Crystal,

In order to change the billing to EFTS you will need to re-update the
request to YesCopy or Yes Loan in the Update Lending Request using the EFTS
billing method constant data record.  Once this has been done the invoice
that was create will be deleted automatically.

Hello Judd,

I called you on Thursday morning and am following up with this email. After
printing the July invoices on July 31, I saw that a few invoices generated
for items that were for EFTS participants. This happenend because we updated
the charge as a non-EFTS charge or we didn't know the institution was an
EFTS participant.
So, can I delete those invoices, change the charge to EFTS charge and then
have them appear on either the July EFTS or have it go to EFTS with the
August statement?
I don't like to send an EFTS participant an invoice for a couple of
stragglers.
I'm not sure how to edit/delete an invoice. Can you help?

I'm getting ready to archive records for the first time.  Would appreciate =
advice on which works better:  archiving to a network drive (which is =
where the current records are kept) or to a diskette which can be filed =
and after required length of keeping be reused. =20

Also, I had waited till end of fiscal year before archiving at all.  Is =
this the best way to do it - wait until year is complete?  Or can/ should =
it be done sooner and still get statistics that include archived items?

Jo Ann,

Yes, you will need to go to patron database to get addresses and email
information.  Clio is working on a version that will notify patrons of
overdues via email.

As for how the overdue function is suppose to work?  First you will need to
set the number of days after the due date that an overdue notice will be
created for a patron by going to Preferences/Notices Archives/.  Once on the
Overdue Archive Prefs window you can set the number of days after the due
date that a first overdue notice is created.  You can also set other times
when other reports are created.  Once this has been done then you can go to
the Overdue Notices page and run your reports.  Once the reports have been
printed then you can go to the Patron Database then search for the
information to send the notice to the patron by mail.

Creating Microsoft Word Labels for Mailing Overdue Notices

Another method is creating mailing labels for these patrons which can be
done through Microsoft Word.  You will only have to perform the following
setup instructions to create this reusable label document once.  Once the
document has been created you will be able to use it again and again.  Start
Microsoft Word.  Once Microsoft Word is open go to Tools/Mail Merge.  Once
you have selected Mail Merge the Mail Merge Helper window will be displayed.
The first thing that needs to be done is to create the main document, select
the Create button then choose Mailing Labels.  After choosing Mailing Labels
select Active Window.

Selecting the Data Source

After you have selected Active Window then you will need to select the
source of the address information.
Click on Get Data then select Open Data Source.  The Open Data Source window
will appear.  On the Open Data Source window you need to first select the
type of file you need.  On the window select from the Files of Type drop
down box MS Access Databases.  Once this has been done you will now browse
to the location of your cliodata.mdb file.  If you do not know where this
file is located then you will need to open Clio then go to Preferences/Data
Directories/Clio Database Directory.  Write down the path so you will know
where to point the Mail Merge Helper.  Once you have found the cliodata.mdb
file you will need to select the file then click on Open.  After you have
clicked on the Open button you will see a Microsoft Access window displayed.
From the list of tables select the BorPatrons table.  This table holds all
of the patron information from the patron database.  Once you have selected
the table click on the OK button.

Selecting the type of Labels and fields to print

After you have clicked on the OK button a window will be displayed stating
that "Word needs to set up your main document..."  click on the Set Up Main
Document button.  Once you have clicked on the button you will need to
select the type of labels you have loaded to print.  Once you have selected
the type of labels click OK.  At this time a window will appear that will
make it possible for you to select the fields that will print on the label.
Click on the Insert Merge Field button to select the appropriate fields to
create an address label, be sure to add spaces, correct punctuation, and new
lines, e.g.

+FirstName; +LastName;
+Address;
+City;, +State;, +PostalCode;

After you have selected the fields that you want to print on the label click
OK.  You are not back at the Mail Merge Helper window while in the
background the document template has been setup.  In order to select certain
patrons to print address labels you will need to click on the Query Options
button on the Mail Merge Helper window.  On the Query Options window select
click on the drop down window under column heading Field:.  Select the
LastName field to search by then place in the text with the column heading
Compare To: the patron's last name printed on the patron notice.  Once this
has been done on the second line with the column heading Field: select the
FirstName field and then enter the first name in the text box with column
heading Compare To:.  Once these options have been set then click on OK.

Create the Labels

You are now back at the Mail Merge Helper Window and ready to perform the
Merge of the data to the label template.  On the Mail Merge Helper window
click on the Merge button, the Merge window will appear.  On this window
make sure you are merging to a new document, Records to be Merged are All,
and When Merging records the "Don't print blank lines when data field are
empty" is selected.  These settings are usually the default settings.  If
these settings are set correctly then click on the Merge button.  Once you
have clicked on the Merge button a document will be created with the patron
address information displayed.  You can make modifications to the
information displayed or you can go ahead with printing the labels as you
would any other Word document.  Make sure you have label stock in the
printer.  Once you have printed the label you can delete the document by
closing the document then selecting not to save it.

Searching for another patron

If you want to create another label for another patron you will need to go
to Tools/Mail Merge then change the Query Options to search for another
patron.  After changing the Query Options click on the Merge button then
follow the steps under Create the Labels above.  In order to use the same
label paper you will probably need to copy and paste the patron address to a
different cell since the first label has been used.

Saving the Reusable LabelMaker Document

After you have printed labels and closed the label document then you can
save the "template". Go to File/Save then give the document a name like
ClioPatronLabelMaker.doc.  Once this has been done click on Save.  You can
place a shortcut to this document by right-clicking on your desktop then
select New/Shortcut/, browse to the ClioPatronLabelMaker.doc file location
with the "All Files" Files of Type: selected.  Once you have found the file
select it and click Open.  Click the Next button to give the shortcut a
name.  Once you have given the shortcut a name then you can click on Finish.
Now whenever you want to create Labels from Clio you can click on the
shortcut to create the labels for overdue notices you need.

