Hiya,
We recently were forced to upgrade our computers to Windows XP and now we
can't get Clio to send the ILL requests to the ILLME. It'll update fine,
print out bookstraps, etc., but when you go to send the records to the ILL
ME, you get an error message that says "Either the Data Directory is
incorrect or not all of the output files exist, Please go to the
Preferences/Data Directory menu item and check the Data Directory."

Any ideas?

thanks,
Julia

Julia,

Due to the installation of Windows XP the OCLC ILLME Microenhancer was
probably reinstalled. When installing the Microenhancer, files with the
extension of dat that are needed to communicate with Clio were deleted from
the Microenhancer Data Directory, the default location is
C:\OCLCAPPS\ILLME\ folder. In order to send updates to the Microenhancer
you need to have all dat files in the Microenhancer Data Directory. If
these files have been removed you can get them again by downloading and
extracting from the ILLME.zip that can be downloaded from
http://www.cliosoftware.com/31download/ILLME.zip. Prior to sending updates
to the Microenhancer you will need to download one session with the
Microenhancer then extract the files with the extension of dat to the
Microenhancer Data Directory location. You can determine the location of
this directory by going to the Preferences/Data Directories/Microenhancer
Data Directory. You will also need to check to see if the ILLME is pointing
to the same location by going to Tools/Options/Data Directory in the ILLME
program. You will need to use a file management program (Windows Explore or
My Computer) to check to see if all the dat files are in this location. The
following dat files should be in this location:
Cd_copy.dat, Cd_loan.dat, Ill.dat, illindex.dat, Download.dat, N_compl.dat,
N_cond.dat, N_delreq.dat, N_future, N_no.dat, N_nocond.dat, N_norecv.dat,
N_norr.dat, N_recall.dat, N_recv.dat, N_renew.dat, N_retrnd.dat, N_ship.dat,
N_yescnd.dat, N_yescop.dat, N_yesln.dat, N_yesrec.dat, and N_yesrr.dat.

We too are experiencing errors with updating our YesLoans on Clio 3.0.
We are on Windows 2000.

I would also be intersted to hear possible solutions anyone
may have.

Subject: [CLIO] Updating records glitch

Here is what we have been experiencing at ISU for about a month.

We update lending requests as usual through Clio (currently 3.0), upload =
to the Microenhancer, upload to OCLC. An unpredictable number of =
YesLoans are updated correctly. Out of 20 YesLoans all may upload, or =
18 or 2. We have experimented with inputting and uploading directly =
from the microenhancer (leaving Clio out of the loop) and still have =
problems with going correctly to OCLC. We get update errors for the =
failures so then have to update one by one in OCLC. I have not been =
able to see any difference between the records that the succeed versus =
the ones that don't. At first I thought it might have something to do =
with an overloaded call number field. (We paste in the call # when =
preparing the pick slips, then scan in the barcode of the item in the =
same field when updating to Yes.) However, inputing directly into the =
microenhancer without having anything in the call number field is just =
as likely to fail.

Any solutions to suggest? We are getting really tired of updating =
twice. All other conditions (YesCopy, No, etc., seem to go fine.)

Also, while you have your thinking caps on, last summer we suddenly =
started having problems in general updating from our various networked =
computers, with Clio on the network as well as the microenhancer. Some =
things would work on some computers while other things wouldn't. A =
maddening array of variations. Our techie's solution (after talking to =
OCLC) was to put the microenhancer on each C: drive. That has only been =
partially successful, with one computer being able to do almost =
everything to another getting immediate error messages involving "...53 =
File not found."

Anybody else having trouble with the Clio to microenhancer to OCLC =
link??
We are running Windows 98, but will be switching to XP in the near =
future.

Thanks for any suggestions you can give.

Dear Judd and CLIO users:

We have been having trouble with our AutoUpdater lately. We seem to have a
large number of items "not found in db" even though we have downloaded the
Shipped list into CLIO every day. We have done save screens on the items if
they are not yet updated to "shipped", and it will appear to update it to
"reccopy", but there are many leftovers each day. What are we doing wrong??

They load fine and we can edit them, but we get Error #3163 "The field is too small to accept the amount of data you attempted to add. Try inserting or pasting less data." Then we received the message "Object invalid or no longer set." We've tried relinking the tables in Clio several times (including immediately after Archiving), to no avail. We tried loading the backup of the Clio database, but we're getting the same error message. It seems that ClioRequest can't find Cliodata even if Clio isn't having any trouble. Each one of these individual locations has its own direct "SHIP TO" address. We do not have a central location to receive and process borrowed material. One of these locations, the Beaverton City Library, has been the recipient of ILL materials that were supposed to be delivered to other OQX locations. Lately, there have been several packages per day mis-shipped to them. After some investigation, it looks like these mis-shipped items are coming from libraries that are using Clio and/or Illiad to produce mailing labels. The items are accompanied by bookstraps or other printouts that do not include the "SHIP TO" information from the actual OCLC ILL requests. Beaverton City Library staff have had to contact me to figure out which locations the mis-shipped items were intended for, then forward the items on. This delays the loan and sometimes incurs additional postage costs for them. For those libraries that are using ILL management software to produce mailing labels, is it the case that you can only have ONE address entered per library symbol? GZR is the interlibrary loan clearinghouse for over 1,000 libraries of all types in Wisconsin. We have over 770 constant data records for the most often used "ship to" addresses. We do not receive items at our library, as it does not benefit the patrons of our libraries to add the extra time to reship. Besides, we really don't have the staff to handle it. Many of Wisconsin's academic libraries are now switching to Iliad. During this transitional phase I've noticed the same problems that you describe, with one library identified with our OCLC symbol. Usually this is the borrower of the first request the lender received from GZR. I am sure we will work through this with our academic libraries while their staff and student help is being trained. We also have a long history of referring to out of state libraries for materials not available in Wisconsin. I usually contact a lending library once to try to straighten it out, but if I'm not successful I treat it as a training issue with my libraries. I have asked them to contact me if they receive an item they did not request. That way I can check OCLC, find the correct "ship to" and ask the library to forward the materials to the correct borrowing library. I understand that we are not using OCLC in a peer-to-peer situation and other libraries may not be used to the clearinghouse scenario. I am grateful to the libraries that lend to us and do not mean this as a criticism. Please don't hesitate to use our online catalog, WISCAT (www.wiscat.net). We lend materials of all types owned at GZR via OCLC, but will refer to non-academic libraries found in WISCAT if you send a mail, fax, or email request. We do not charge for loans or copies.
