I have been meaning to mention this for awhile but keep forgetting.
One of my biggest wishes for Clio is the ability to sort Borrowing
search results by due date. I often will search for everything a
patron has by doing a combined search of patron name and Clio
status = RecLoan. It would be nice to be able to sort these results
in due date order. I have many patrons who come in wanting to
renew items that are due and this is the easiest way to come up
with a list.

We finally got CLIO installed (yay!) but I'm about to pound my head against
the wall. I'm editing CD records, but I canNOT get rid of the default one
"ILLMEL" and every time I click to save on a CD record, it gives me the
error message that there is no data in ILLMEL. Can I NOT delete this CD
title? Am I stuck with it? It doesn't fit any nice categories for us.

Hi all! This is my first attempt to get help by way of this list. We
finally have Clio 2.0 up and running on all three of our computers.
Each day we download our online produced file with the microenhancer
and then add OCLC records to Clio. All seemed to be going fine but
suddenly there are a lot of oclc records that are not in Clio when we

We have found that occassionally the wrong patron information is printed =
on the Patron Notice form when we update a borrow request. When we look =

This is a characteristic of many database systems, Access included. In the
case of Microsoft Access, the # character is a 'wild card' character and
stands for 'any number'. Thus, if you search for IN# you are actually
searching for any library symbol which begins with IN and ends with a number.
To search for a symbol which actually contains the character #, inclose the
# with square brackets, like IN[#] or N[#]Z.

Hello everyone! This list is great! I got responses and suggestions
from several people and a call from Troy in the state of Washington!
One person just asked me to let her know if I found a solution so I
will report here what I learned that applied to our situation. First I
discovered that it is essential to dowload from the Microenhancer and
add to Clio on the same computer. We have three Clio computers so if
we downloaded at computer A and later went to computer B and dumped
OCLC requests and save screens into Clio, we would not be getting the
requests that we downloaded on Computer A. However, since we almost
always added to Clio right after downloading from the Microenhancer, I
doubt that was really our problem.
I am ashamed to admit that I did not know that Online Produced does not
include requests produced directly from the online union catalog.
Therefore, the requests we produced from our review file were in Clio
because we had added them by downloading the Online Produced records,
but those we produced directly from the online catalog were no longer
being added to Clio because we stopped using save screen when we
started using Clio 2. We had incorrectly thought that we no longer
needed to use save screen to add new requests to Clio.
Hope this makes sense and helps those who have asked me for what I

Don't those other requests show up in "Direct Request" file?
As far as I know there is no way to produce a request that doesn't place
it in one or another of the those two files until rm'd or downloaded.

Let me add a little to this note. I hope it clarifies the situation.
The On Line Produced message category that you can download with ILLME 2.0
contains the records that you, the ILL Staff person, Produce while On Line
with OCLC. These can be records in your Review file which you Produce or
records which you enter into the workform directly. So, as mentioned
above, if you download the On Line Produce category you do not need to save
screen those records.
In addition, the Direct Produce message category contains those records
which were Produced automatically by OCLC through the First Search Direct
ILL process. These records can result from a Patron searching the OCLC
union catalog and selecting the ILL Request option or by the ILL Staff
person using ClioRequest and routing the record to OCLC Direct Produce or
OCLC Direct to Lender. So, if you download the Direct Produce records you
don't need to savescreen those either.

Hi again,
I am having a hard time producing my invoices. I have followed the CLIO
directions,
but somewhere along the way, some major goofs have occurred. Is there an
"easier way"
of doing this?
1. My invoices have produced two schools on one invoice with different
titles of
books and different prices.
2. When a book comes back in (making it complete), after I have already
made an invoice
for it. I delete the invoice. That has caused problems, because then
that invoice # is being used
over again, so the invoice # for the book, has not deleted in the
lending holding record.
3. How can I reproduce another copy of an invoice already made so I can
send it
again?
Any ideas? HELP!!

Good afternoon,
We've just started using Clio here and I'm more familiar with the borrowing
side than lending. That said, something is happening that makes no sense
to me so I'm hoping someone can clarify what's up.
We use Future Date a lot since we're a small operation here, and when the
request comes back "retry/pending" it always ends up as an error when we
send it from Clio to the ILLme. This makes no sense to my frazzled brain,
since it should work as a pending/in process request. Any thoughts?

