My library's ILL office likes to use clio as the management tool. At the
same time, we are going to migrate our library system from Notis to
SIRSI pretty soon. Anyone on this group use SIRSI could you tell me if
SIRSI has part of or full functionality of CILO.
We just do not want to waste money or something that runs a while and be
replaced by something else.

There are three possibilities:
- The Patron Preference setting is not correct. Clio needs to know where
you are putting the Patron Dept and Status information within the workform.
You can put it in the :Patron: field or you can use the :PDEPT: and
:PSTATUS: fields. Clio needs to know which.
- If you are putting the dept and /or status information in the :PATRON:
field, it must look like this:
:PATRON: lastname, firstname dept: xyz status: abc
Capitalization of dept: and status: is not important. It is not necessary
to include both dept: and status:
- If you are using the :PDEPT: and :PSTATUS: fields, you may not be using
the savescreen macro that saves both screens of the workform. These two
fields are frequently on the second page. You can check this by looking at
a savescreen file with Notepad or any other word processor. It is just a
text file. If you are not saving both screens, then you can get the macro
which does save them both from the OCLC web site.

Has anyone had this problem:
we installed Office 97 onto my computer which is the only one that
has OCLC/ME & Clio. When I tried to access Clio, I could
not...Microsoft had taken over the clio -r12 and cliodata files. Our
systems man had to delete the microsoft material; get the original
clio installation discettes; then download the 1.2h version of clio.
It seems to be working fine now.
My question..is there something we should be doing when we install
Office 97 or Word 97 that will keep this from happening. Inquiring
minds want to know....thanks a lot....Betsy B.

Anyone ever had this error message???
2471 Invalid ref to field 'borrower's query
I just updated in Lending for a book, then got this message. CLIO did print
out my bookband,
but left off our Library's name, address, etc.
I went back and double-checked the bookband to be sure all the info was
there, and it is.
How do I get CLIO to print out a bookband with our Library's name, address,
etc???

There is one little setting that defaults to YES but you should answer
NO in the setup. Do you want to replace all the old files. If you
answer yes microsoft cleans all the old data off of your
system...unfortunately CLIO is accessed based and that is a microsoft
product and it cleans it off right along with everything else. When you
answer NO it leaves the old settings alone. Now, true it leaves the old
office programs on the PC but it does leave CLIO.
The other way is the way you finally did it. Wipe it all off and start
over.

I just compacted my database and when I changed cliodata.new to
cliodata.mdb it did not change the file type to access it still says NEW
file...now clio can't find the data and I don't know what to do next!

Hello,
I am another "newcomer" to CLIO and am trying to figure our June
statistics. When using our previous stats program (Saveit) I was
able to print out the following information for borrows:
Number of requests processed;
Number of requests filled;
Number of books/periodicals for each of the above;
Number of books/periodicals for faculty (FAC) and student (STU)
both processed and filled;
Average turnaround for the month.
I can't seem to figure out how to do this in one fell swoop with CLIO.
Does anyone have any suggestions for me? I've looked at the statistics
screen, but don't see any obvious solutions.

Having been at a SIRSI library for 5 years (UTMB Galveston), with Clio the =
last 2 of those 5, I can assure you that SIRSI and Clio don't talk, =
neither one knowing that the other is around. Now, you can window them, =
so they're both on the same screen at the same time, but they don't see =

Maybe this will help.
1. Go to Lending Main Menu.
2. In the menu bar at the top of the screen, click on preferences.
3. Scroll down and click on lending bookstraps.
4. Then click on preview report.
5. Here, you can change the message to read whatever you want.

I needed to find out how many free copies and free loans my department
sent out to Colorado libraries within the last six months. I was able
to generate a report via the statistics option in CLIO, but found no
export to Excel button to click on. I also discovered that my report
was somewhat incomplete. I found at least one library that I had
designated as instate, but did not show up on my Colorado list (and I
did check to see that I had filled requests for them within the last 6
months).
Am I missing something here?

I think that would be neat in for borrowing as well. That is, a button to
print an address label, with the address of the library whose record you
are looking at in the middle, and the address of the home library sideways
on the left edge.

