
is happening and
how do we get an ALA form to print?

Sorry if this has been addressed before but, I didn't remember reading about
this particular message

these standards, Clio can communicate with other systems and tell them why

Lars' note above is correct.  In particular, the system Clio 2.0 needs to
communicate with is Microenhancer 2.0.  This program also uses this
standard set of 'Reasons', so Clio has to as well.

I am having a problem with my savescreen file.  For no apparent reason, the
file was moved from its directory path, and I cannot find it.  This has
happened before, and I have been able to locate it by doing a "find file" --
and move it back, but now it is gone completely.  I don't know why this has
happened or how to fix it.  When i did my "find file" this time, I found a
couple of "screens" files, so I tried to copy and rename one, which works
once, but then the file reverts back to its previous format.  This is really
strange.  Does anyone out there ave any idea of what to do to fix this?

I'm looking for ideas to generate mailing labels preferably at the point of the
YES update in CLIO.  Currently, we are printing bookstraps at this point.
However, the addresses appear to be coming from the NAD record and are often
unusable.  We have also tried to print an invoice but we have the same problem
with incomplete address information (and yes the address information is correct
in the Library database).

Hello all,

Well, we updated to ILL ME 2 and Clio 2 a couple of weeks ago and all
went pretty smooth - everything seems to be working.  Haven't had a
chance to explore all of the new features in Clio yet, but hope to soon.

One thing I'm curious about: Is there any way in Clio to bring up a
borrowing request and see the history information, i.e., the reasons for
no that the potential lenders in the string responded with?  If not,
this seems like it would be a pretty nice capability to have.

Hello everyone,
        Im Kenny from UMBC. We are having a huge problem with Clio. On
occasional book records (this only happens with YesLoan Books) we get an
error to the effect of the following:
        Error in accept click 3821 (?) Currently locked by another user.

The problem is, no other users are using Clio at that time. I have tried
repairing the database and deleting the lock file and installing Clio
2.0c, but all of these have failed. Can anyone give me a solution? This
has been going on for almost a month now, and I have gotten only the three
above solutions over and over again. HELP!

We are using CLIO v.2 here at UVa, and have just noticed a disturbing problem.  We will update
the status of a request from WILL SUPPLY? to SHIPPED in CLIO and send the updates to the
ILLMEWINv.2.  Then we update OCLC using ILLMEWIN, but the status is not changed in some records!
This seems to be random, but the occurrences seem to be increasing.

Has anyone run into this problem since starting with the new CLIO or ILLMEWIN software, and is

problems contact him via email and he will tell you which update to
download. Right now he is just hitting those of us that have problems.
They are working on an update to release that will work for all.

I haven't noticed that it's any faster, but it does include a field for

I wish they would "hit" us.  We've been stuck with a
dead-in-the-water Clio for months.  As I've said here before, we've
tried new Clio CD's, new computers, new everything.  We still can't
transfer lending requests from ME into Clio, and it's been quite a
while since we were able to get a response from the Clio gang on
this.  We're hanging on to the hope that Endeavor's support folks
will be able to get it to work; however, from what I've heard from
people who attended the Endeavor meeting in Chicago last month, it
sounds like they'll still be relying on the handful of folks in New
Jersey for support for the ILL module formerly known as Clio.

FYI:
to those unhappy with the response time in clio-you may want to try closing
down your desktop applications. we did, and the change in speed was nothing
short of miraculous. it's an inconvenience which, hopefully, will be soon
remedied. ALSO, we have found that if we have opened Clio, subsequently we
cannot print from other programs/applications. we must shut down the
computer, restart, print whatever is needed and THEN open Clio. all-very
inconvenient-but hopefully soon going into a folder marked "upgrade
glitches."

When we installed CLIO 2.0 version the computer would not run this
application due to the Microsoft Office software version we operate. So our

Hello,

First, let's get the versions straight.

2.0  -  original release.  Slow, some bugs reported.

2.0a - a little faster, some bugs fixed.  Works only with service release 1
for Access97 or on computers that do not have Access97 installed.  Works
for most in that category.

2.0b - same code as a.  Works with service release 2.  Works for most in
that category.

2.0c - same code as a.  Requires that Access97 (either service release 1 or
2 or none) be installed on any machine where it is run.  As far as we know,
works for everybody in that category.

2.0d - fixes for locking problems recently reported.  In test, not yet
released to anybody.

There are no other versions.  (2.0g mentioned in a message must have been a
typo.)

2.0d is the version that we hope to get everybody up to as soon as we can.

If you are having difficulty and believe one of these versions might help,
please send me email (dotty@cliosoftware.com) and I will send instructions
for downloading.  (Tell me what version of Clio you currently have, and
what version of Access, including service release, is running on your
machines.)

OK, now the speed problem.

The amount of memory on your computer is a factor.  More is always better.

The suggestion to close other applications that are running is a good one.
Try it and see if it helps.  If it does, think about "what you really need"
versus "what you like" to have running.  Remember that each operation in
Clio, like updating a record, may be slowed down by what else is running.
If you use another app frequently while you are using Clio, then it may be
worth it.  However, if you only use another app once in a while, you may be
willing to wait the few seconds that it takes to load it when you need it
in order that the Clio updating not be further slowed down.

It is an individual decision - no two sites are alike  - there is no one
answer for everyone.  Your work flow determines the best answer for you.
Just be aware that you pay for the convenience of having everything just a
click away.  You may not chose to pay the price.  Or maybe you are willing
to pay the price.  It's up to you.

We are testing with a few sites another idea that might speed things up.
It involves changing the Clio database itself from a 16 bit dB to a 32 bit
dB.  We are not ready to recommend this to everyone yet. There are also
improvements to the code which reads the ILLME file which will be
implemented at some point.  I mention these so that you will know that we
are trying everything we can think of.

Hi,

Thanks to all who responded privately off the list.  It's encouraging to
know that Clio is working well in many places.

Two hints for speed improvements were mentioned - both have been sent to
the list previously, but may need to be repeated.

1.  Make sure your virus protector is turned off (or disabled)! It makes a
world of difference
in several installations.

2.  Try compacting the database occasionally.  Some folks find that the
slowness disappeared. (This is a suggestion for anyone who hasn't compacted
recently and has been running for awhile.)

of Texas Southwest - OCLC symbol IHS. Everytime we type IHS it converts to
HIS and get the following message:

I have turned the spell check off in Access and Word (I think). Any other

It happens to me too...all the time. I'm at IHS! To correct the problem, =
if you can, turn off  the "replace as you type" feature in Access 97. =
You'll find it under "Autocorrect".

We discovered this also, [OTU] was the culprit, it kept changing
to [OUT].

We are using Clio 2.0 and today we have experienced a problem that I
haven't seen before. First, we go to "Borrowing", then "Get New OCLC
Requests", then "Get Savescreens". It appears to be doing something and
normally takes a couple of minutes. Now, if I try to abort it with
CTRL-ALT-DEL to stop from the tasklist, it says "Clio 2.0A" not
responding. I also experienced this message when trying to compact the
database. I was able to get a new file, but when it took a long time and
ended up being corrupt.

Has anyone experienced anything like this?

Hi,

I would like to know if Clio 2.0 is supported under windows 2000
Professional? Do I have to get a different version of Clio and which one
for it to work?
