It depends on whether ClioWeb would have to be on the same workstation as =
OCLC.  Right now, your OCLC machines are not networked to the Internet.  =
You can query Larry about whether this is necessary if you want to beta =
test.  He may be looking for larger libraries with more staff who have the =
time to do extensive testing.  I have no problem with testing if you have =
the time.

the new cover sheet for copies -- but we'd like the Print Cover Sheet
box to stay clicked and the other boxes (Print Bookstrap and Print
Patron Notice) to stay unclicked while we are in a session.  Right now
it resets itself after each entry.  Is there any way to change that
default on an individual computer or for an single session?  Thanks,

It is great to have the Lending Bookstrap available.  Could someone
please tell me how to customize the "return to" part of the
bookstrap?  How does one get the "return to" to read the same as the

Yes. Under the Preferences menu there is an item called 'Photocopy
Coversheet'. Select this item and you will see a screen with a single check
box on it. Click it to print a coversheet by default.

Hello

While my students were updating our borrowing requests today they ran
into a problem.  In the past when a request was completed the ILL
number showed in the Completed Requests Box.  That was not happening
with all of our transactions today.  Only 3 of 10 showed up in
the box and the others either gave us some cryptic message at
completion or just disappeared.  When we went back to check the ILL
numbers we saw that the status had been changed (which is good) but
it had me worried.

Has anyone else had this problem?

program.  On the borrowing side, I like many of the features but I'm a
little bit concerned about cancellations, i.e. cancelling a request
received but never ordered on OCLC, such as something that cannot be
verified.  We would like to be able to keep track of these for our
statistics.  Among those using Clio, could you please explain a bit how
you are handling cancellations?

To answer your question, you enter the request as an ALA form and
then proceed to cancel it. It will keep a record of the request for

You should be able to simply do another Lending Update transaction, telling
CLIO that you have shipped this item as a loan.  When the record comes up,
supply the due date.
Click on ACCEPT, and CLIO will prompt you that the current status and the
status on record do not agree, and will ask you to proceed or cancel.
Select the proceed (or yes) option.  The status will change, and the due
date will become part of the database.  You should be able to print the
notice.  If not, quit CLIO then open it and try again.  The other option is
to go into administration, find the record, and make the changes.

Although I don't use CLIO to print overdues, I have had to change status
several times.  I also have printer problems, and have found that I can
recover "lost" bookstraps by repeating this proceedure AFTER I have sent
the updates to OCLC through the Microenhancer.  (CLIO is a smart system,
and won't print bookstraps a second time if the update numbers are still in
the ME files.)

I just had to ask - is this a new product which will require purchase of
additional software?  Approximate cost range?

I forwarded the original message to our systems person and library director,
and they asked about the money aspect.  We currently do not have any
patron-initiated requesting, and there has been resistance to it for fear of
increased staff time demands.  I think routing through the review file is a
great feature, but have had little support for the ILL Direct module with the
administration.  They're already sold on CLIO (my glowing reports, no doubt),
so this might be a good way for us to enter the 21st century!

        After using Oclc PFW, the ILLmeW and Clio on one workstation we're
finally adding a second PC to our little operation and establishing a small
network sharing the ILLmew & Clio.  We're switching our oclc connection from
multidrop to internet.  I'm wondering how other libraries have configured
the three databases and what if any problems occured.  Generally, the second
PC will only be accessing OCLC via the ILLmew, and mostly be used for
updating and converting functions.  I'm honestly looking forward to this
change, as our workflow should speed up considerably.  Thanks for any tips
and advice.

You can go into the administrative function, choose OPEN TABLES, then
BORROWING REQUESTS.  Search for the ILL number (they are now in order by
number rather than alpha title), and change the status from Delete to
Pending.

As an addition to Meg's note in response to a couple of other questions on
the list, you can now sort the tables which are opened through the OPEN
TABLES function. There are two Sort toolbar buttons in the upper left-hand
corner of the screen(A-Z and Z-A). If you click the cursor in any column of
the displayed table, and click one of these buttons, the enitire table will
be sorted by that column, forwards or backwards.

Has anyone solved the problem of what to do about entering libraries into =

using bookbands printed out from CLIO (lending side).  Today one printed =

One thing that would be helpful to know:  does CLIO recognize only the =
OCLC code or does it also recognize the name of the institution?

We wondered if it would help to do this to the OCLC code  for instance:  =
AZT; then AZT1; AZT2; etc.  Would this foul up the system?

Twice now our Interlibrary loan staff member has download OCLC records and
then gotten the new requests on CLIO.  Clio say the correct number of

I encourage you to investigate a new option that helps deal with shipping
to the correct library when several libraries share a code.

