Amy,

Error 52 is due to a multiple entry of the data directory path in the
Preferences/Data Directories/Microenhancer Data Directory text box.  You
will need to highlight the path in the text box then select the delete key.
Once the path has been deleted click on the delete key a couple more times
to remove any other remaining path entries they may have been hidden.  Once
this has been done reenter the path for the Microenhancer Data Directory
location into the text box.  Please let me know if this resolves the
problem.

We're getting requests from Libraries that have 5 digit symbols.  Our
Clio Database, truncates to a 3 digit symbol and then we don't show the
proper library that we're shipping to in the database.  Is there a fix
for this problem?

I'd also like to hear any advice people may have to give.  We've experienced this problem, too, but
on the borrowing side.  If we put any 5-character symbols in the 5-lender string, it's too long for
Clio to read and it won't download the borrowing requests at all.  :(

Updating to Clio 3.5 will resolve the problem.  For present Clio customers
that have had Clio for more than a year, they can upgrade too Clio 3.5 by
signing up for a Service and Support contract.  Information about the
Service and Support contract can be found at the Clio Software website,
http://cliosoftware.com/public/.  Clio customers should sign up for the
Service and Support contract before July 1, 2001.  At this time customer
support is free of charge, after June 30th 2003 in order to continue to give
customer support and upgrades to the Clio products we have had to initiate
an annual Service and Support fee.  This fee does not mean that your
institution has to stop using Clio if they decide not to pay the fee.  As
for what your institution gets with the fee is continued customer support
and potential updates (the number of updates will vary) to add or improve
the features in Clio.  The version you are using has been paid for.  If your
institution decides not to accept the service and support fee they can
continue to use the version of Clio they have purchased but Clio cannot
continue to provide free customer support or updates.  The Service and
Support fee is based upon the number of ILL transactions performed in an
annual year.  You can view the fee chart on the Clio website.  Clio is
willing to work with institutions that have already prepared budgets for the
year.  If your institution has already prepared a budget for this year then
you can contact Dotty Perkins to work out some type of payment arrangement

The default will be today's date, but you can enter any date) Once the requests have been filtered you can export the results to Excel. Once exported you can print out a list of the requests received. If you want more detail then you can print each request separately by double-clicking on the ILL of each requests to display the BorrowingRequestDetails screen. On this screen you can select to print the request in ALA or Non-ALA format. The next possible method of filtering and exporting results to Excel may sound complicated but once you have followed the step once or twice you will come to find that it is not, at least that is my opinion. If you like the idea of exporting requests to Excel with all of the fields of a record exported then you can go to Administration/Open Tables/BorrowingRequests/. Once the BorrowingRequestsShowAll form is displayed you will need to click on the Advanced Filter/Sort toolbar button (it looks like a funnel and pencil) to filter for the requests received on a particular date. Once the filter button has been selected you will see the BorrowingRequestsShowAllFilter1 filter window. In this window you will want to select from the table field list box the RecDate Field by double-clicking on it. Once the field has been placed in one of the columns that has rows entitled Field, Sort, Criteria, etc., then you can enter in the criteria row for that column the received date. Once entered then you are ready to perform the filter. In order to perform the filter you will need to minimize the filter window, do not close it. Once minimized you should see the BorrowingRequestsShowAll form once again. On the toolbar that has reappeared select the Apply Filter/Sort button, it looks like a funnel. Once the filter has been applied then you will have a filtered list of requests that have been received for the date you have entered. To export these filtered requests to Excel click on the OfficeLinks button on the toolbar for exporting results to Excel. Once the requests have been exported to Excel you can save the file with the receive date as part of the file name. I am having a problem retrieving = requests from=20 OCLC. When a choose "get savescreens" I get the message = "The=20 savescreen file is not present or the directory is incorrect..." = I've=20 checked the data directories  and even re-input them. I have an old = version=20 of Clio (2b) and have been having regular problems with my data = directories. I=20 can seen the savescreens waiting to be retrieved, just cannot retrieve = them. I=20 am not very computer literate. Any suggestions?

