I saved the request and received the prompt for the library information, which I suppled. I then answered "yes" to printing an ALA form. What was printed was an OCLC request for another patron, different material, to the University of Nebraska. That OCLC request now HEADS our list of requests, coming before all of the ALA requests. When I searched by the lending library symbol I had used, this OCLC request to LDL comes up (not the one to qhu). The only thing I remember doing while filling out the request was chosing usmail on a drop down on the left hand side of the the ALA form, since this was to be mailed. I have contacted our automation people, but they are as puzzled as I am. I have no idea how to get the OCLC request back in its regular numbered sequence AND linked to Lender equals LDL, not qhu. I am also wondering what happened to the ALA I created and saved. At this time you would enter the number of pages = received in the Number of Pages field. There is no easy way to do this. = You literally have to count the pages and enter that total in the = field. When updating is completed and you have sent the updates to the = Microenhancer click on Statistics on the Main menu in the borrowing = section. When you select the option to run a Copyright Compliance = Report, determined the number of copies to exclude and the time period = you are ready to run the report. In the Date criteria field depending upon the CCG rule, you will = enter the publication years for material that might have royalties due. = I am assuming royalties are possibly due for photocopy requests from = material with publication dates from 1996-2000. To perform the filter = for this time period you enter in the critieria the following: Like = "*1996*" Or Like "*1997*" Or Like "*1998*" Or Like "*1999*" Or Like = "*2000*" 10.. At this time run the query by selecting Query from the Menu bar = then choose Run. 11.. Review the result of your query to see if it filtered properly. 12.. When you have found that the requests are the ones you want to = have a CCG placed in the CopyrightComp field you are now ready to = perform an update query. 13.. You should now see that the title of your Query should say Update = query and there should be an extra row entitled "Update To:" 16.. In the Update To: field under Copyright Comp enter CCG. Run the = query. The query will display a window informing you of how many rows = you are about to update. Choose yes. 17.. Depending upon the amount of requests you are updating it may = take awhile. When completed you are done. 18.. At this time you can go back to Clio and on the Borrowing Request = side attempt to run the Copyright Compliance Report to see if it has = corrected the problem. 19..   16. In the Update To: field under = Copyright Comp enter=20 CCG.  Run the query.  The query will display a window = informing you=20 of how many rows you are about to update. Choose yes.
  17. Depending upon the amount of requests = you are=20 updating it may take awhile.  When completed you are = done.
  18. At this time you can go back to Clio = and on the=20 Borrowing Request side attempt to run the Copyright Compliance Report = to see=20 if it has corrected the problem.
  19. These same steps can be performed on = the Borrowing=20 Archive table.

What kind of connection do you have to the internet? (dialup?,dsl,T1,T2, etc.) I have a dsl connection. Before you reply to this question go ahead and attempt the following. First thing you must let Clio know your email settings. Go to Preferences at the top of the Clio window. Select Email Setup. At this time you enter your server name. It usually starts with mail.###.###. You then must give a return email address which should be a repliable email address. Some email addresses are not repliable. Next place the name of the individual in the My Name field, who will be responsible for email notification. Enter your Library symbol in the appropriate field. Be sure not to leave this setup without entering information in all the fields available. After this has been done attempt a test of your setup by creating a test ALA request. Go to your main menu in the borrowing side. Select the Prepare ALA Form. On the ALA form enter a patron name, like one of your coworkers. Be sure you select the option the request is a loan. Enter their email in the PEmail field. Make up a book name, etc. Complete the creation of the ALA then Save. Print out the ALA request so that you will remember the number. Now return to the main menu then select Update Borrowing Requests. Click on Received Loan option. Enter the ALA number -#####. The time that is shown per session is based upon you computer's clock during the time of download from OCLC by Microenhancer. As for Clio, when you Get New OCLC Requests it checks the ILL.dat file for the sessions that the Microenhancer has stored. Check to see if Clio is still pointing to the location of the directory where the Microenhancer stores the ILL.dat file. Also check to see that the Microenhancer's data directory is the same as Clio. There were some items in Borrowing that took a very long time. Using options in searching borrowing requests I found one 73 day item (a copy of an international patent), however it is the 50 day loan that is puzzling. I know it was updated to received on July 5. I have done a variety of searches to narrow this and have gotten results equalling nothing. In desperation and curiosity, I looked at all loans updated to received on July 5. The oldest request date was June 15, certainly not 50 days. I believe the turnaround days are calculated including week-ends, so I knew when we must have requested this loan, but I am not finding anything. What do I do? If you are not comfortable modifying = queries or reports I suggest that you do not attempt this. =20 The new fields will attempt to place the Lender's address that came with = the request. If the ship to field is empty on the request it will = retrieve the address that is stored in your Libraries table. =20 =20 ***I always suggest before attempting anything that requires changing a = query or report to make sure you have a backup** =20 1.. Start Microsoft Access 97. You want to create a new database with = no tables. Call the database Bookstrap. You are going to import the = tables, query, and report you need to perform the update.=20 2.. Go to the Menu Bar select File. From the drop down list select = Get External Data. The next option you will see is to either link or = import the tables. You want to import the tables.=20 3.. You will see a window pop-up requesting that you find the database = that has the tables you need. The database you need is Clio.mdb. This = can usually be found where it was installed. The default directory = would have been c:\Program Files\Clio2\Clio.mdb. =20 4.. After you have selected the Clio.mdb database you will be given = the option to select tables, queries, form, reports, etc. Under the tab = Tables select the Select All. She wishes there was a way to place the Lender's address = on the=20 Borrower's Bookstrap so that it could be used as an address label in = returning=20 the material.  I am new to this list so I am not sure if = instructions have=20 ever been posted so here they are.  If you are not comfortable = modifying=20 queries or reports I suggest that you do not attempt this.  =
 
The new fields will attempt to place = the Lender's=20 address that came with the request.  If the ship to field is empty = on the=20 request it will retrieve the address that is stored in your Libraries=20 table.  
 
