Judd and list,

We are on the verge of installing Prospero, the program developed at Ohio
State University.  Prospero converts ariel transmissions to PDF format and
makes them available to the requestor via a web interface.

My question is, would we be better off waiting for Clio 3.0 which is
supposed to perform a similar function, plus automatic updating.  We'd
rather keep things streamlined under Clio rather than bringing other
software into the situation.  However, we are anxious to move forward with
paperless ariel delivery, and Clio 3.0 has been delayed quite awhile now.

Are you familiar with Prospero?  If so, would you anticipate any problems
integrating it with Clio 3.0?  Anyone else out there using Prospero?

Colgate University did a pilot study in the use of Prospero this past spring
semester.  The scenario was that students in Wales needed articles from us
and from ILL.  We photocopied the local ones, Arieled them to ourselves and
mounted them on Prospero.  Articles which came in the mail were treated the
same way.  Articles already on our Ariel were just punted to Prospero.  The
kids loved it.  The professor was thrilled.  We have some in-house
procedures to work out, but this will be a staple in our array of services.
Its really nice to offer support worldwide, and in such a timely fashion.

I would probably not be quite so confused about all this if I weren't =
trying to learn Clio and Microenhancer both.  I have tried to create a =
constant data record in Clio.  The screen says select from the list or =
click on the new button.  A cd name I had originally created in Passport, =
then used same in ME comes up as one of two choices.  I try what I think =
is selecting it, and get message "choose from list or click "New" button"  =
So I click  on the New button. Same message.  No matter which I do, I can =
get no further.  What am I doing wrong?  I have got to figure out this cd =
business, since before using anything other than just Passport I had =
gotten used to having many cd records: for types of lending (articles, =
books, agreement partners or others,) and by name for frequent borrowers.=

Sorry, but I was answering you about the book labels, I just realized. For mailing lablels, they are printed off when you process your ILL requests after checking them in your OPAC in the section  "Review New Requests" that you get from OCLC. They are printed at the bottom of the page of your ILL request. We don't use the mailing lables since it is printed on regular computer papers. I don't know if there is a way to print mailing labels for addresses in CLIO on label paper. Hope this helps.

