We have just started using CLIO. I am not sure if I am doing this procedure
correctly.

With the Library information, when I request through OCLC most times I will
use our "Library Resources Council (LILRC)". In the lending string I place 5
ZRR, when it is uploaded into CLIO it shows that they filled the request,
but in truth another library that belongs to this Library Resources Council
filled it. Now in some cases I will be charged from LILRC and from the other
library.
This effects Billing information, also what is Group Information I put ZRR
there but I am not sure if it belongs there.

For Clio to communicate with the Microenhancer you must have installed the
dat files that came with Clio into the OCLC/ILLME subfolder.  The dat files
that should be in this subfolder are as follows: Cd_copy.dat, Cd_loan.dat,
N_compl.dat, Download.dat, Ill.dat, Illindex.dat, N_compl.dat, N_cond.dat,
N_delreq.dat, N_future.dat, N_no.dat, N_nocond.dat, N_norecv.dat,
N_norr.dat, N_recall.dat, N_recvd.dat, N_renew.dat, N_retrnd.dat,
N_ship.dat,
> N_yescnd.dat, N_yescop.dat, N_yesln.dat, N_yesrec.dat, N_yesrr.dat,
Update.dat, Updated.dat.
If these dat files are not in this location let me know.
Clio and the Microenhancer should both be pointed to this location.  To see
whether the two programs are pointed at the same location, first go to Clio
and look at your Preference/Data Directories/Microenhancer Data Directory.
Write this down.  Now go to the Microenhancer and look under Options/Data
Directory.  These two paths should be identical.

Once you have the dat files in the appropriate location and Clio and the
Microenhancer are pointed at the same location then you are ready to
transfer data to and from OCLC.

Sharon,

What version of Clio are you running at this time? The latest version of
Clio available for those who do not have any version of Access is Clio 2.0b.
As for pcs that have Access there is Clio 2.0d and Clio 2.1 for Access 97
and Access 2000, respectively.
In order to use the dept and status fields in Clio you will need to do two
things.  First you need to check your Preferences/Patron options in Clio.
Under the option regarding storing Patron Department and Status information
in the workform select the radial button PDEPT/PSTATUS Fields.  Make sure
that all pcs running Clio have this option selected. The second thing you
need to do is make sure to enter the dept and status information into the
appropriate fields in OCLC.  These fields are on the second page of the
workform.  They are entitled PDEPT and PSTATUS.
Another thing you need to check is the process of transferring requests into
Clio.  If you are using Savescreen then the savescreen capture macroneeds to
be set to get the second page of the workform.  If you are using the ILLME
Microenhancer to upload requests into Clio then this will not be a problem.

Kathleen,

If an email notification does not go through you will receive an email to
the email account that you have designated in your Clio preferences email
setup.  The email will state that the user is unknown in the subject line.
After you have received such a message the only option you have to create a
notification is to change the preferences settings in Clio to print a
notification then again update the request to received.
If you have some experience with Access then you could create a custom
database that could be used to link to the cliodata.mdb file.  In this
database you could create a notification report that would be used for
printing out notifications that did not make it via email.
The database would need the borrowing request and patron table linked to it.
After you have linked these two tables then you would create a query that
would pull this information.
The SQL would look something like this
SELECT BorrowingRequests.ILL, BorrowingRequests.Lender,
BorrowingRequests.DueDate, BorrowingRequests.Author,
BorrowingRequests.Title, BorrowingRequests.Article, BorrowingRequests.Vol,
BorrowingRequests.[No], BorrowingRequests.Date, BorrowingRequests.Patron,
BorrowingRequests.LendingRestrictions, BorrowingRequests.Description,
BorPatrons.FirstName, BorPatrons.LastName, BorPatrons.Status,
BorPatrons.Department, BorPatrons.Address, BorPatrons.City,
BorPatrons.State, BorPatrons.PostalCode, BorPatrons.SSN,
BorPatrons.NotificationPreference
FROM BorPatrons INNER JOIN BorrowingRequests ON BorPatrons.PatronID =
BorrowingRequests.PatronID

Once you have created the query then you could create the notification
report.  For a point of reference you could import Clio's notification
report.  Once you have created the report then you would run the report.  In
my previous SQL if the report was pointed to it as the data source the query
would ask for the ILL number that the report would be based upon.  You would
have to either run the report for each ILL number or string the ILL numbers
by using the boolean operator "or".

Julie,

When the request was downloaded into Clio it was probably downloaded as an
Online Produced record.  At this time the request does not have a due date.
In most situations when you download the shipped message file the due date
will download into Clio but in some situations where the OCLC status in Clio
is not blank then the due date will not download.  This happens when request
are uploaded into Clio via savescreen as an "In Process" or"Will Supply"
status or in ILLME cases where the request has been downloaded by the Lender
library therefore changing the status to an "in process", prior to the
borrower downloading the "online produced".  The OCLC status in Clio will be
"In Process".  In short if there is an existing OCLC status of a request in
Clio of "In Process" or "Will Supply" Clio will not be able to read the due
date information into the request record.  This is why it is necessary to
review the request record on the update screen before accepting the status
of Received Loan.

