If you are using Office95 or Office97 you will need to create a new
database, give it a file name and save it somewhere, then use the attach
feature to attach tables from the Cliodata.mdb. This way you can build and
keep your own custom queries and reports without interfering with the
structure of clio.

A method for entering new Patrons was contributed by Jason Newborn at the
Univ of CA at Davis:

You can get to the Review New Patrons screen from the Main Borrowing
screen. You will want to enter enough information about the Patron so that
Clio will recognize the Patron when he/she appears in a Borrowing request.
Clio uses the settings on the Patron Preferences screen to do this. So, for
example, you may wish to enter the Patron's dept, or a Patron ID #,  as
well as the first and last name. See the portion of the manual in Sec 3
which describes Patron processing.

In order to manually add new libraries you go to the Administration menu,
Open Tables, and select the Libraries Table(click Yes on the warning
message). Then scroll down to the bottom of the table where there is a
blank line with an asterisk on the left. The names of the fields are at the
top of each column. You can make them wider by placing the mouse cursor on
the line between the labels and 'draging' it to the left or right.

Type the library symbol and institution name for each new library in the
appropriate column on one line. As you start typing a new blank line will
appear. You can use the tab key to move from one column to the next and the
down arrow key to move the next line. After you have typed in a batch of
new libraries, scroll over to the right until you find a column labled
'LendingUpdated'. Enter a 0(zero) in this column for every new library.
Close the Library table screen.

You can then use the Review New Libraries screen on the Main Lending screen
to add the addresses and othe contact information.

Once again Jason Newborn at the Univ of CA at Davis provided a good answer:

I would add the following:

In Access 95 and 97, the 'attach' feature has been re-named to 'Link'. If
you create a blank database and go to the File menu, you find 'Get External
Data' and then the choice of 'Import...' or 'Link Tables...'. Choose Link
Tables and locate the file cliodata.mdb(the Clio database, probably located
at c:\cliodata\cliodata.mdb). You can then choose which tables you want to
link, e.g., LendingRequests.

It is important to realize that you are not making a copy of the data in
the database when you link a table from the Clio database to another one.
You are looking at the real thing and can add/delete/change records in
addition to producing your own custom reports.

For the particular report you are interested in, there is a field called
'DateLastUpdated' in the Borrowing Requests and Lending Requests tables.
This field is updated automatically everytime the status of a record is
changed by the user.

We are including some new features in the next version specifically for
Referral/processing center libraries such as your own. Sue Kaylor at
Wellesley Free Public Library suggested several.

Please let me know if this is not clear.

many of our reciprocal libraries are being charged IFM charges.
We have checked all of the settings in the microenhancer and in

Have you checked to see that your staff uses a constant data record which
specifies IFM as the billing method for these records? Constant data
records are manged from within Clio on the Lending Updating screen.

We had this problem with Clio when we first started using it.  I created
three constant data records for loans and copies, one for recips, one for
IFM and one for invoices now I can choose which payment item from the list
and no more mix ups.  Hope this helps.

The following information was recently uncovered in the Microsoft
documentation relating to using Access on a Novell network. It proven to be
usefull in a number of Clio installations on Novell networks.

>If you are attempting to use large Microsoft Access databases on a Novell
NetWare server, set the "maximum record locks per connection" to the
largest allowable value (10,000).  The execution of large bulk operations
in Microsoft Access (such as a large update query) can cause the server to
run out of record lock connections.  If you don't set the number of record
locks to the maximum value while using Microsoft Access, it could result in
the loss of data due to a server crash.
>See your Novell NetWare documentation for a description of how to set the
number of record locks.

You may wish to pass this on to your systems people for evaluation.

Cheryl,  We experienced this same problem and the culprit was a <.> in one
of our reasons.  When I removed the period all was well.