I am still trying to archive. I have deleted and I have had my tech =
support people delete the CLIODATA.ldb file, but it magically remakes =
itself as soon as I open Clio again. They have set the maximun number of =
record locks to 20,000. I am only dealing with a data base of around 9000 =
borrowing requests, and 4000 or so lending. (They have never been =
archived). I would like to archive about 6000 borrowing records, and 3000 =
lending.

automatically changing due to ?spell checking?. For instance, we
key in NWO and Clio automatically changes it to NOW. At the
time we weren't having problems so I didn't pay too much
attention except I remember someone gave a solution to the
problem.

Hi everybody,
I just found out that we lost our IFM lending charges for the last two
months because someone unchecked the box in the ILLME options for Enter
Lending Charges on our main lending terminal. I figure it was probably
someone who didn't know what they were doing trying to change the
printer options. I've been too busy to check the IFM reports so I only
found out now, and most of it will now have to be manually invoiced. So,
learn from us and take a minute to make sure this is checked on all your
terminals. Clio will not tell you anything is wrong, nor will the ILLME,
but you can bet your financial people sure will! ;-)

Hello CLIO list--
Can any of you good people let me know of printers you're happy with while
using CLIO? We've just installed CLIO and had been using a tractor feed
printer for those carbonless, white-and -yellow , perforated continuous feed
forms, but now we'd like to take atvantage of all the different forms CLIO can
produce--patron notices, mailing labels,bookstraps, etc.
Any suggestions? Do you have one printer do all, or do you network your
printers for labels and paper?
I'm new to list, so if this is old hat, just email me directly.

Hi,
I have a question pertaining to the reasons we cannot "lend" a book. Is it
possible to add more reasons than the standard ones there now? For
instance, I would like to add "withdrawn" for books that our library has
just withdrawn. The only way I can let other libraries know why we are not
lending them is to check "other" which doesn't allow for an explanation.

I have a question:
I have noticed that whenever an email is sent in the CLIO borrowing, that a
patron
notification form is not printed.
Our problem is, we need both, the patron notification form printed and the

also sent since we keep a paper copy for our circulation files.
Is there some way to override this?

EVENT #2: Public forum on the Final Draft Revision of the National =
Interlibrary Loan Code for the United States
The subcommittee of the RUSA MOUSS Interlibrary Loan Committee charged to =
revise the National Interlibrary Loan Code for the United States will be =
on hand, as a panel, to present and to lead discussion on the Final (or, =
perhaps more likely, next-to-last) Draft Revision of the National =
Interlibrary Loan Code for the United States. Tom Delaney has tirelessly =
chaired this group through its deliberations. Other members of the group =
include: Mary Jackson, Naomi Krym, Lars Leon, Scherlene Schatz, Merle =
Slyhoff, Richard Uttich, Kay Vynanek, and Chris Wright. =20

At Mid-Winter in San Antonio, the RUSA MOUSS Interlibrary Loan Committee =
formed a subcommittee and charged it to revise the Guidelines and =
Procedures for Telefacsimile and Electronic Delivery of Interlibrary Loan =
Requests and Materials. Gary Ives will chair this subcommittee, and its =
membership will be finalized during and shortly after this Annual Meeting.
This final event on the Discussion Group agenda will be a discussion of =
the changes needed to the current Guidelines document. A copy of the =

Hi Y'all,
I'm hoping someone has experienced this before... While in the borrowing
section of Clio this morning, I tried to get the OCLC Messages from
MicroEnhancer. I got the error message that the session had already been
read. It hadn't because it was my first time doing the download for the
day. When I asked Clio to simply read the session again, it showed the
small window where the numbers compute for a few seconds and then cut off.
So, nothing from Borrowing has been read from this mornings download. I
had 16 online-produced items from yesterday and can't get them into Clio.
Has anyone seen this before? Is there some sort of work-around that I can
perform in order to get the Borrowing records from that session into Clio?

same topic: We have Clio on 3 different computers, on only 1 of them have I ever
gotten the message "session has already been read, do you want to read it
again". This is actually very handy. Is there something I need to "turn on" on
the other 2 computers in order to have all the computers give me this message?
Presently, because we do not get that message, it is possible to read a
MicroEnhancer session twice, for instance the downloaded "Shipped", which is
kind of a bad thing if between the 2 readings you have updated items to
received, in which case it overwrites OCLC "Received" with the previous
"Shipped" status.

I'm having difficulty changing the due date for lending. I went to
Preferences, General, Due Date. I put the arrow next to 60 days then
clicked on the "set as Default Lending" bar. Then I went into the update
page, but it still gave me a 30 day due date. Am I missing something?