Basically the system is asking you to double check whether you have received the material and somehow missed updating the transaction. If you respond "no not received" it automatically sends a message to the library that updated to shipped letting them know the material has not been received at your institution. They should then reissue the photocopy or do a trace if it is a loan. This does not always happen. If you respond "yes received" it completes the photocopy requests or updates loans to received. That is it in a nutshell from my understanding. OCLC changed the time parameters from something like 30 days to 7 days and it can be kind of a pain to continually track the "received yes or no". (Amazingly, some places discover they updated to shipped in error and never let you know!) We generally just go ahead and do a resend for photocopies if the lender has a bad track record for lending to us and if the charges are zero. We will update to received to complete the request and go on our way with the resend. If charges are not zero, we end up calling to ask them to change the charges before we receive the material. It is a whole different ballgame if you are talking about a loan. We never receive/return any loan that has not actually made it in the door of our library. We go ahead and do a resend but without updating to received on the original il number. I do update Received?'s on Clio, because usually the problem is that we haven't received it properly in Clio (therefore it never updated to OCLC.) The main reason we download everything is so that we have an offline copy of the days Shipped and Renewals in ILL ME. That way when someone asks about their ILL request, we can just check the morning's session list and get the new due dates, recalls, and shipped items. We've experienced this problem as well, made obvious (and more problematic) by a recent change in our e-mail system (to web-based, from POP3/IMAP). While I have not had a chance to completely troubleshoot this and devise some solution, I can tell you that it is because Clio sends the e-mails out as a Rich Text Format (.rtf) attachment. Many systems are able to recognize the attachment and simply display it (Pine, the Netscape mail client and, presumably IE client). Others, including our new e-mail system (Netscape Messenger Express), don't know what to do with it and just show an attached file that must be downloaded then acted upon. While this is a pain for the user, fortunately all modern word processors (including Wordpad) can read .rtf files, so they can download the file and open it for viewing. A better alternative, if it is possible, is for the messages to be plain text files. Better yet, is if the plain text file could be in the message body rather as an attachment. To avoid the loss of your database make = sure you=20 maintain a backup copy of the cliodata.mdb file.  Be sure to test = this=20 backup copy.  If the database is backed up improperly then your = backup=20 maybe corrupt as well. 
To test your backup
1.  Close Clio.
2.  Rename your cliodata.mdb file = temporarily=20 to cliodata1.mdb.
3.  Rename your backup copy = to=20 cliodata.mdb.
4.  Start Clio and point Clio to = the backup=20 copy.
5.  If Clio opens and you can do = some=20 searching then it is safe to say you have a workable = backup.
6.  After completing the test, = close=20 Clio.
7.  Rename the backup copy to its = original=20 backup name.
8.  Rename the active copy of = cliodata back to=20 cliodata.mdb
9.  Start Clio and point it to the = cliodata.mdb file in its normal location.

It sounded really terrific, and it is, of course, with 2 exceptions: 1. direct requested items cost more in OCLC, wether ClioRequest or ILLDirect from Firstsearch. According to my OCLC Sales Institution Detail Report (monthly) the following charges apply: ILL Request $ 0 ILL Request Review $ 0.50 ILL Direct Profiled Prod $ 1.33 These charges were raised to the current high level shortly after we, WLN, merged with OCLC. 2. I have set up ILLDirect to direct produce LOANS of books and AV for faculty, staff, students and grad students if there are free lending libraries in the holding path. However, this works only of the patron supplies the OCLC number. If s/he doesn't, the request goes to the REVIEW file and requires staff intervention anyway. You can pull up the record in ClioRequest and add the OCLC number to the record, but then where is the convenience? I have decided not to use ILLDirect or ClioRequest for copies. It is preferrable to pick locations from the union list holdings. We are a small and very specialized school, and we also do ILL for local businesses. Only a small number of our ILL requests for copies are from FirstSearch. We also buy blocks of searches from FirstSearch, so it is being used very judiciously. You know what that means! I do love ILLDirect , and I find the extra cost connected with each request shameful! I like that feature because I, too, want to choose the lenders from my custom holdings groups. The really nice thing about having it go into your review file is that the patron has to find a valid article in First Search and then all that typing is automatically entered into your review work form, usually including the ISSN. Then I just use the "apply" command after finding the record and choosing a lending string. It works like a charm, saving me lots of typing and also the frustration of trying to read a patron's handwriting or to decipher incomplete citations.
