Hello--

I just installed the Clio2d update on our machines and when we go to
print bookstraps (borrowing & lending) & coversheets, we are getting a
number of blank sheets along with the straps and coversheets.

Has anyone experienced this??  If so, what was the fix for it.

Make sure it has a due date.  CLIO! will not print a bookstrap if there is
no due date entered.

I have bee wrestling with these problems for way too long; it's time to as =
for help.

1.  When trying to archive borrowing requests I get the message :error in =
archive button click 3624  Couldn't read the record  Currently blocked by =
another user."  I'm not sure who the other user could be because I'm the =
only one in our agency that uses CLIO.

2.  After filling out the ALA request form and trying to save it, I get =
the message: "error in SavRec 3163  The field is too small to accept the =
amount of data you attempted to add. Try inserting or pasting less data."  =
I'm not certain which field they are talking about but I have put (to my =
mind) the minimum amount of info in each field - I have certainly put more =
info in all fields in the past and it has been accepted.

Does anyone out there know the definitions of the various error numbers  - =
or would that help in trying to figure out the problem myself?  It's too =
early in the week to get this frustrated!  Thank you for whatever help you =
can give me.

Charlotte,

When downloading message files from OCLC using the Microenhancer.  Select
the Direct Produced category along with your normal online produced and
shipped categories.  Clio will read the Direct Produced records.  This
should pickup the requests that were created by your patrons using OCLC
Direct.  I hope this helps.

Margaret,

First -- make sure you have a good backup of the database before archiving.
This is very important!

Symptom: Error in archive button click 3218 Couldn't update; currently
locked.

If you are attempting to use large Microsoft Access databases on a Novell
NetWare server, set the "maximum record locks per connection" to the largest
allowable value (10,000). The execution of large bulk operations in
Microsoft Access (such as a large update query) can cause the server to run
out of record lock connections.

See your Novell NetWare documentation for a description of how to set the
number of record locks.

If you know the name of the patron and the title of the request you can do a transaction history search of attempts you have made for the material through Borrowing Request Search screen. The first criteria to search is the Patron's Last name. The second criteria of the search would be title of the request, joined to the previous criteria by an "And" operator. You can create a database with linked tables LendingRequests, LendingRequestsArchive, and ReasonsForNo. After this you want to import the queries LendingRequestsUnion and ReasonsForNOqry. At this time you want to modify the ReasonsForNOqry. Enter the ReasonsForNOqry in design mode. Change the first expression from Lending Notes from the LendingRequestUnion to ISOText from the ReasonsForNo table. The first expression should be Field: ISOText, Table: ReasonsForNo, Total: Group By, and Crosstab: Column Heading. After changing this expression save the query to Expanded Reasons for Noqry. Now at this time on your tool bar select the office link to Excel. When this is selected you will be asked the date parameters of your query. Go ahead and input this information. Excel should open up after the query has run. You should see your borrowers in rows, a column with totals, and several columns with the reasons for the Nos. In order for Lending reasons for NO to = be sent to=20 OCLC using Microenhancer 2.0 you have to select this option.  In = order to=20 select this option you have to open Microenhancer 2.0 then from the Menu = bar=20 select Tools.  From the drop down list choose Options then a pop-up = menu=20 will be displayed.  From this pop-menu select the General = tab.  On=20 this tab you want to select the option "Update records with Reasons for = No" then=20 click OK.  Now when you send your no responses from Clio through = the=20 Microenhancer to OCLC the borrower will see your reason for = NO.

