To our customers in response to several questions,

What does ClioRequest do? Two very important things:

1. ClioRequest reads the email messages from your web page where patrons
enter details on items they want.

2. With ClioRequest you have the ability to process requests in various
ways without rekeying and using extra programs to process requests, e.g.
email software. You can send the request Direct to an OCLC Profile, Direct
to OCLC Review, Direct to OCLC Lenders, Create an ALA Form, Email an ALA
form to a Lender, or send it to a DocSupplier. All these possible options
in one location.

Remember:
NO MORE RE-KEYING!

Recently, Clio Software announced that their ClioRequest product is now
available for download free of charge.

If you use Clio and are wanting to save yourself and your staff a LOT of
time, then download ClioRequest and get it installed!

Before we installed ClioRequest, we were receiving our requests on 3-part
paper forms and spent a great deal of time re-keying information and trying
to decipher illegible handwriting.  Within about a month of activating
ClioRequest, we had virtually eliminated receiving requests on paper forms.

Plus, these requests go straight to the OCLC review file and can be
produced with minimal keystrokes, especially if you spend a few minutes
learning how to work with the review file commands.

Since ClioRequest works with any standard email system, it is fairly easy
to set up.  The hardest part is getting web pages set up to take requests.
And I will be happy to provide the HTML code for our web request pages to
anyone interested.

As you can probably tell, I'm a big fan of ClioRequest and I urge you to
download it and get it installed.  If you're still using paper forms, what
a difference it will make!

I'm still debating the merit of downloading ClioRequest and have several
thoughts and questions:

1.  Unless the "powers-that-be" agree to do away with the paper forms, I
don't see where you gain much except that the emailed ILL requests would be
able to be sent directly to OCLC.

2.  We're already using OCLC's Direct Request and love it.  With each new
class that arrives at the school, they are becoming more and more used to
finding what they want in First Search and then requesting it directly.  So
how will ClioRequest improve this?

3.  I agree that not having to rekey an emailed request would be nice but
often the emails themselves have author and/or titles mispelled, etc. and do
not have the ISSN.  I end up going into First Search and digging until I
find the citation and then just clicking on the ILL button myself, filling
in the patron's info.  Wouldn't I lose that ability to verify the accuracy
of a citation BEFORE it gets into OCLC?  With Direct Request, I know that
the citation is entered into a Review workform correctly and often the ISSN
is supplied for me so that I only have to find the record, use my custom
holdings and apply the lending string.

Please understand that I'm not dissing CLIO.  I use our CLIO all the time.
But I am just not sure the ClioRequest is something we really need at this
point in time.  However, I'm willing to be convinced if I can see the
benefit.

ClioRequest is a very efficient system, as endorsed by many of the listserv
members. However, you need a web email system from which the request information
is imputted.


We have installed ClioWeb on our library's webpage and that has made a world of
difference. Students, faculty and staff, in addition to submitting their request
from anywhere, can also check on the status of their requests and how many items
they have out. Students were getting quite frustrated that they had to
constantly come into to find out what happened to their requests, so ClioWeb was
a great solution to the problem.

As mentioned earlier you can send the request to OCLC in various forms, to a document delivery company, email directly to a lender or print off as an ALA request. Hello.
When I update my oclc requests through Clio (version 2) I get this dialog window:
    Error in output type E.  94Invalid use of Null.
After I hit ok, I get the normal dialog window saying: "... Borrowing Requests were added to the Microenhancer for Windows files."  I'm able to update requests despite this error message -- except for renewal requests, which seem to never make it to the Microenhancer.
 
Can anyone offer any help?

This might be more of an OCLC question than a Clio = one, but=20 perhaps someone out there has had this problem also and can tell me what = is=20 going on. I have already contacted Judd Knight and OCLC, but their = suggestions=20 do not explain what is happening.
 
1.)My IFM report from OCLC does not match the IFM = charges in=20 CLIO.
 
2.) The charges in my IFM report from OCLC  are = sometimes=20 more, sometimes less and sometimes the same as my Clio IFM = charges.
 
3.) My IFM report from OCLC seems to record only = even numbers,=20 most often charges for $8.00.

This problem is the result of an auto spell correction feature of Access 97. Some people have experienced = problems in the past when they attempted to archive, like requests that = have seem to have disappeared when compacting. I hope the steps that I = am going to explain will make archiving a simple process or at least = understandable and you requests will maintain their viability.=20 **NT users archiving is crucial to keep Clio functioning** I have seen situations where the borrowing or lending request tables = have become extremely large and updating has become impossible. The = reason updating has stopped is due to Clio timing out because of the = connection on the server. For every request that you update Clio has to = search down the list of requests in your active table for the = appropriate record to update. If you are updating 30 requests to paid = and the Lending request table has 30,000 records Clio has to go through = each record thirty times to find all the request. Archiving 1. Before archiving everyone should be off of Clio. The only person = that should be in Clio is the administrator. =20 2. Make sure that you have a backup of the cliodata.mdb. =20 3. If you have never archived first attempt to archive a month of = requests to get an idea of how long it will take to get to an optimum of = a month's worth of requests in the Active request tables and the rest in = the archive tables. 4. Go to Administration on the menu bar and select first Archive Lending = Requests. You will see a pop-up window displayed asking for a date that = you want request prior to that date to be archived. You are also given = the option to archive certain requests. Choose the option that is best = suited for your institution. Remember if you have not updated in a long = time you might want to be conservative and archive a small portion at a = time. =20 6. When you have selected the date of archive then select the button = Archive Now. The process may take awhile so be patient. 7. When you have received a response from Clio that the archiving is = completed you want to repair the database before compacting. 8. Exit out of Clio. Use the repair feature that came with Clio or you = can use Access repair to repair the Cliodata.mdb. 9. When you have completed the repair. You are now ready to return to = Clio and compact the database. 10. Start Clio. Go to Administration/Compact Database. You should see = a warning, reply yes. A pop-up window should appear asking you to check = off whether you have done some preliminary steps. Click each = affirmation to proceed. When you have affirmed all preliminary steps = have been performed click on the Proceed button. 11. Compacting may take awhile. When it is completed there will be a = new database on your system or server entitled cliodata.new. The = location of your active Clio database can be determined by going to = Preferences/Data Directories. Using Windows Explorer, NT Explorer, or = My Computer change the name of the cliodata.mdb to cliodata.old then = change cliodata.new to cliodata.mdb. The cliodata.old can be deleted if = you already have a backup copy. 12. Start Clio. Go to Administration/Open Tables/Lending Archive to = see the requests that have been archived. =20 13. Remember the requests in the archives are still accessible to = reports and searches that you may want to perform. If you have problems archiving with the cliodata.mdb file on the server = copy it to your local hard drive. **While Cliodata.mdb file is on your = local hard drive no one else will be able to acces Clio.** Rename the = one on the server to something like cliodatabackup.mdb. Start Clio. = Clio will ask you to find the Clio database. Point it to the copy on = the local hard drive. Follow the instructions above. Once you have = completed the steps above move the cliodata.mdb file back to the = appropriate location on the server. Start Clio. Clio should ask you to = find the Clio database. If it does not ask you this then it is still = pointed to the copy on your local hard drive. Remove this copy. When = Clio has started and the tables have relinked then attempt to do some = updating.