This can happen when a lender does not update the request to "shipped". If the first lender that sent you the photocopy does not update to "shipped" in time before it is sent to the next lender on the lender string then this institution should not bill you. It is the responsibility of the lender to update to "shipped" the OCLC request. I believe OCLC guidelines stipulate that an institution cannot be held accountable for charges from material that was not properly designate as shipped. It is not your problem that they do not get paid for their photocopy. You should only be responsible for any photocopy charges from the third lender. With this said you should update the request once again to received in Clio using the third lender. Be sure to send the update to the ILLME Microenhancer then on to OCLC. Make sure that you do not receive an update error. If you do make sure the request is not be viewed in ILLWeb or Passport then try again. This can happen when a lender does not update the request to "shipped". If the first lender that sent you the photocopy does not update to "shipped" in time before it is sent to the next lender on the lender string then this institution should not bill you. It is the responsibility of the = lender to update to "shipped" the OCLC request. I believe OCLC guidelines stipulate that an institution cannot be held accountable for charges from material that was not properly designate as shipped. It is not your problem that they do not get paid for their photocopy. You should only be responsible for any photocopy charges from the third lender. With this said you should update the request once again to received in Clio using the third lender. Be sure to send the update to the ILLME Microenhancer then on to OCLC. Make sure that you do not receive an update error. If you do make sure the request is not be viewed in ILLWeb or Passport then try again. You can find the requests with blank patrons or titles by going to Borrowing Request Search screen then select the sort by patron or title. Once the type of sort has been selected the requests with blank entries will sort first. In order to edit these records you will need to bring up the BorrowingRequest Details screen by double-clicking on the record listed in the BorrowingRequest Search screen then click on the Edit Record button. Since some of the requests for the report may be archived you will also need to go to Administration/Open Tables/Borrowing Archive then scroll to the Title or Patron field and sort A/Z. Blank titles or patrons will sort first. The borrowing side queries will change the patron name to anonymous then remove the contact information from the borrowing request records in the BorrowingRequests and BorrowingRequestsArchive tables. The lending side queries will change the patron name to "anonymous" in the LendingRequests and LendingRequestsArchive tables. I can send you a module that has these queries with a Switchboard interface for ease of use. Along with the module I will send you instructions on setting up the module and using it. Prior to using an update query your Cliodata.mdb file must be able to be viewed in Access mode. This requires that your version of Clio be later than Clio 2.0c. The module that I have created will only work with Clio 3.0 or above. Clio users that have an earlier version will have to follow the steps below. **Warning** 1. Before attempting to modify information in your database by using these update queries you will need to make sure a backup copy of the database. If the removal of the information is successful then you can get rid of the backup of the database. 2. Only one person should be accessing the database when these queries are used. The Details of SQL script involved and instructions on creating the update queries yourself are below. Steps on creating and using Borrowing side queries in SQL format. 1. Go to the location of your cliodata.mdb file and open it in Access. 2. In Access select the Query Object then select the New option then select the Design View option 3. Once the Design View appears close the Show table window. 4. After closing the Show table window select from the View option on the Menu bar SQL view. 5. Once you have reviewed the data, making sure the request date for these records are earlier than the date you entered, then you can change the Query back to an Updated Query by going to Query on the Menu bar then select Update. Once selected you can run the query again. 7. Once you have entered the date click OK. After clicking OK you will be warned that you are about to modify X number of records reply Yes. For Recalled printout make sure patrons receive recall notice. In Clio this is done by selecting the 1st recall notice. Special Messages/Borrower messages may require a response in Clio, e.g. Yes or No Received? Renewal OK and No Renewal printouts can be used to notify patrons about the status of their renewal request. Note: A request will remain in the Online Produced category for 4 days, after 4 days, the system removes a request from the category but not from the system. Once a request has been removed from this status you will have to wait until it status' changes to shipped, conditional, unfilled, or expired.