Location of Cliodata changes to a new location (File has been moved to a new
drive or folder)

If the cliodata.mdb file is moved the ClioPatronLabelMaker document will not
function until you have redirected the "LabelMaker" document to the new
location.  In order to redirect the ClioPatronLabelMaker document you will
need to open the document then change the data source.  The data source can
be changed by going to Tools/Mail Merge then follow the steps under the
heading above Selecting The Data Source.  Once you have the document pointed
to the new location then you can save the ClioPatronLabelMaker.

A request came in yesterday. from another library.  Today when I went to =
reply (actually send a CONDITIONAL, since there was a problem) the request =
was not in OCLC.  (apparently cancelled by the borrower, since we were the =
only one in the lender string)

What can I do in Clio to show it was cancelled by the borrower?  It is =
presently in CLio as "In Process"

If you have a borrowing request that has an OCLC status of Shipped the
library will be entered when you update the request to Received Copy or
Received Loan.  If there is no Clio record for the Lending library, you will
be presented with the Libraries screen (see Section 4.2.10 of the Clio 3
manual), and you should enter at least the name of the library.  If a
library record exists, but is not designated as a Complete library record,
you will have the option of editing it.  When you have indicated to Clio
that you are satisfied with that library record (again, see Section 4.2.10),
you will no longer receive this prompt.

Has anyone had any trouble in updating or retrieving info (for printing
up overdues) when using 3.1c?

This morning when I tried to print our borrowing overdue/recalls the
following message appeared on the screen:

        Error in overdue button click 3008.  The table "BorPatrons:" is
        already opened exclusively by another user or it is already
        open through the user interface and cannot be manipulated
        programmatically.

It was not until later in the morning that I was able to print up the
overdues.

This afternoon, we were trying to update some lending info to yes copy
and no copy.  One the third item we were updating the box labeled
completed requested did not display the message of yes/ no copy.  and a
similar message as above came up on the screen but it concerned an
invoice table.

Is there something we have to set so this will not happen?  Or will we
just have to wait and constantly update our computer when this occurs?
This has us worried about the upcoming semester and the idea of having
to redo our work or nevering knowing if something is going to work.

Does anyone using 3.1c, have the troubles updating information?

It seems to take quite a bit of time to update any item.  I use to be
able to update numerous amounts of items quickly but now the information
takes 30 seconds per item to update as complete/yes loan, etc.

Is this just me?  Any suggestions if not?

How do you perform the following task, I have been reading the online help
but can not find the instructions.

The Borrowing Request Search screen is also used to keep track of the bills
you have to pay. You can record or update lending charges, whether you have
paid them or not, the date that you paid them and the check number you used
to pay the lending charges. The light blue area on the form can be edited
with this information. The lending charges field is automatically filled in
initially with information from the updates you download from OCLC.

Here's a problem: suddenly, when we update loans to received, we get a
"Type 13 mismatch" message instead of an email confirmation.  Our
students prefer to be notified via email when their books arrive, and
we've had to notify them individually for 2 days.  If anyone knows how

Our data was up to over 5 Mb so I decided to = try. While it did get it down to 2.4 Mb, I now get all kinds of errors in = my records. It seems Clio loses each records lending library string and = the verified field. I believe it is the archiving process that corrupts = records as I didn't do a back up until I had archived. Then when = compacting reminded me to backup I did so. When I tried to access = individual records in the data after the compacting step I had errors, so = I reverted to my backup. But they all had errors too. So it's the = archival process that corrupts records. I learned the hard way that you = should not archive your records. I think the compact/repair option is ok = to use though. As far as I can tell there is no way to recover all the lost lending = library links to those records. It affected not just the archived = records, but also the current records too. Importing and exporting to = OCLC ILLME is impossible now and has made the ILL process a terrible pain. = We are thinking of going back to a manual process unless there is a fix = for these errors. Anyone else encounter this and fix it in some way? HELP! In order to resolve this problem you will need to regenerate the following files: ill.dat,illindex.dat, and download.dat. In order to regenerate these files you will need to rename them. First we need to find their location. This is done by going to Preferences/Data Directories/Microenhancer Data Directory in Clio. The path will be displayed in this location. Write this path down. Once this has been done check the Microenhancer to see if it is pointed to the same location. Open the Microenhancer the go to Tools/Options/Data Directory. If this matches the one in Clio then go to this location and rename the ill.dat, illindex.dat, and download.dat to ill2.dat, illindex2.dat, and download2.dat (respectively). Once this has been done go back to the Microenhancer and download a message file. This will recreate the files renamed. Once this has been done then attempt to get new requests from the Microenhancer in Clio. If this resolves the problem you can go ahead with deleting the renamed files, ill2.dat, illindex2.dat and download2.dat. Granted I've only used it two days now but I'm wondering about certain features. 1. Is there a way for the call number and location of item to automatically pop into those windows on top vs. the rather primitive task of copying and pasting them? 2. Is there a way to toggle back and forth between the actual request and the window that shows the abbreviated version of the item requested? i.e. If I want to check to see if the library is a member of LVIS, I have to have a Passport session opened and minimized right now so that I can go in and check the NAD or the actual request to see if they've listed their affiliation somewhere. Also, we routinely don't charge any libraries located in PA but in the abbreviated information showing at the top of the screen when I'm checking the new requests it only shows the symbol. I just don't have all those symbols memorized (sorry, guys). Just some thoughts. Maybe some of you veteran users of this feature will have the answers.
