If the Billing Method in the Constant Data record used when the record is
updates is set to 'Invoice', an Invoice will be created regardless of the
dollar amount.
Set the Billing Method to 'none'.

Hello list!
I was wondering if anyone had trouble with Clio on or
around April 27th. On that day I updated a lot of records
in the Borrowing menu in Clio, mainly Returns. Everything
seemed to be fine when the records were sent to the ME. But,
a couple weeks later, when I was working on overdue notices
for our patrons, I noticed a problem. Most of the overdue
records were still RecLoan in Clio, but Returned in OCLC.
The records should have been Returned. What I wondering
is, was there a hiccup in Clio and the ME around that time?
Or did I do something incorrectly? If anyone has
experienced this problem, please let me know. Thank you!

Very interesting! I was gone for a week and a half, and today I printed
out overdue notices and almost all of them were for items that are
either indicated Returned in OCLC or are no longer in the OCLC system
(presumable returned). Oddly enough, this occured about May 20th. I
know several of these records were updated to Returned in Clio, because
I checked them when I returned on May 27th. But when I printed out the
notices today, as I mentioned before, they were changed back to
RecLoan.??? This is very bizarre and has never happened before.
Any ideas???

Well, I figured out our "hiccup." We had a little technical craziness
here while I was gone and a few things on a couple days got a little

I am beginning to notice some lending charges that show up
on the OCLC record, although I did not indicate any charge
on CLIO. How can this happen? Also the reverse has
happened..I charged a lending fee of $8, created & printed
an invoice, yet OCLC shows lending charges of 0. Has anyone
else had this problem or am I missing something? It happens
rather infrequently, judging from the response I get from
folks who were mistakenly charged a lending fee. Thanks!

We recently purchased the ClioRequest software and our systems department
has asked me how other libraries have installed the software so I am
looking for some help on this one. I have listed their questions below.

What do you have in terms of hardware and software?

You might check the "preference" settings on the lending side in both
Clio and the illmew. There ought to be an arrow indicating
"0" if you actually don't charge. Also check the Constant Data manager
in the Illmew to see if it's set to $0 also. I'm not actually
sure why this might occur occasionally but this might help. Clio
interacts with the illmew and then the illmew interacts with OCLC.

Good afternoon,
We have just recently started printing out our "Renewal Okay" messages from
CLIO so that patrons know if they have received a different due date than
what we asked for. Problem is, CLIO is not distinguishing between records
that have been received and renewed or books that have been returned and
we've got a WHOLE bunch of notices that are not correct (since the books
are actually returned). It'd sure be nice if the program "knew" not to
print out renewal okays if the clio status shows Returned. Not sure what
else to do to remedy this problem, though we're open to suggestions! (and
keep in mind that when we printed out today, there were 124 records printed
so it's not too easy to manually update the records that show the item
returned).

Hello,
I am new to this listserv and new to Clio. I have put in my first 11
requests and I am unable to print 2 copies of the ALA form at the same
time. Is there a trick to setting up the preferences? (We still keep a
paper trail at our library). I have printed duplicates, but only after
printing one form and then going to search borrowing and printing the
second form from there. I checked the manual and could not find anything
that pertains to printing. I also went to the CLIO help function. This
did not discuss printing either. If anyone can help me out, I would
appreciate it. Please respond to me directly.

The 'Custom Search' field is a field attached to every Borrowing Request.
Information can be entered into that field by the user when the record is
updated to RecCopy or RecLoan or on the Borrowing request details screen.
You can enter anything you want.
The intent of establishing this field was to answer a need which had been
expressed for reports based on information that Clio did not have. For
example, Clio does not ordinarily receive call number in the OCLC message
files. Or, perhaps you want to store some characteristic of the Patron in
addition to Status and Dept, like Course Number.
You can retrieve borrowing requests by the content of this field and there
is a report which will aggregate and count the requests according to the
content of this field. A simple, but non-useful example, would be if you
stored the color of the book in this field, you could retrieve all
borrowing requests for books which were Red and get a report which would
tabulate the number of loans/copies/filled/unfilled/canceled according to
the color. Call number is probably more useful.

Well folks,
As many of you suggested to me, I've made sure that all of the constant
data information for all $0.00 charged items reads 'none' in the billing
method field.
In Preference/General/Billing Method we've set the Lending default
method to 'none.'
Still, this morning, we had about 15 invoices print for $0.00 charges.
I've also noticed that in viewing a linked table to the Lending Requests
module, the 'Reported' Column reflects 'Yes' for several of the $0.00
charges/billing method = none records.
Am I missing a switch somewhere? We'd really like to get these $0.00
invoices to stop printing.