I noticed today when I placed ILL requests on OCLC and saved them to
CLIO that along with the name in the :PATRON: field, I'm also bringing
the :SHIP TO: field (or at least part of it).  Has anyone else noticed
this?  Should I contact OCLC about it?  I'm assuming it's related somehow
to the move of the :PATRON: field to a different place on the OCLC
workform since I haven't had this problem before today.  I need advice
on what to do--wouldn't want to go into CLIO and have to edit all my
patron names every day.

This a temporary and , hopefully not onerous, side affect of the patron
location change.

The new version which we are releasing now has adjusted the parsing method
for this field to eliminate these extra characters from the patron field
which is stored in Clio. Everyone should have the new version by the end of
the month.

If anyone's workflow and/or procedures are significantly impacted by this
temporary change, please let me know right away.

I had the same problem.  I had to put all the patron names in because an
error message in clio kept saying can not set value.

Thanks for the instruction, I no longer get the strange message. However still
there is "NO DATA" in any of the statistics file. How do I fix that?

The new upgrade is available on the internet, but I am not able to download it
as the internet access computers are macs and the OCLC terminal is windows95.
Could you mail me a copy as soon as possible. Right now we have to add the
patron name individually now that OCLC has moved the Patron field.

Take a look at the manual in section three where it discusses the Patron
database and Patron matching. "

We have used Clio v2.1f for about one month and we have 4 workstations
to run Clio. The clio is crashed almost everyday only in one workstation
when I select c:\oclcapps\illmewin\ill.dat after clicking get new oclc
requests. I installed and set up all of the four workstations.

Does any one have this problem? Any suggestions or comments about how to
fix it are appreciated.

I am not sure whether I understand your question or not but I will try to
help you out anyhow. We have determined that only one machine is allowed to
use the illmewin data file.  We are working with four workstations as well,
and have only been using Clio for a month as well!  I am not sure whether
the crashing issue you have is associated with trying to use the
Microenhancer data file on too many computers or not.  In our set up we have
one computer from which we do all the updating to OCLC through the
Microenhancer.  The rest (3 other workstations) save the updates to the one
file that exist on the Microenhancer computer.  So that, only one computer
has the Microenhancer program but the rest of the workstations still may
update records.

Gotta jump in here ...

The CLIO database may be shared in a network configuration.  Using "GET NEW
OCLC RECORDS" stores the selected records into the shared CLIO database.

Files downloaded by the MicroEnhancer and created by your "screen saves"
generally reside on the hard drive of a particular workstation.  To "get"
these files you must be able to set the path to that particular drive and
file.  In our case, we have CLIO loaded on every workstation and have
recently loaded the (free!) Microenhancer on every station to simplify this
activity.

We have 4 workstations to run Clio. I have installed ILL ME and Clio in
each workstation and I only copy the cliodata in one workstation which
is shared for the rest of 3 workstations. I know that the screens.svs
and ILL.dat are in the individual workstation that created by person who
used the workstation to run Clio and it should be ok to using "GET NEW
OCLC REQUESTS" to get the data from the screens.svs and ill.dat files
into "cliodata" which located in only one workstation. The three
workstations work very well and only the workstation that is in my
office has crashing problem. I don't know why. What I did:

Open ILL ME
Select download message file
Checked all of selections except "pending" and "unfiled" in the Batch
Download Selections dialog screen
Click ok
...... every thing is ok in ILL ME

Run clio
Click go to borrowing
Click get new oclc requests
Choose c:\oclcapps\illmewin\ill.dat
Crashed

Turn off computer and turn on computer
Run clio
I was asked for help in locating the database and I need to map the
shared drive: i:\\mlids\cliodata\ ....
And then everything is ok for a while. Crashing happened almost
everyday.

Any help would be great appreciated.

Beth,

Yes, I loaded Clio in each machine. There is no server in our library.
If we want to install Clio in a server we must install it in Computer
Center. Therefore I just copy cliodata in one of our PCs and we used
"files/folders share feature" in Windows 95.

Larry Perkins has sent me five files that I copied to my clio directory
to replaced the old five files today. So far it works well and hope the
problem has been fixed. I will report it to this list if it works well
for several days or a week.