There seems to be a problem, which Tim Prather at AMIGOS has also verified, with requests we have placed in Conditional status. When the requesting library responds, placing that in the Cond/Pend portion of our message file (which is marked to download on OCLC ME), this is NOT picked up and printed by CLIO. This has created problems for our Lending Unit. Have the rest of you had this experience or did you give up printing requests through CLIO? This may have already been posted (I haven't seen it, but that doesn't necessarily mean anything), but I find it such a useful bit of info that it probably won't hurt to see it again. One of my colleagues provided this information. OCLC provides free reports of 'reasons for no' at the following web address: http://psw.oclc.org/psw/ Click on 'Records and Reports'. Click on 'OCLC ILL Reasons for No Reports'. Enter your authorization code and password. Voila! If you don't have any reports listed there, follow the instructions about how to turn this feature on in one of your NAD files (it's very easy). This report provides a basic list of ILL requests (for both borrowing and lending) that includes reasons for no, lenders, dates, etc. They are nice reports because they have all requests that anyone said 'no' to (even if the request was filled by th e second library). You'll see, though. ;-) Also, if anyone is looking for explanations of what the reasons for no mean (another bit of info from my colleagues), you can find this at the following page: http://www.oclc.org/oclc/tb/tb233/tb233.htm#1 Scroll down a bit and you'll come to a chart that has all the reasons listed. Go to borrowing request search screen then do a search using the statistic date as the field for the search. Enter the date parameters by making the first date requests later than date entered. After you enter this field select More Choices. In the next choice choose Statistic date as the field to search, again choose earlier than as the criteria. Enter the date for the second choice. Be sure that the operator between the two searches is "And". You also want to sort the results by patron. This is done by choosing Patron from the Sort by: box in the upper right hand corner of the form. Blank patrons request should appear first in the sorted display. If you find a blank patron fill in the patron's information appropriately by displaying the record then click on edit record, etc. If there is no blank patron sort by title. Blank title requests should sort first in the display. If you still are having problems please let me know. When the information in the Ship via field showed up, we changed the constant data record to reflect the charge. Since the upgrade, the information in the ship via field does not transfer through to the updating record. How are people out there in CLIO keeping up with charges? In order to identify charging libraries we modify the Library record when they appear in "New Libraries". We do this regularly to have proper information in the Library Data Base . In the first line of the address field we put the library name or ILL (for department) following that we put a dollar sign and a C (for copies), L (for loans) or a B (for both copies and loans) and the lender's charging amount. examples: Billy Bob Lib. $ C-10 JFK Library - ILL $ L-6.5 Library - ILL $ B-20 This then appears on the first screen of the library lookup without having to go to the full record every time. We instantly know: 1) if a library charges or not 2) what they charge for 3) how much they charge and 4) if we need to look at the full record or not. We always check the library database before we retreive an item because of our charging policy. This way we can respond to those that indicate 0 in the Maxcost field, but charge us to borrow, before we do any work on the request. I hope this helps! We indicate the charging amount in the ShippedVia field: mail-8, ariel-15, etc. This comes up when you update the lending request in Clio, so we know to change our constant data from no charge to charging. As we do most of our lending to only a few libraries, we recognize them right off. I do try to check unfamiliar libraries in the Library Database and/or OCLC when we first print off the requests each morning, so that the ShippedVia field is a backup. The important thing is to keep your Library Database updated by checking and updating new libraries as soon as they come up. We are experiencing difficulties with the microenhancer tool for Clio. Currently we are running in a Windows NT client with a the actual clio database located on a central NT server. For the past two years, this setup has been working without any issues. However, recently we are having difficulties updating lending and borrowing OCLC records. here is the problem: Under Windows NT client when we choose borrowing or lending from OCLC records options we get an immediate windows error. A pop up dialogue appears with a Dr. Watson Message stating that Explorer has crashed. Now our systems people have tried to use the clio software with the microenhancer under a windows 9x environment and have experienced the same problems. Illegal operation errors were the most common. They also tried to move the database out of the central server to see if network may have been the problem. All of these options have failed so far. We run two different Clio ends, one Science division the other our Humanities and Social Sciences. The H&SS division has not experienced this problem and they are running under the same environment. My systems people believes that the cause of our problems may be located within the database. However, when attempting to open the database under Access 97/2000 they are denied. Your idea of making the area for the patron's name display wider is noted. As for putting a patron's email or phone number on a bookstrap this might be infringing on a patron's right to privacy. If you receive the Error in Preview = Click 2501=20 while attempting to run the Method Request Submitted Report this can be = due to=20 blank field(s) in your Request Method Options.  To correct this = problem go=20 to Preference/General/Request Methods.  Look for an extra blank=20 field(s).  To delete the blank field select the field with you = mouse then=20 hit the delete key on your keyboard.  You will get a pop-up box to = confirm=20 the deletion of a record, reply yes.  After all blank fields have = been=20 removed except for the default blank field which you cannot remove, you = are=20 ready to attempt re-running the report.