***I always suggest before attempting = anything that=20 requires changing a query or report to make sure you have a=20 backup**
 
  1. Start Microsoft Access 97.  You = want to=20 create a new database with no tables.  Call the database = Bookstrap. =20 You are going to import the tables, query, and report you need = to perform=20 the update.=20
  2. Go to the Menu Bar select File.  = From the=20 drop down list select Get External Data.  The next option you = will see is=20 to either link or import the tables.  You want to import the=20 tables.=20
  3. You will see a window pop-up = requesting that you=20 find the database that has the tables you need.  The database you = need=20 is Clio.mdb.  This can usually be found where it was=20 installed.  The default directory would have been c:\Program=20 Files\Clio2\Clio.mdb. 
  4. After you have selected the Clio.mdb = database you=20 will be given the option to select tables, queries, form, reports, = etc. =20 Under the tab Tables select the Select All.  This will highlight = all of=20 the tables.  After highlighting all the tables click on the query = tab.  Now you want to pick the query that we will be used.  = This is=20 BookStrapQry.  After selecting the query click on the Report = tab.  Select BorBookStrap.=20
  5. Now you click OK.  This = will upload=20 into your new database one query, one report and all the = tables. =20
  6. First we want to modify the = query.  Open the=20 query in design mode.  In the design mode we are going to = add a new=20 table to the query.  The table we want to add is Libraries.  = From=20 the Menu bar select Query.  From the drop-down list choose Show=20 Tables.  A pop-up window will appear.  From the window = select the=20 table Libraries then click on Add.  After selecting the table = close the=20 pop-up window by clicking Close. 
  7. You should now see three tables in the = design mode=20 of BookStrapQry.  At this time we want to join the new table = relationship=20 to the tblCompRqsts table.  This relationship is between Lender = in the=20 tblCompRqsts table and LibrarySymbol in Libraries table.=20
  8. Now you want to place some extra = fields to run the=20 query on. Add InstitutionName, ShippingAddressLine1, = ShippingAddressLine2, and=20 ShippingAddressLine3, and Reserve5 (The reserve5 field holds the "Ship = to"=20 information that came with the request).=20
  9. After this is complete go ahead and = save the query=20 with the same name.=20
  10. Now you are ready to update the = report.  Open=20 the report in design mode.  On the bookstrap design you want to add five text boxes.  Remove = the textbox=20 labels.  For each text a source will be defined.  = The easiest=20 way to create a definition for a text box is clicking inside the text = box then=20 enter the definition.  Another way is to select the text box, = right click=20 with your mouse, select properties then hold the key combination = Shift+F2 (the=20 function key) Here are the definitions for each text = box:

 Also you may want to adjust the = font,=20 its size and the length of the fields.  This done by right = clicking on=20 the field you want to edit then a pop-up menu appears.  Select = properties=20 then format.
  1. When you are done save the report = with=20 the same name.
  2. After saving, go back to the = query and=20 highlight the BookStrapQry and choose from the Menu bar File.  On = the=20 drop-down list choose Save As/Export option.  Choose the = option to=20 save to an external database.  Find the Clio.mdb file.  = Select=20 it then export the file.  When it asks you if you would like = to=20 overwrite the existing file say, yes.  Repeat this step for the = new=20 report you created.  =

Click on the relationship line between Libraries and Group Members. A pop-up window should appear. This window will give you the option to create an outer join. Pick the option that states, "Include ALL records from 'Libraries' and only those records from 'GroupMembers' where the joined fields are equal." For the relationship line between GroupMembers and GroupNames do the same. Click on the relationship option that states, "Include ALL records from 'GroupMembers' and only those records from 'GroupNames' where the joined fields are equal." Now you want add these fields to your query. Library symbol, Institution Name, and GroupNames. After adding these fields to your query to cull out the Libraries that have no group name you want to add to the Criteria row for GroupName field the statement, "Is Null". Now you are ready to run the query. Run the query then print it out. After running the query save the query. Remember that since we imported the tables to this database the information will not automatically update the Clio database. In your case the null fields could be the dept field or the Title field. You want to have data in these fields. To check for a null dept field go to Administration on the Menu bar in Clio. Select Open tables. Click on Borrowing requests. Scroll to the field entitled "Patron2:" This fields contains the dept data. Select the column then click on the sort ascending tool. The request with null depts will be displayed. You would do the same steps for searching for null title field. You might also want to add to your filter the date requested if you have a lot of old requests that you don't need to adjust the null situation. Select the advanced filter/sort then place in your query the reqdate field enter a data parameter e.g. >01/01/99. Let me know if this does not work. SaveIt, for those of you who never used it, also incorporated the SaveScreen function from OCLC. However, it doesn't save it to the same place that it's saved to when using Clio. Something went amiss in the download this morning and I was unable to access the pending requests, even though they DID download. So I figured, hey, no problem, and I printed out all the in process requests. Since we only had a couple requests still pending from Friday, this made it possible to get all our new requests easily. But I have since discovered that Clio doesn't read the In process requests, only the pending ones. Is there a WAY to get Clio to read the inprocess requests? If so, that would solve our problem.