Hello, everyone.
I am wondering if the Microenhancer imports direct requests into Clio
because it doesn't appear to. I've literally lost one-- it's not even in
oclc anymore, & the others I've done a save screen & imported that way.
Any advice?
OK, while we're at it here, is there a command to transform review file
requests into workforms? or is it a macro?
And finally, we just had to switch oclc addresses in our router & ever
since, the save screens I used on the non-clioed reference desk computer
are not coming into clio on our ILL workstation like they used to.

Hello Sandy,
Regarding DirectRequests into CLIO.
If you simply save screen in OCLC, then in CLIO, go to Borrowing ; Get New
OCLC Requests and Convert Marked Files, the Direct Requests will transfer
into CLIO. Be sure to have the File Name: C:\OCLCAPPS|SCREENS.SVS in one of
the blocks and have it x'd in the box.

Does anyone know how to get rid of the group classification groups in
the Library Database? One of my students accidentally typed in an area
code, and now we have a (616) group in addition to LVIS, Reciprocal,
etc. I'd really like to eliminate the classification group now that I
have corrected the individual record. Any suggestions?

If you go to the Borrowiing(or Lending) Stats screen, click, Group
Add/modify then select the Group you wish to delete, then click Delete.

Today while updating I closed CLIO and went to lunch. When I returned I
updated the last 4 requests. HOwever when I sent updates to the
microenhancer it counted only the last 4. I searched CLIO and found the
others updated in the file but they were not in the microenhancer or
updated in oclc. I fixed this by updating the requests again. That time all
went okie dokie. Weird

Sirsi's integrated library system is a completely different animal than
Clio. We are a Sirsi library and are about to implement Clio, as well.
The only thing Sirsi has to offer ILLwise is a clunky request module
that allows your users to place electronic ILL (and other) requests.
This module is not well integrated with either the user file or the
bibliographic file, but we do use it (thanks to lots of local
programming help). The only other thing an ILL office might do w/Sirsi
is use it's Circ system to charge out items loaned and/or borrowed.
However, like most Circ systems, it really doesn't accomodate ILL
transactions very well.
In sum, stick with Clio and figure out what Sirsi modules, if any, you
want to use for ILL activity.

Hello everyone,
I am a new Clio user and have encountered my first MAJOR problem, I hope
you all can offer some assistance.
Part of my database has disappeared. All entrees made after the 14th of
June are gone. I tried to update borrowing and discovered that item -30
was no longer in the database. This continues for all the items entered
after the 11th of June. Lending has the same problem and the library
database ends with library #20 when there should be 36 libraries total.
Is it possible that the network path I have chosen somehow is no longer
"seen" by Clio? What are the other possible answers to this problem?

As a new user of both Clio and ClioRequest, we are still trying to iron out
a few things and I am hoping that someone can offer some insight.
We normally email our patrons to notify them that an item has arrived and
they pick up the materials at the Circulation Desk. Our request form has a
location of the patrons email address and most of the patrons complete that
field because they know we use it to notify them. Since we are using
ClioRequest, we do not want to maintain paper file of the requests but when
we print the patron notification or photocopy coversheet or book strap
using Clio, the email address does not appear anywhere. So how do we get
the patrons email address? Is there some way we can get it to print out
somewhere? It appears on the OCLC request, but we usually do not have a
copy of that either?? I am curious how other libraries notify their
patrons and how they get around this problem if they are using ClioRequest
or functioning in a paperless borrowing operation.
Also, I have noticed that in my patron database the email address does not
carry over so I have to go in and enter it on all of the records along with
the phone number and address even though that information appears on the
OCLC request. Is that correct or do I have to change a preference someplace?
I am also curious how libraries who use ClioRequest handle requests for
items that you own in your collection. Do you delete them? Print and ALA
and then cancel them?
One last question for ClioRequest users, do you keep a log of the original
email messages that you receive since the record is overwritten when it is
processed in OCLC? If you keep them what is your procedure?
Any assistance is greatly appreciated as we are getting acquainted with the
software!

