Greetings,
        I submit invoices to be paid once a week.  When we were using Saveit,
Saveit could create a list of all of the invoices I would submit on a
particular day.  We keep this list for our records in case there is a
question about a particular invoice.  This list contained:

1.  The OCLC library symbol
2.  The library name
3.  The invoice number or IL #
4.  The cost of item

Does Clio have a function designed for this purpose or something close to
it?  Can I create a list by taking Clio data and placing it in an Excel
file to "design what I want?"  If so, how do I do that?  Does anyone do
anything like this?

Each month I work on statistics from Clio I am more frustrated than the last. I
had hoped that as I became more familiar with it that I would find the reports
more useful. As it is I don't feel confident that the statistics are being
reported accurately. Here are just a few of the many questions I have...

1)  Why doesn't Borrowing Statistics Report by Group report the same total
numbers as Method Submitted by Group for the same time period?

2)  Does Borrowing Statistics Report by Group use submitted or filled requests?
If it uses submitted requests what does 'unfilled' mean? Unfilled in this time
period - submitted at any time, or unfilled only among those submitted in this
time period?  Also this unfilled number is always too small by any reckoning
according to my 'paper' stats.

3)    Method Submitted by Group would be more useful if I knew if the requests
were loans or copies - or is there a way to set this up?

4)  Since all Iowa libraries lend to us for free, why does the Lending
Statistics Report By Group show 139 for Loans Paid by Iowa Libraries for Nov. 1997? How
is this Loans Paid determined? I'm glad that I am currently not using Clio to
track costs.

5)  The totals from the Received Loan Method by Group is always far lower than
the 'real' totals loans for that month. It is frustrating that when searching
the database I cannot search for a range of dates so that I could check this
out...

6)  Received Copy Method by Group. We receive the majority of copies by Ariel
or by US Mail. US Mail is not a choice when entering "Received By" in Clio. Can I
change this?

Many of these questions apply to the lending stats, too.

7)  I am not an ACCESS user, but would like to figure out how to manipulate the
data in ACCESS.  What can I do to find out how - at least to get started?

8)  As far as I can tell none of these questions is answerable in HELP or in
the paper documentation that came with the software. Will the upcoming update have
more complete documentation? Do you give workshops or seminars anywhere in the
midwest?

9)  I also wonder what many of the choices to search by would be used for when
searching for requests in the database. For example, why would anyone search by
"Request Submitted Via" if the results can't be limited by time or sorted?

As I said, these are just some of the questions I have. Is there a better way
to get them answered?  Also, may I suggest that your users submit their questions
to this listserve rather than directly to you. You have probably already
answered these questions for other users.

These are all excellent reasons why Clio users _owe_ it to themselves
to become familiar with MS Access and how much more powerful Clio becomes
through its use.  Linking tables to the Clio database with Access
makes report creation so much easier...easier until Larry can adjust
some of the content of the on-board reports.

Each of these questions below submitted by Barbara Corson at Drake can
be addressed using Access. We use Access to create a number of
locally-dedicated reports which reflect information that is of importance
to our office and Library.

Perhaps Larry could provide some additional documentation with a future
release of Clio that outlines the linking tables process, and how it
complements Clio.

Just an idea!  Other comments welcome.

The Invoice Review screen in the present version of Clio can provide you
with that information wothout having to print out a list each week.

If you go to the Invoice Review screen and enter a library symbol you will
get a list of all of the Invoices you have issued to that Library. If you
click on a particular invoice number, you get all of the deatils for that
Invoice.

The new version of Clio wchich we will start releasing in a few days
provides an even more flexible method for reviewing Invoices.

Clio Users and Larry,

My ILL assistant just reminded today that one of the features we had hoped
the new version of Clio would include would be the ability to print
bookstraps for the materials that we lend out.  Are we the only library that
would find this useful?  And wouldn't this be an easy feature to add,
given that it already exists for borrowing?

I got a strange error message in CLIO today. I went into the Win ME as
usual to print my pending lending requests; completed with no problems.
Then I went into CLIO to import the new ill.dat file. I got the following
message:

The application encountered unexpected error #5, "illegal function call"

I deleted everything in my temp directory and rebooted the PC (per our
systems dept). Tried again, same thing. I tried to reload an earlier
session and was able to do so with no problems. This leads me to believe
that my latest session file was somehow corrupted. Is there a way to fix
this and import the file? Do I have to save screen each request and import
that? Will this effect any future downloads?

There is no perfect fix for this problem but there is a usefull
workaround:

1. import your current savescreen file into clio.
2. set up a generic/text only printer to print to FILE.
3. set that as your default printer temporarily
4. print the session that you are unable to get to in Clio.
5. the print dialogue will ask you for a file name. give the disk path and
file name that you use for savescreens.
6. import the savescreen file into clio again. this should get all of
those records.

Now this next step may or may not fix your problem. Sometimes the ILL.DAT
file and the ILLINDEX.DAT file become very large and clio is unable to
read them. Delete those two files before your next download of records
from OCLC. Clio should be able to read the newly produced (much smaller)
files.
