This is a mystery that I've never seen before in CLIO.
We went to update a record this morning (it's an item that only had ONE
OCLC request...I didn't do another workform from an unfilled or anything)
and the lending string that CLIO showed is NOT the one on the workform.  In
fact, the lending library's code wasn't anywhere in the string at all, nor
were *any* of the other libraries.  I double-checked this and it's not that
we entered an incorrect number or that the record doesn't match.  Where in
heaven's name did Clio grab this mystery lending string from?  And how the
heck do we put the correct library in??? (we tried typing it manually, and
Clio gave an error message saying that wasn't one of the choices).

Good afternoon,
I'm about at my wit's end at figuring out the best way to word the notice
for our users when their materials come in.
So I figured I'd poll other users and see what you do.  Our problem stems
from the fact that there isn't quite enough characters in the email
notification for all the blather we want to send out.

Here's the sitch.
We hold ALL books for all users at Circulation.  We mail photocopies for
faculty, staff and 2 departments of grads.  All others are held at the desk.
Because CLIO captures the title, whether it's a book title or the journal
title (*not* the article title, which would make more sense to the
users...), and because patrons never remember what the heck they ordered,
we have to put in some sort of notification about whether this is a copy or
a loan.  Of course, the easiest way is to say that if it has a due date,
it's a loan (excepting those few libraries that insist on updating copies
as loans and that throws EVERYthing off...) and if it doesn't, it's a
copy.  But then we have to tell them where the item is.  And that's where
the problem comes in.  And of course, people show up 3 seconds after the
email goes out and want their stuff.  So we have to tell them to not come
here immediately as well.  And that's just too much information for the
small amount of text allowed.

Every time I change it so it makes a bit more sense, someone comes in and
says "I don't understand this message."  So I figured maybe someone out
there in Clio land might have some ideas about how to word something that
needs so much information.

Suggestions?

We are in the process of implementing multiple email notices which I believe
would address this problem.  A number of users have mentioned the idea of
having a different notice for different pickup locations and/or situations.

This will be part of the set of upgrades leading to Clio 3.0

We are a medium-size public library.  All of our interlibrary loan goes
through a consortial system, even our OCLC requests.  Most of the
information in our setup manual seems to apply only to systems that link
directly with OCLC or ALA.  Is there any way to customize the system so
that we can use it primarily for our internal record?  Are there any
libraries in a similar situation that have found a way to work with
CLIO?

Jennifer,

The collection development report is grouped by the patron's department.
The transactions are the various ILL requests that have been made for that
particular department from one patron for a given period.  If I had made a
request for a book entitled Jefferson 4 times then there would be a count of
four transactions for me.  So if I were in the English department then it
would show the English department, an abbreviated title, how many times I
requested the book, author, etc.  If someone else had requested this same
book from the same department then there would still be another line with
English as the department, an abbreviated title of the book, how many time
they requested the book, etc.

This would be the same for the Collection Development report for Copies.  If
I requested and received 170 copies of the Journal of Interlibrary Loan then
you would see 170 transactions.  All the transactions displayed on that one
line would be from me.  If someone requested and received a copy from the
same journal then there would be another line with his or her number of
transactions from this journal.

Is any one else experiencing the problem of more records entering Clio
then you downloaded in Microenhancer? Many times we are downloading 40
records in directed produced and Clio will enter 100+ records. Is this a
common problem and is there a way to avoid it?

My library lends items to a group of libraries that submit requests
through a consortium which uses one OCLC record with one symbol. This
consortium requires my library to keep lending statistics by individual
libraries within the consortium. The only location this data appears on
the requests is in the "ship to:" fields. Given this data, and using
Clio 2.0, is there a way I can keep lending statistics by individual
libraries for the consortium?

I need help with the savescreen in Clio 2.
Getting OCLC records from the savescreen file works fine in Clio1.2 but does not
work in Clio2. When I try to get records in Clio 2 I get the message that "the
file is not present or the directory is incorrect."
I have checked the directory name. It is C:\OCLCAPPS. The file name is
screens.svs. I can import the records that I have savescreened into Clio 1.2
then open up Clio 2 and the records are there, but I cannot import them
directly. Any suggestions?

We had ClioRequest working fine, and then we had a network crash.  Now,
ClioRequest cannot send to OCLC.  When we click the send button, the
messages for logging onto OCLC come up fine and then it sticks at
Sending message 1.  The only way to get out is CTRL-ALT-DEL and go into
the Task Manager to shut it down.  According to Task Manager,  The MS
Access process is using 98-99% of the available CPU processing memory.
I tried reinstalling ClioRequest, but that hasn't helped.  We have no
problem accessing OCLC via Passport.  We are running Clio and
ClioRequest on an NT machine with plenty of available memory.  We have
about 2 dozen requests sitting in ClioRequest, if that makes a
difference, most of which were added manually.

Has anyone run into this before?  Any suggestions?