This time Josh told me that what he did was to bring up Clio and then close out of Clio and close out of ILLME and then bring up ILLME again and then it would print. Sure enough that works fine. But I get annoyed easily and it seems like a pain to me to have to call up Clio everytime and then shut it down in order to print out my records. Got any ideas about what is wrong? You will need to reinstall the Microenhancer dat files that came with Clio on a separate disk into the Microenhancer Data Directory location. This location is usually C:\OCLCAPPS\ILLME\. You will need to download one of the message files from OCLC using the Microenhancer. This will create the ILL.dat file, ILLindex.dat, and download.dat files that are needed to send updates to the Microenhancer in Clio. I suggest that you download the "shipped" category. As for archiving there are several preliminary steps that need to be considered. Is you database on a server? How many requests are in the active tables? If your database is on a server you will need to archive your data in increments. Some servers cannot handle the amount of record locks that are needed for archiving a large amount of records. To avoid this problem you will need to find out the oldest requests on both the lending andd borrowing side. This can be done by going to Administration/Open Tables/(borrowing requests or Lending Requests). In the table that is displayed place your cursor in the recdate column then sort the records from a to z by clicking on the "A/Z" button displayed on the tool bar. Once you have determined the oldest request for both sides then you are ready to select a batch of requests to archive. Select either the Archive Borrowing Requests or Archive Lending Requests. Enter a date that is six months after earliest date found to exist in your active borrowing or lending table. The archive process places old requests that have a "complete" status into either the borrowing or lending archive tables depending upon which side you archive. "Complete" statuses for the borrowing side are RecCopy, Returned, Cancelled, or Unfilled. "Complete" statuses for the lending side are YesCopy, No, or Complete. When you run the archive function Clio will attempt to archive these types of requests. Once you have completed the archive take note of the time it took then proceed to archive more requests. If you are having problems you may have to adjust the period to archive. Once you have completed archiving then proceed to compact and repair the database. For Clio users that have versions of Clio that run with Access 97 I suggest that you run a repair on the database prior to compacting. Clio users with versions that run with Access 2000 use the normal compact and repair button that can be found under Administration in Clio. Requests that will not archive: You may notice that some requests may not archive that you feel should have. This can be due to several things. You may notice when you review your borrowing request table by going back to Administration/Open Tables/Borrowing Requests and do a sort by recdate (Received Date) that there are some records that have not been archived but have a recdate that was prior to the date set for archiving. This can be due to a statistic date or DateLastUpdated dates on the record that are after the archive date that was used for archiving. You may notive when you review your lending request table that there are some records that have not been archived but have a recdate that was prior to the date set for archiving. This can be due to a statistic date or DateLastUpdated dates on the record that are after the archive date. Some more possible reasons are due to the options you select when archiving the lending requests. Another reason that a lending request will not archive is due to the accompanying Invoice record for the record has been deleted from the Invoice table. If this has been done then you will need to change the billing method on these records to none. This can be done from the Lending Request table. Once you have made this change you can run the archive again. These records should archive. If they do not let me know. I have the Clio database on my computer and share this directory with our student trainee's computer. We've never had a problem with this set-up until recently. First we experienced the typical space-NT problem on the student's computer after a very busy July. As soon as the IFM payments were inputted, I followed the directions for archiving, including repairing and compacting the database. We had a slight problem with Clio on the student's computer grabbing the wrong database (his backup copy). I could not stop this association, so I ended up deleting the Clio software and reinstalling on this computer. Everything appeared to be fine until this morning -- he used Clio with no problem for three days. Today, Clio cannot be used on the student's computer. It will open fine. He clicks on lending and starts typing the interlibrary loan number. As soon as he inputs about three numbers, Clio closes. Once in awhile the "MS helper" will appear and disappears with the program. I was able to do our lending updates on my computer with no problem at all. It is only the shared computer that is experiencing this problem. Has anyone else had this happen? For example if you are looking at something on you OPAC that you want to copy like a call number, you would first highlight the call number then hold down the Control key then select the "C" key. This will place this information on a clipboard. Once this has been done go to Clio place your cursor in the field that you want the call number to populate then hold down the Control key and select the "V" key. In the Cancelled request place a note stating that the request was reordered on another request. When you have exhausted the locations to send the request with no luck then update the last attempted request to Unfilled. With this method you will reduce your Unfilled average. My staff loved having requests from our web forms come into CR because it cut out a LOT of re-keying of material. They could see the request; search OCLC; build lender strings from our custom holdings (or indicate a vendor to send the request to by e-mail); upload the requests to OCLC (e-mail vendors) and at the same time load them into the Clio database. It also helped get rid of a lot of unnecessary printing and paperwork! Once all the fields on the web forms were set to synchronize with the ClioRequest format, we have had no problems. As with any new software, there is always an adjustment period, but it wasn't a major adjustment. Our requests come into the departments e-mail account. After we pull those into CR, we go back into the e-mail to print any other e-mails that are not from the web request forms. I can't think of any drawbacks unless you would consider only one staff member (or only one PC) can work on those requests. It is not a shared database like Clio database is. This hasn't been a problem here, but might be for others. If my staff could give you there thoughts, they would surely say: GET CLIOREQUEST! Open your Microenhancer. Go to File from the Menu bar. Select from the drop down list "Download Message File Now". 2. After you have selected this then a screen entitled "Batch Download Categories" will be displayed. Choose the category Pending. Do not select the Option to Print. 3. Click OK. 4. On the Batch Download Settings screen select the option to print a Summary List. After you have selected this click OK. Microenhancer will then connect to OCLC and download the Pending requests and print a summary list. When completed select Close on the Batch Download Summary Report. 5. Close the Microenhancer. 6. Start Clio. 7. In Clio 2.2 you have the option to Review the New Lending Requests prior to printing. I recommend using this option. This option can be set by unselecting the option to "Print Incoming Requests when read from ILLME" under Preferences/Notices Customize/New Lending Requests. 8. Once this option is set go to the Main Lending screen and select the OCLC button. At this time read the pending requests into Clio. Make note of the number of requests read into Clio. Verify this number with the Summary list printed from the Microenhancer. You will notice the Lending requests will not print at this stage. 