Im a little confused about how the patron matching works. When we are
getting OCLC borrowing requests, we always get "new, do you want to
match?" even though the patrons are not really new. I set the Patron
Preferences to Last Name, 1st Name. But, in my OCLC patron field I put
Last Name, 1st Name, status, and contact info. Is this causing the
mismatch? Is there an easy way to fix this?

I used to have this problem, too. Entering last name, 1st name, status,
and contact info in the OCLC patron field is probably the source of your
problem. Clio only automatically matches patrons who have the EXACT same
information. Soooo, if one time you enter "Doe, Jane; grad; jane@" and
the next time you enter for the same patron "Doe, Jane; grad;
jane@aol.com" Clio will think you might have a different patron. How we
remedied this was to enter patron status in the OCLC status field and
patron contact info in the OCLC department field (or you could use patron
address). Then make sure that in Clio under Preferences- Patron, you have
the following checked:
-For "Where do you store the patron dept. and status?" mark PDEPT/PSTATUS

-For "Which fields do you want to use in the Borrowing request to
match...?" mark Last name, first name
If you do this and are sure to enter patrons' names the same each time
(like using a middle initial every time if you want), it should fix your
matching problem so that it only brings up TRULY new patrons.

I am a new Clio user and am running Stats for the first time. It is not
clear to me at what point in the ILL process the stats are being read. Is
it the Request Date, the Completed Date? I thought I could confirm this by
doing Stats manually and comparing, but that is very tedious.
Also, I am not getting any stats on Copyright compliance. I do not see
where to input our CCG status, other than the OCLC field. How does this
work?
Any hints and advice out there for a new user?

Your information on your workform before you produce your request
should be consistent with your clio information on your patron
department and status. Clio reads those fields. Example:
:PDEPT: HISTORY :PSTATUS: FACULTY and your patron
name :PATRON: DOE,JANE ----- :PATRON: DOE, JANE
if you leave a space after the comma in one and not the other it
reads it differently. This has been my experience.

You can also fix the past miss matched requests by going into the
administration and clicking on open tables and borrowing requests
and tab over to the patron2 which is the dept and patron3 which is
status and correct them for your statistics.

this, the computer gets stuck and you lose connection to the network. We
think it's probably a network problem, but our interlibrary loan people are

even heard of it?

This is a "bug" in the current version. If you search a specific IL#,
Patron Name, etc. for the record, you can enter the amount, but not the
Date Paid nor Check info. You must scroll down to the borrowing request
record in the full listing of borrowing requests to enter this information.
Larry is aware of this problem and promises to "fix" it in the next
release.

where some of the non-OCLC libraries in our CLIO database are now OCLC
libraries. Naturally, we would like to switch them from the symbol we
created to the OCLC symbol. If I simply delete the non-OCLC symbol from
the library database, do the records that were input under that symbol get
deleted too? Any advice on how to handle this for reporting purposes (so
1 library isn't entered twice)?

We got the same problem. And we found out that we could not edit the date
paid field after you have done any search. You can do this while you just
scroll down the list without doing any limiting.

that if the word you use to search is the first word of the title, Clio will

Northwest", "Geochemistry as a hobby", etc. But, it will not find "I really

We still haven't received our new hard disk, but so i am prepared
when it finally does get here, maybe this wonderful list of people
could answer a few questions for me.
I guess i will have to reload the ILLME from scratch and also Clio.
One question is, with Clio, do i just load the 1.2 version and then
the 1.2h update? And then how do i download by backup version? Go
into my computer and download into cliomdb? I'm one of those
people who knows just enough about computers to get into trouble, but
not enough to do it quite right the first time...

If you are preparing to download a new version of Clio from our web page,
or installing a new version form a disk set, it always a good idea to make
certain that you have a current backup of the database (the file
cliodata.mdb). I hope that everyone backs up this file everyday.
In addition, you may wish to make a backup copy of the file clio_r12.mdb,
which is the main Clio application file. It is located in the Clio folder.
If for any reason the new version produces unintended and undesirable
results, just put the old file back in the Clio folder and you will be back
to the previous version.
Compacting the database is a good thing to do every couple of months or so,
particularly after archiving.

This can happen if you update some records using a particular constant data
record, then change the content of that Constant Data record, update some
more records using that Constant Data record, then send the updates to
Mewin/OCLC.
What happends is that OCLC only gets the Constant Data record Name with
each ILL number and then one copy of each unique Constant Data record,
namely the version that existed at the time that the records were
transferred to mewin.
I hope that this is clear.
I wish that were no Constant Data records and that we could just use the
data from the Library table.

