To the Clio list:
We are pleased to report that Clio Release 1.2E has completed beta testing.

The new features in this release include significant additional
capabilities requested by you. These are primarily in Billing, Patron data
management, ALA form content and appearance and several new reports. And,
as always, there are some 'bug' fixes.

Since we will be out of town at the ALA conference for the next week and
then visiting some customers in Texas, we would like to postpone a general
distribution to all existing customers until our return to our office in
Half Moon Bay on the 18th. Our plan would be to distribute instructions for
downloading the files to everyone by the 20th.

Best regards,

Larry and Dotty Perkins

Subject: clio copyright reports

Dear Clio users and Larry Perkins,

I am beginning to use clio to keep track of our copyright compliance and
we are very happy to have a computer do this task. I have been printing
monthly reports from 1997 (to see how it all works) but the Oct.97 report
did not appear, instead there was this message:
     A run-time error occurred in module: Report.CopyrightStatusRpt.
You don't have permission to view this module.
     Continue Reintialize
A member of our ComputerFacilities (a trouble shooter) was not able to fix
this problem. Maybe our Oct. data is corrupted? Or is there a quick and
easy solution? Any advice is apprieciated. In the new Clio version will
you be able to exclude some suppliers that charge copyright, such as UMI,
BRI, CAI? I do have a group set up that does not include these vendors
all ready to use. Also, at the top of the copyright compliance report
it says "report excludes first 5 copies for each title during the period
specified,"which means if 10 requests are filled in Oct for XJournal
and 10 requests are filled in Nov for XJournal, the first 5 may be counted
twice if the reports are created separately for each month, right?
Thank you for any comments or insights that y'all may send to this list
about Clio & copyright.

Attempting to print Invoices we get the following error message:
Error in Setup Invoice: Error 3261, and Error 91: Object variable not
set. Does this mean there is a general problem with our CLIO
installation, and what remedies would anyone suggest. We have tried a
reinstallation.

Someone probably already answered your question but here goes. Clio counts
the first 5 filled requests, regardless of month requested. It goes by
journal title, not month.

When we ran our invoices for the month of December, we got: Error 94:
Invalid use of null. Curiously, it posted invoices for all libraries
with activity but failed to print. The culprit record seems to have
been one for OCLC code USA, the last library alphabetically for which
invoices were being produced. I looked at both the IL record and the
library record, and saw nothing wrong. I restored from my backup, I
tried editing the numeric values in the IL billing record, and reran
invoices to the same result. I restored again, deleted the IL record,
and reran invoices and it ran fine. So I think the problem is isolated
to the IL record. Anyone have any idea what went wrong?

It is also my understanding that Clio only counts the requests marked CCG (I

The culprit is a Library record with a sales tax rate set to a 'blank'. Set
it to zero (0). If you know which library is involved in the troubled
invoice, pull up the library record from the lib search screen and set the
sales tax rate to zero. You can also set it by going to the Admin menu, open
tables and open the library table directly, find the library and set it
there. Check under Preferences, General, Sales tax rate that you have set
the default to a value of zero.

As a new Clio user, I have a question about the ALA forms. Is there a
place to set defaults for "Authorized By" & "Title" and for "Maxcost?" I
was unable to find a place to do this in Preferences. If this isn't an
option in Clio now, will it be an option in the new version?

Now that we're using Clio, we're using the :PDEPT: and :PSTATUS: fields in
OCLC (which create Clio fields usable in reports with Excel). My question
is: is there a way to enter the patron department and status information
on the ALA forms? The only way I can see to get that information in, is
by adding it into the Borrowing Requests Table after the ALA form is
created. Is there an easier way?

At the moment I can not think of another way; looks like an oversight. I

I have the latest edition (ok, actually the beta, I guess) of Clio, but

I cannot duplicate this. Where are you observing this: Bor rqst search
screen? How do you enter the patron's names in the :PATRON: field?