In the *new* version of CLIO on the Lending Bookstrap option of preferences
there is now an option called "Incoming Lending Requests".  If you click
this
option a single sheet with three sections is produced for each request when
you GET NEW OCLC REQUESTS for pending status.  We use the top part of the
sheet to mark for searching, and updating.  The bottom portion of the sheet
has the SHIP TO from the request and a mini request form to send with the
material.

When we ship, we cut the form in three parts, we keep the top part here to
meet record retention requirements, use the address portion as a mailing
label, and insert the other part into the package.    This form doesn't
help with billing or overdue notices (yet) but does get materials to the
correct place.

Since we're begun using this form we no longer print t-sheets from the ME.
 And the new form has a barcode on the top of the form and also on the mini
sheet.

We have an in-house dbaseIII billing system that has this type of feature

find this when we download "unfilled" and "conditional".  CLIO does not
say any errrors were found in the downloading, but all the records are not
updated.

Is there a way to make Clio stop generating overdue notices? We're
getting notices for material never received, or for records that the
cliostatus is returned but the oclcstatus is shipped, recalled,
unfilled.

We used to have the same thing happen in our reports. (Usually it was
because a library didn't have a group assigned.)

This usually happens when a request is not matched to a patron record OR
the patron record does have anything in the status field.

To find out if you have unmatched borrowing requests go to Administration,
Open Tables, Borrowing Requests.  Then apply a filter to display the
requests that are not linked to a patron id.  The easiest way is to click
the third icon on the tool bar (in order the icons are:  sort column a-z or
lowest to highest; sort column z-a or highest to lowest; edit/create a
filter; apply a filter; remove filter) and define what  you need.  In this
case you want to find if you have borrowing requests that aren't matched to
a patronid.  You can search on the Matched field or on the PatronId field.
 Try doubleclicking on PatronId line in the list of field names, then in
the criteria field below enter the word "null" (no quotes).  The "null"
will change to Is Null.  Click the upper right X close button on the filter
form to close.  Now click the fourth button on the tool bar to apply the
filter.  Every record that displays does not have patron id assigned.

When you're finished getting the information you need,  close the table.
 When the table opens on our computers we almost lose the title bar so we
carefully have to click on the table title bar to pull it down so we can
close the table --- otherwise you may inadvertantly close the Clio program
instead of just the table.


To make sure that all your patron records have status field information go
to Administration, Open Tables, BorPatrons.  Then apply a filter to find
records with status being null.

The row with a 'blank' status results from records which do have a blank
patron status field. This could result from not entering the status on the
workform when the request was originated on Passport or not reading in both
pages of the workfrom. The status field is usually on the second page.

The patron status data is staored internally in the Patron3 field of the
Borrowing Request table. If you open this table and sort in ascending order
based on this field, all of the records with a 'blank' (really Null) value
will be listed first.

Connie Moss also noted that you can create a filter to do this.

 I'm wondering how ILL processing centers using CLIO get their stats.

 One of the stats I have to report is how many requests I've received
 monthly.  When I run the reports that come with CLIO, then run a
 query in MSAccess, I get very different figures.  I have to report
 the total of requests received, then how they were handled
 (filled, canceled, etc.)

 Also, how do you tell the Access query how to tell the difference
 between a request for copying and a request for a loan?  Use the
 IS NULL command in the article field to indicate a loan?  Is there
 a field somewhere that says loan or copy, and I'm just missing it?

PLEASE HELP....

 This year's stats are my first using CLIO.  Thus far, I'm very pleased
with the product, but I'm not familiar enough with all the "workings" of
CLIO and the customizing of reports to get the info I need.  I have the
basic reports for both Borrowing and Lending, but I need more specified
info concerning the UNFILLED transactions for Borrowing.  Are UNFILLEDS
already counted in the overall totals or do they need to be added to the
totals? (I need the actual number of transactions, not just the
completed/filled transactions). Instead of grouping into one UNFILLED file,
I need to know how many were loans; how many were copies; the number of
in-state; the number of out-of-state.

Can I get the reports I need thru Access/Excel??? I have worked a little
with Microsoft products, but not enough to be familiar with their
capabilities.

Any help/suggestions would be appreciated.  Have problems with my e-mail
from time-to-time....may need to call me.

There is no explicit way to tell when the request is anything except filled
as a loan or copy.

For several of the reports currently in Clio, particularily the Patron
Status anad Patron dept reports, I use a combination of the Article and
Pagenums fields to discriminate between the two alternaltives when the item
is unfilled or cancelled: IF Isnull(Article) AND Isnull(Pagenums), then it
is a loan; otherwise it is a copy.