Thanks for touching bases re this problem.
It is no longer a problem (deleting PLEASE DO NOT USE JIFFY BAGS), but I am
at a loss on what I did to get rid of the it. I chose 'lending bookstrap'
under 'Preferences' and searched the windowed text for the statement. I
never found it, but just recently it has magically dissappeared on our
bookstraps.
So I'm confused, but I got what I wanted. I'm happy.

look orderly. The Major Stats Report in Lending--Libraries--1 Group (my
state, obviously) lists the libraries in alphabetical order. However, in
Borrowing--Items Received--Libraries--1 Group, the list is not in
alphabetical order. Any reasons, comments, suggestions?

If wishes were horses . . . . . What I would like is an
editable photocopy coversheet with some default Copyright Compliance
statement on it -- good ol' title 17, ALA's current interpretation of
it, or Indiana University @ Indianapolis's current interpretation. I
actually like being able to use both clio, OCLC Pfw and occaisionally
the ILLmew to locate or reprint records as needed. We are
trying to track usage of our web page ILL request page so for a one
quarter I used method received by as "WWW" on the Borrower
section, although I realized that's not the precise interpretation of
that either.

I have just recently joined this listserve so if this question has
already been asked and answered I apologize in advance. When we first try
to
get in to the CLIO program we get a message that reads: Unanticipated error
from 'attach tables' 3043 disk or network error. We then have to OK this to=
get another message that reads Could not attach tables. After we OK this we=
must go in to CLIO all over again to finally be able to use it. Has anyone
else had this problem? Is there any suggestions on how to avoid this or
correct it? Thanks

I have not had other reports of this particular situation. The detailed
meaning of the error message is:
"Microsoft Access either couldn't read from or write to the disk due to an
internal disk or drive failure.
"Possible causes:
"-You tried to use a network drive, and the network is temporarily busy; or
you're no longer connected to the network. Check the network connection,
and then try the operation again, or
"-The disk or drive has failed. "
The network seems the more likely cause, but why it connects the second
time and not the first is a mystery, to me at least.
What type of network do you have, Novell or WindowsNT or ?
If anyone out there has any ideas, they would be appreciated.

I have often gotten this message and what it means in laymans
terms is that Clio has lost the location of the database which
stores all the request, patron, library information.
A screen should come up asking you to search for the location of
where the Cliodata is stored and you just find it and say okay or
something (I am sorry I cannot provide more details but I have not
needed to do this in awhile).
I don't know why this is happening at your library but I think I have
figured out why it happens at my library. We have Clio networked
at my library and the Cliodata file is in a directory that is only
available to a limited number of people so that not everyone can
access the ILL information. When someone who is not authorized
tries to open Clio it cannot get to the data and then default to the
hard drive to look for Cliodata. Since it is not there it cannot attach
the tables and it produces an error. The attach tables error will
come up again immediately after the unauthorized person signs on
because it has lost the correct path, even if the second person who
tries to sign on is authorized.

Jane, it sounds as though you are doing the lending and borrowing side in
Interlibrary loan.
In my stat's "Borrowing"
I have assigned groups,
CARL (DVP,DPL,COV,COR,COD,COA,WYU)
OSTATE (All out of state libraries)
INSTATE (all in state libraries, including in state government libraries)
GOVMT (all government, out of state)
FORGN (all foreign libraries)
UNCOVER (all materials ordered on Uncover)
Since you are doing lending and borrowing stats, you might want to try:
INSTATEL (for in state lending)
INSTATEB (for in state borrowing)
Hopefully this is not confusing. Please fill free to e-mail me.
The State library is only interested in CARL, and INSTATE usage.
I print out CARL stats and INSTATE stats (with the library name, beside the
code and send to them)
I have heard no complants, so I can assume that is all they want.

This is very similar to what happens when we get that message. Because our
Clio database is networked (stored on our main library server), when that
computer has maintenance done on it, is shut down, or busy we cannot connect
and get that same message. Once our server is back up, though, we don't
have to re-attach the tables. Make sure that your Clio database is stored
on a computer that will always be on when you need to use Clio. That's all

Adding my wish to the list:
I wish CLIO would print the Incoming Lending Request Report sheet for
single pending records. Unless I have 2 or more requests in the pending
file, CLIO does not print a report form and I must reproduce the ME form to
send out with the book or copy.

Previously someone (I think Washington State Library) asked if
library symbols could be edited or library database files could be
deleted. Since we, too, deal with many WLN subscribers who will soon
be changing to OCLC, we will need to give them new OCLC symbols.
Plus, we just purchased CLIO and have made several grave mistakes in
setting up our library files ( such as entering libraries twice
under different symbols!) If anyone has experience with this issue,
please let us know, I don't think anyone has replied to the previous
question.