Since our server was down for almost 3 days, and that included CLIO too, I
learned
an important lesson.
I am now going to make paper copies of the CLIO forms that I use for back-up
in case
this happens again. e.g., bookbands, patron notification forms, invoices,
etc.
I was still able to use OCLC, but wasn't able to update in CLIO. So now, I
have to go back,
and pull down those ILL records, (hopefully through the ILLME), and update
them in CLIO.
Next time, at least I will have those forms available.

We are having a problem with inovice numbering--now that we are in FY 2000,
we wanted to begin our invoices with 20001. We were able to input the new
number in the billing preferences form, but we've tried making up some test
invoices and they are all coming up with last year's numbering (ie
99249). We were obviously able to make the change last year.
We are using 1.2h (just downloaded recently). After attempting to change
the numbering in billing preferences, I even got out of CLIO and rebooted
the computer. Nothing is working. Any suggestions, anyone?

Clio will use the *larger* of the Starting Invoice Number and the last
actual invoice number. Since 99249 is larger than 20000, it uses 99249.
How about using 200000?

Kathleen,
I have, in the past, used both statistical packages and CLIO is
supremely superior. OCLC downloads the ENTIRE RECORD. I downloaded the
file into EXCEL and you get every field in the record. You then have to
manipulate the information.
CLIO give you the information in a reportable format. AND you only
pay once instead of, at the time I had it, $450 per year.

The Library serves both the University of Alaska
Anchorage, with 15,000 students, and Alaska Pacific University, a
private institution with 500 students. From UAA's fully networked
campus, the Library delivers its Electronic Library services to the UAA
and APU communities at home or office as well as on campus. The
library's Health Sciences Information Service offers a full range of
library services to the medical community across the state. UAA is a
comprehensive metropolitan university consisting of the main campus in
Anchorage, four extended colleges, and additional sites in rural
communities and on military installations. The University of Alaska
Anchorage offers certificate, associate, baccalaureate, and masters
programs in the arts, humanities, sciences, and professions. The

Coordinate existing library instruction programs.
Develop and evaluate a technologically innovative and diverse library

instructional programs.
Work with other faculty to author and edit print and electronic
instructional materials. Coordinate the publishing of all materials
related to library instruction.

At least two years of recent reference and bibliographic instruction

We've had consistently excellent service from Perkins and assoc. Of
course, we are located about 30 minutes south of where they are, but I'm
under the impression that's not why we get great service. Every time I've
had to call the help line (and believe you me, we've called a bunch!), I
always get Larry on the phone and he's ready to help. Same with emailing
personally. I know they were at ALA and often have to travel to do demos
to other Universities, so thay may explain a delay...
that's our experience.

I have only contacted them once -- the afternoon of July 3rd. I didn't
really expect anyone to be there, but Larry Perkins answered the phone, and
immediately sent me, via e-mail, the documentation I was requesting.

My experience has been the exact opposite of yours.I have always had my

company, which is good and is what we want hear. We are not with CLIO yet,
but your experience will help us to make decision. As for the unanswered

The communication seems to be somewhat up and down. However, when I
communicated that I needed help ASAP, Larry responed right away.
I found that the first few weeks the response time was faster, then it faded

Could someone please help me with the instructions of printing a report
(lend or borrow) with the list of journal titles and the citation date
in a certain period of time. I can obtain this list in Search Borrowing
Requests but the citation date of the individual journal title is not
part of the report. I have also tied the administration table at
borrowing requests with edit filter,apply filter and output to excel.
But I can not specify the time period and the when I choose article at
the Borrowing Request drop-down menue I get book titles too!