Hello - We have loaded Clio Request and are attempting to put test
records into Clio Request. We are not able to pull them up in OCLC. Is
there a delay before they appear or should it be immediate?  Should they
appear in the message file? If so where - in the Review file. As you can
see - we are a quite confused.

Also - could we have done this through the basic Clio program - without
using Clio Request?

We have just "tried" starting to use ClioRequest. First we thought we
had a problem with the subject line - we didn't have one. Thanks to Ben
Hogben for the tip about setting the subject line to accept a blank.

We sent a bogus request and it read fine. With in a couple of minutes we
sent a real request. When we ask ClioRequest to get new messages, we get
" no new messages to read" when in fact there is. We have since received
other messages and always get the same error message. Anyone have some
suggestions for us?

Sarah,

Hi!  We've run Clio under NT for several years with no problems.
Same goes for OCLC Passport for Windows and ILL MicroEnhancer.  I
can't imagine NT/OCLC problems unless your folks are setting the NT
permissions too tight, e.g., so tight as to not allow the OCLC app to
have access to particular necessary files.

Properly configured, NT on the workstation makes for a rock-solid environment.

I just printed my first lending bookstrap.  Everything looks fine except =
the return to address is blank in both places.  I DID set up all 4 =
addresses in preferences/addresses so I'm at a loss as to why this would =
remain blank.  Any suggestions?

I've tried those things and didn't help.  The address I typed in for the =
bookstrap that appears at the top of the strap is fine.  It's the two =
return to: sections that are blank.  I had a dash in the address so I took =
that out and replaced it with a slash.  Maybe that will help.  We'll see =
when I get the next request.

When I installed Clio the program I downloaded didn't have an icon =
associated with it.  Can someone send me the icon for clio.  It's probably =
in the c:\programfiles\clio2 directory with a .ico extension.

We have downloaded ClioRequest for testing and I have the following
questions:

1. ClioRequest is now an add-on and runs on standalone computer.  E-mail
requests downloaded are stored on the local drive.  In the future when
ClioRequest is bundled with Clio, can the data be stored on the network
and accessed from different computers?

2. Can the request form in ClioRequest be more consistent with the one in
Clio? Some fields in Clio are not available in ClioRequest and vice versa.
Since we need to edit the requests quite often and add special remarks in
the Borrowing Note field and Description field for report purposes, it
will be more convenient if we can do everything in ClioRequest and don't
have to go into Clio again to edit the fields not available in
ClioRequest.

Tom,

There is not a way to set a default at this time for Received Via: when
updating a request to Received.  You will have to continue to select it when
updating.  If you have Access you could create a query that would query for
requests that were received as copy for a given date then have the query
update the records with the appropriate Received Via status.  If you would
be interested in a query like this let me know.

Are making CLIO invoices going to be any easier? Will CLIO 3.0 be easier to
use for invoices? It is
so confusing now.
For example:
I noticed that when after making an invoice, my "ship to" date and the "date
due" dates change
on my ILL CLIO record.

So after making the invoice, I have to go make into the CLIO lending record
and change them back to the correct date.
Why is this?

Also, will we be able to make a 2nd copy of the original invoice to send out
again to that school library that refuses to pay the first time?

This problem can be due to a missing record in the MyAddress table.  Start
Clio in Access mode.  This is done by clicking on the Clio shortcut then
immediately hold down the shift key.  You should see the normal Access
window.  Select the tables tab.  Look for the table named MyAddress.  Open
it.  You should see four records.  One for each of the following Types:
Notices, Billing, ALAForm and Lending.  In your situation the Lending type
is missing add this record.  Enter Lending in the Type field then the
appropriate address information for the following fields.  Once completed
close Access.

Betty,

If your Billing setup is set to create one invoice per item then to create
invoices without the shipped date and due date changing in Clio follow these
steps.  First find the request that you need to create an invoice by going
to the Lending Request Search screen.  Search for the lending request by its
ILL number.  Once you have found the request that needs an invoice then
double click on the ILL number to bring up the Lending Request Details
screen.  On this screen select Edit Record.  In the Billing Method field
replace "None" with "Invoice".  In the Lending Charges field enter an amount
you want to charge.  After you have made these modifications to the request
select Close.  Now, go to the Billings screen and select Create/Print New
Invoices.  An invoice will now print for this request.  If you need to
resend an invoice click on Review Invoices then search by invoice number or
ILL number for the invoice you want to send again.  Once you have found the
invoice click on Print Retrieved Invoices.  This will create another printed
invoice.

Hello,

Hope this is a quick one. Is anyone using verion 2.1c for Clio?
For us to use it we will have to upgrade to Access 2000. So I'm hoping to
find out if it's worth it before we do the upgrade.

Specificly we want to do the upgrade so that we can use the the avery 6464
labels. I'd like to know how the labels are created. Is it all done in
Clio? Or do you have to capture your updated "Received" records (while in
Borrowing) via the microenhancer and save as a text file for output to a
word template.

Also if you are using this version- do you like it? Is it working well or
have you noticed any quirks?