We run Clio on just one computer and it crashes (freezes) about half the time.

 I've asked the staff here to go look at the lights on the hard drive of
their workstation and the database server because it's frequently cranking
away on a query when they decide that it's crashed - it hadn't crashed it
was just working.  It's worth a try?!

I know that some brand-new clean update dat file would help.  I've copied
things around several times the lazy way (which I admit is not the best
way) and as a result ended up with the same dat files on several pcs.

        I installed the upgrade of Clio yesterday, and was delighted to
see that I could reset the # of copies requested in both the copyright
compliance and copyright status fields.   But when I tried to generate
both copyright compliance and copyright status reports I get "there is
no data for this report" after changing the default to 2.  All of my
photocopy requests have "CCG" in the copyright compliance field, and all
copies are received as copies on clio.  Is anyone else having this problem, or
is something wrong about the way I'm placing copy requests on OCLC or updating
them in clio?

        I also generated a collection managers report for the past year for
photocopies only.  It was wildly inaccurate - finding only 36 titles.  IF
anyone has any suggestions or is experiencing the same results please send
them to me or the list.

When you set the # of copies to 2, it means that a title will have to
appear more than that number of times in the time period you select.

Try setting the # of copies to zero and let me know the result. Also, when
you select 'Previous year' on the Statistics screen it means the previous
calendar year, i.e., 1997.

Note the definition of Previous year above. I will take a look at the
database as of the time we converted it from Saveit (11/97)and let you know
if I find any discrepancy.

As far as I can tell there is no pre-disposition in Clio to only count oclc
records for this report. I have tried to duplicate the problem on some
sample databases that I have obtained from other users and I cannot do so.

How large is your database( in megabytes)? Perhaps you could send it to me
and I can take a look and see what is going on. If there is a problem here
that I have not detected, it certainly needs to be corrected as soon as
possible.

I can't get the machine to accept our phone or fax number in the ala
preferences form.
with dashes - no luck... with spaces     no luck.... with just filling
over the other numbers- noluck.
I get the message "Value isn't appropriate for he input mask (yaddah ya
dah) specified in this field.
I am more than willing to put it in any specified form but can't seem to
guess what it is..

Has anyone done it yet ?

Actually this is my fault for not putting the 'sample' data in the field in
the right format.

The easiest solution: click on the label for the field ("Phone" or "Fax").
This will hi-lite the entire contents of the text box. Then, just type your
phone number, all 10 digits, no spaces, dashes, parens, etc, just the
numbers. Click the Tab key to go to another field.

Sorry for the confusion.

Thought I would share my joy with the list, since Clio knocked my
socks off just now! I went into the statistics section to run our
patron breakdowns for the annual report.  I simply cannot believe how
easily and quickly Clio did the calculations for me!  At some point,
I'll need to learn Excel more thoroughly, but it was lovely to see
how much Clio can do on its own.  Kudos to the Perkins!

     wrong patron name?  Also is there  away to correct this error?

It means that the borrrowing request has been 'matched' to the wrong Patron
in the Patron database.

It can be fixed as follows:

-call up the borrowing request on the borrowing request details screen,
click the 'edit' button.
-in the upper right hand corner of the screen there is a box that is
labeled 'matched'. It probably says 'Yes'. Change it to No.
-go to the 'Review new Patrons' screen and re-match' this request to the
correct Patron.

But what about entering overseas numbers into the Clio form?  Many have
more than 10 digits and are excluded by the field in Clio.

I've seen people talk about the patron database.
What is that, and how much work do you have to put into creating it?
Can you get along without it?

Ruth,

I used CLIO at a public library ILL office.  We did maintain a patron database,
although I believe it is now an optional feature.

It does take a lot of time in the beginning, but if the bulk of your users tend to
be repeat offenders, then gradually the time spent entering their data dwindles.
This was true for a public library; for a college, I'm not sure, since you would
be getting new waves of users every semester.

But, if you do have that database, then you can use it to create notification
letters and many other handy items.