9. Before reviewing the requests you need to setup Clio to display your OPAC. This is done by adjusting the OPAC settings on the OPAC Setup screen. This can be found under Preferences/OPAC setup. If you have either Endeavor or III then you can take advantage of the autosearch feature in Clio 2.2. If you do not have either Endeavor or III then you will need to select Other as your "My OPAC Vendor" At this time you will need to enter your OPAC URL. Later when you attempt to review the requests and you have problems let me know. I can adjusts the search script or the URL to resolve most searching problems. 10. Once the requests have been read you can now review them. This is done by selecting from the Lending Main screen Review New Requests button then clicking on either the option to review "New Lending Requests for Books" or "New Journal Requests" to bring up the request list display. Once at the requests list display screen double click on the ILL number of one of the requests to bring up the Check Local Holdings Screen. 11. On the Check Local Holdings screen Clio will perform an automatic OCLC number search of your OPAC to see if the material requested is available. Sometimes you may have to select the next record arrow then the previous record arrow to get Clio to complete the search. This auto feature is available to institutions that have either Endeavor or III web based OPAC's. All other web based OPAC's you can still perform a manual search. This can be done simply by highlighting the OCLC number or title, copying with the keyboard CTRL+C combination then pasting with the CTRL+V keyboard combination into your search window displayed. Once you have placed the information to search click on your submit or search button on your OPAC display in Clio. Do not select the Clio search button. 12. Once you have determined the status of the material in your library then you can select the option to print, say no, or conditional the request. 13. Requests that are set to print should be requests that you plan to fill. These printouts are then used to complete the processing of the borrower's request. Once you have found the materials you will then proceed to update these request to YesLoan or YesCopy. 14. When updating batch your requests into different charging categories, NoCharge and Charge. This will prevent you from constantly having to change the selected constant data record to the correct one. 15. Once all the requests have been updated then you are ready to send the updates to the Microenhancer. 16. Return to the Main Lending screen. On the Main Lending screen select the OCLC button. On the New Lending Requests screen you will want to select the option to Send Lending Requests to ILLME. The updates requests will then be sent to the Microenhancer. 17. At this time you can minimize Clio or close it, your preference. Start the Microenhancer. 18. In the Microenhancer choose File from the Menu bar. From the dropdown list select Update ILL Records Now... 19. At this time a screen will be displayed entitled "Batch Update Settings". Click OK to send the updates to OCLC. 20. After updating a Batch Update Report should be displayed. Check this report for errors. If you have errors click on the error log to see the reason for the error. If this does not clarify the reason for the error you may need to look at the record in Passport. The request may not have the correct prior status to update the request to the status intended. This can be annoying when entering library symbols that are not supposed to be spelled "properly" (OTU will be auto-corrected to OUT, for example). This problem is the result of an auto spell correction feature of Access 97. To fix this, open Access on the PC in question and disable this feature by going to Tools/Auto Correction and unselect the options displayed. After you have done this you should be able to enter OTU. You will have to start Clio 2.2 in Access mode. This is done by double clicking on the Clio shortcut then holding the shift key immediately. If you see the normal Clio screen then you are not in Access mode. Once in Access mode you will need to select the Report tab in Access. Look for the Report entitled NewLendingRequests and open the report in Design mode. In design mode select the Call No. box. Once you have select the Call No. box you will need to open the Properties window. This can be done by selecting View from the Menu bar then selecting Properties from the drop down list. On the Properties screen you will need to select the Format tab. Scroll down the list of options untill you find the Font Size option. At this time you can change the size from the default 10 to any reasonable larger size. Once you have changed the size save the report with the changes. After you have saved the changes close Access. Start clio once again. Run a test by generating a pick-slip. If you are satisfied with the adjustments then you will need to copy the clio.mdb file that holds the changed report on your C drive to other pcs that will be performing the processing of lending requests. The Clio.mdb file can be found in the following location: C:\Program Files\Clio2\. You will need to use Windows Explorer or some other file management program to perform the transfer of the file. The best way to transfer this file to the other computers is to place it temporarily on the server. Start the other PC. Start Windows Explorer. Find the file on the server. Right-click on the file then select copy. Select the C:\Program Files\Clio2 location on the other PC then select paste from the Menu bar's Edit. You will see a prompt stating that you are about to replace an existing file, reply yes. If you don't see this message then you are pasting the file in the wrong location. Once you are done close Windows Explorer. Once this has been done on all concerned PCs then you are finished. At this time you can remove the temporary copy of the clio.mdb file on the server. This could be useful in a variety of ways. However, I would really like to see as much data as needed on the initial screen. This would mean the purpose of the screen changes from just checking our local catalog to handling more of the lending in-processing. If we can do the lion's share of attempts to page, nos, and conditionals on one page then that will really help our workflow. Having to click on a request one-by-one to pull up enough data to see whether it is someone we charge, etc. would be too time consuming for us. To change the address on the invoice you will need to call up the library record from your Library database in Clio. Search for the library by symbol. Double click on the library symbol to bring up the library record. Select the Edit Record button. In the Billing Address location enter the appropriate billing address. After entering the correct address close the record then return to the invoice to print. This address will then print out on the invoice. Is it set to POP3 for the Server Type? With a Yes for Subject Line Is Blank? Just a couple of possibilities. Also, I think you can't open your mail box and then try to import those emails into ClioRequest. You MUST go into ClioRequest FIRST. Then once the formatted emails are imported into ClioRequest, you can go into the mail box to see what is left. Hope some of this helps. Pat "Susan K. First make a backup copy of your clio.mdb file. This file is located in C:\Program Files\Clio2\. Once this is done then you are ready to attempt to alter one of the Clio reports. In order to customize a report you will need to start Clio in Access mode. This is done by double clicking on the Clio shortcut then immediately holding down the shift key. If you see the normal Clio menu screen then you were not successful. Once you have entered access mode you can go to reports select the report you wish to customize, in your situation select the BorBookLabel report. You will need to know how to change the design of a report. If you want to remove an object from a report do not remove it physically from the report, remove it by making it invisible. Some fields are required on certain reports. This is done through the properties/format/visible setting of the object selected. Once you have made the object invisible then you can place whatever on top of it. As for placing the lender on the label this can be done without removing an object. You can drag the field from the field list to the location above the label "Lending Restrictions". I would also add a label entitled "Lender". Once you have made all the adjustments to the report save it then you will need to copy the modified clio.mdb file to the other machines. Place this file in the C:\Program Files\Clio2\ folder on each machine, replacing the existing one. What do I enter in the "Search String" options under OPAC preferences so it's more efficient to process these requests. It is nice to update the No requests, but I'm having to do some searches twice.