I'm having "network" problems using Clio after downloading the
latest update. Normally, our second machine locates cliodata at the
network address f:\\x_ill02\cliodata. Clio will not accept this address
and changes it to f:\cliodata.mdb - not
correct of course since cliodata is on X_ill02. Naturally I get the
following error message:
Error: the database is opened by user '|2' on machine '|1. You
can't open this database exclusively.
Clio is working just fine on the primary machine - x_ill02. I
may have done something wrong in naming file locations on
x_ill01 so we could send updates to x_ill02. Now of course I can't even
open Clio, although after the upgrade I got the message:
"tables added". I've downloaded a bunch of upgrades, but something went
wrong here. I've sent two messages to the
Perkins people in CA with no response yet. Our automation people don't
want to mess with this one . . . If anyone out there
has a solution to this I'd appreciate hearing from you (please don't
respond to the list). Incidentally, we're using an NT system,
have Windows NT installed on X_ill02 (the primary machine) and Windows
95 on x_ill01.

changed the address of the of the cliodata file. To correct this, I moved =
cliodata from a "private" network drive to a more pulbic one, and it =
worked fine after that. The only problem is, that makes the data file =
vulnerable to being tampered with, or accidentally deleted by other folks. =
Is there another solution?

Hey folks,
I have been working on yearly stats and I noticed something that I can not
figure out.
When I run a yearly report from July 98 to June 99, I get a total.
But....when I run month by month totals(7-1-98 to 7-30-98, one for each
month) and add all the months together-I get a different total than the
yearly report produces.
Anybody got any suggestions or ideas?

I appreciate your response but this one seems to have everyone stumped
... I've changed the directory file for cliodata from f: to
o: and even p: but the response is exactly the same. My entire C drive
is actually shared, cliodata is certainly shared. I've changed
it from "yes" read only to "no" read only. Even Larry Perkins has not
been able to sort this one out, much less our own
automation people who have plenty of other things to mess around with.
I'm considering deleting the entire clio operating system
from the second machine, and then downloading the upgrade and starting
all over again. I might still have the same difficulties.

This will show my ignorance regarding files & folders, but perhaps it will
give some a chuckle for the day.
Once the compacting is done and you rename files (cliodata.new to
cliodata.mdb & cliodata.mdb to cliodata.old), do you rename future
cliodata.old's like cliodata.old1, clilodata.old2... or will this cause a
problem?
Also if you have multistations, do you need to archive/compact on all
stations?

Hi, Larry,
I recently ran the statistics for our annual report. The problem is that
the borrowing total given by the "Borrowing Statistics Report by Group"
and the total of "filleds" I add up from the patron or department status
reports (which match each other) are not the same.
More specifically, our borrowing filled total (from several Borrowing
Statistics Report by Group) is 6,090. By the Patron and Department
Status reports, I figure the total filled as 6,275 (by adding together
the filled copies, 4543, and the filled loans, 1732.) There is thus a
discrepency of 185.
Yet, if I subtract the unfilleds and cancelleds from the 6,275
(unfilleds and cancelleds equal 190), I come out with 6,085--five away
from my original borrowing total of 6,090.
Is this mere coincidence or is there something wrong with one of these
reports? It seems to me that maybe the "filled" tally in the patron and
department reports is also tallying the filled and unfilleds?

It seems to me that you want to map \\x_ill02\cliodata to drive f: Then the
network address of f:\cliodata.mdb should work. Refering to
"f:\\x_ill02\cliodata" makes no sense at all to me. You can use a command
line "net use f: \\x_ill02\cliodata" command or map it in the network
neighborhood. I'm presuming that the machine your data is on is called
x_ill02 and that the share is called cliodata.

Clio 1.2H, which is the current official release, is Y2K
compliant.

In this particular case I suggested that the report "Borrowing Statistics
Report by Library(all Libraries)" be examined.
When that was done, the results of the 'All Libraries' report matched the
other two reports. The reason the Group report did not match, and actually
had a smaller total, is that there were some libraries which are not a
member of any Group, and therefore are not counted in the 'Group' report.
I am in the process of putting a utility module on our web site which will
allow you to determine which libraries are not members of any group. I
will announce its availability in a day or two.

Access queries used here to help make statistical reporting accurate by identifying areas to be "cleaned up" are:
Requests unmatched to patron file
Patron records without dept
(Could also use patron records without status)
Maxcost blank
Libraries in more than one group
Libraries not in any group
Match verification -- check records updated on a particular date, displays patron name from request and
displays first and last name of the record it is matched to.
If you need any of these, let me know and I'll be glad to send them.