The Total Unfilled shown on the Items received/unfilled report are
separate, they are not counted in the overall totals.

You can get a breakdown of the Unfilled/cancelled with the Patron status or
dept report. The Total unfilled and Cancelled for Loans and Copied is at
the bottom. I don't know how you can tell if a transaction is unfilled by
an out of state library unless you only sent it to an out of state library.
Its just unfilled.

There have been several comments/suggestions concerning 'customize-ability'
of Bookstraps(mostly lending) and the fact that the mailing address  on the
mailing label portion may not represent the actual requesting library.

How about the following:

1. Remove the phrase 'Do not return in drop boxes' from the lower portion
of both the lending and borrowing bookstrap. The area for the lower
customizable paragraph will be enlarged to encompass this space.

2. The 'Ship to' address on the right hand side mailing label of the
lending bookstrap will be set to the :SHIP TO: field in the lending request
unless this field is blank. In this case, it will then be set to the
address in the library record.

Thank you so much Larry!  These things will help a lot.  Three more
suggestions.
1. a place on the library (right hand) portion of the bookstrap with a
programmable note.  eg: we would like a place marked "signature" where the
patron can sign for the book.
2. The patron name on the right hand portion of the strap that is larger
and BOLD.  We file the paperwork by patron last name and at this point
write it over at the top of each request.
3. Book title included on the right hand portion of the bookstrap, not
just ILL number.

We will be attending the ARL/IPIG meeting in mid-September in London at the
British Library. We will be away from the 8th to the 21st of September.

As we (3 of us, 3 different computers) created ILL requests, we would save
them (to the .svs file).  At the end of the day, we would copy the .svs
file onto a disk, take the disk to the computer which has CLIO on it and
copy the disk into CLIO.  Is this correct?  If this is correct, then only
the machine with CLIO on it would need the CLIODATA file.  Correct?  Or
does CLIO need to be installed into each computer which is 'talking' to
OCLC?

Hello,

It is possible to use clio this way but it is a very clunky method and
fails to take advantage of many of clio's capabilities.

It is possible and in fact perfectly normal and easy for you to install
clio on all three of your machines and use them simultaneously. In order
to do this you will need to have some kind of windows network between the
machines. A windows network will allow you to "map a network drive." This
means that you can make your PC believe that a folder on another
PC is actually an extra disk drive.

Then you need to understand that there are two parts to a functioning
clio system:  the client database and the data database. When you install
the program from a set of clio disk you are installing the client part of
clio.  This part contains all of the buttons, and queries and menus that
allow clio to do what it does -- it is the thinking part of clio.  The
cliodate.mdb file is where clio writes down all of the information it is
working with. This is where the data is stored.

Ok now that we have that distinction. you will probably want to install
the Client portion of clio on all three of the computers you're going to
use.

On the other hand it is important that you have only one cliodata.mdb
file. I would put this on a nice, new, reliable computer. Its a good idea
to put it in a directory other than the clio directory; I use
c:\cliodata\.  Map this directory as a network drive on the other two
computers.

When you first try to start up clio it should tell you that it needs help
finding the cliodate.mdb. It will bring up a little file opening dialog
box. On the computer that houses the cliodata.mdb file just point clio at
the appropriate directory and click ok. On the other two computers you
will need to click on the little drop down menu that selects drive
letters. On most computers the first networked drive will be drive letter
E:\.

Yes.  The costs of  borrowing from libraries are sometimes figured in service
charges plus costs per copy, but the Library Database only allows us to enter
dollars/cents figures.  Is there a way to at least add a notes field to this

Hi!  Can anyone on the list tell me where the address on the invoice
header and the "mail payment to" area can be edited?  I tried doing this
in Lending Billing Preferences because I want to add "ILL" both places, as
our payments sometimes are sent to other offices in the library in error.

In the preferences there is a window to edit "payable to" name and
"payable to" caption but it only asks "Do you want your address printed on
the invoice header - Yes or No.  Where does the address come from so it
can be edited??  Thanks in advance.

Yes, use the Update Addresses in the Preferences section.  Be sure to click on
"Remit Invoice Payment Address."  I included "Interlibrary Loan Department" in the
initial address setup when we began to use CLIO, but you should be able to add it
now.

I experimented also with simply changing the addresses on the Lending Billing
Preferences, but it doesn't seem to work.  I was able to add ILL to the "Payable
To" Address on the Lending Billing Preferences form in Billing, however, and it
remains as the setting after exiting the field.  To check on your progress, click
on the Print Preview button.