Wierd indeed.
Try Repairing the database, it is possible that the indices are corrupted.
To repair:
Go to the Start button, Programs, Clio2. Select the Repair program item
there. In the screen that appears, enter the complete path to the
cliodata.mdb file, e.g, H:\illdata\cliodata\cliodata.mdb. Click Repair.

The Due Date is totally controled by the Constant Data record. This is an
OCLC requirement.
I should have removed the Due Date Preference setting from the General menu.

Dear Larry and List,
I'm gearing up for preparing our ILL statistics for our fiscal year
which will end on June 30th, and among the customized reports I have
developed using Access are breakdowns of total lending and borrowing for
each library sorted by state, by country, and by library type (academic,
public, government, etc.). Unfortunately, I have not found a way to
avoid including every library within each category in the reports, even
if we have not had transactions with them during the past year. I'm
wondering if there might be some way to exclude from the report any
libraries with which we have had no borrowing or lending activity during
the past year.
It seems to me that this might be possible if the Library table
contained a field for the date of the last transaction with each library
and this date was updated whenever we had a new transaction. Then I
could exclude from my report the libraries that we had not borrowed from
or lent to in the past year.
The other problem comes when I need to reconcile the geographical totals
of lending and borrowing with the totals in the "library type" report.
I should arrive at the same bottom-line totals for books sent, copies
sent, books received, copies received, and unfilled lending requests,
but if we neglected to assign each library to exactly one geographical
category and/or exactly one "type" category, the totals will not agree.
I then have to try to identify all of the new libraries we have added
during the past year and make the necessary group assignments or
reassignments. Would it be possible to have a date field in the Library
table indicating when each library was added to the system and/or when
the library data was last edited? Then I could filter the table to find
the more recent additions. A more elegant solution would be for Clio to
be able to query the database to locate any libraries that are not
assigned to exactly one of a specified set of geographic groups and
exactly one of a specified set of library type groups.
Has anyone come up with other solutions to these difficulties?

I thought I had sent out something to the list, but I haven't seen any
response, so I figured maybe I hallucinated it! We use future date (an
option available in Clio, I might add) often, but when the requests do come
back to us and we go to update in Clio, they won't work. They either don't
show up at all, or they go through just fine and then come back as errors
in the ILLME. Can anyone figure out why this would be the case? After
all, it's just as valid a request as any original pending request. Help!

Agreed - which reminds me of a wish for the Wishlist... it would be nice if
each patron record showed the request date of the most recent request matched to

I would like to see a report or search that would include the article
information for a particular patron. When you do a borrowing search by
patron, you only get the journal/book title. I have patrons that order
multiple articles from the same journal, and want to know which ones they've
already asked for.

Larry, Have two questions.
1. The end of June is the end of our fiscal year. Can I restart the
numbering on our Clio Request(s) without a problem?
2. I mentioned this a few months ago but got to busy to deal with it. One
day, the email function on our Clio Request stopped working. Everything
SEEMS to be set up correctly. Plus, it was working and now it's not. Any
suggestions?

I have rebuilt the ArieLVIS custom holdings group. It now includes
345 libraries.

As far as I can tell (barring typos) it is correct. I checked all

We are just starting to configure CLIO and would appreciate some advice
regarding the Patron Database. We will just be using CLIO only for
Borrowing at our library.
Over 70% of our requests are submitted by patrons through OCLC's Direct
Request service. We are working to increase that percentage. We use a
WebZ interface (Z39.50) for patrons to search and submit their
requests. Prior to submitting their requests, patrons are authenticated
against our circulation patron database, and the following fields are
automatically filled in:
:PATRON: last name, first name
:PATRON ID: XXXXXXXXXXX
:PSTATUS: grad, udg, etc.
:PATRON ADDR: last name, first name//last name, first name/address
line 1/address line 2
:PATRON PHONE: (608) XXX-XXXX
:PATRON E-MAIL: supplied by patron
The CLIO 2.0 documentation says that if we do not use the Patron
database the address information for notices, etc. will be taken from
the :PATRON: field. Our addresses are in the :PATRON ADDR: field. Will
notices take address information from the address field? Any other
advice on this point?

Hi,
I was hoping that you could make an enhancement to the copyright list so
that a separate entry is printed for each journal title that is affected by
copyright.
When reporting to CCC it is often necessary to go back in CLIO and look at
individual records to retrieve the total number of pages for a journal
article. For example, today I needed to report to CCC that 2 articles were
over the copyright limit, but 3 were ordered for the year 1999. I could
not distinguish the the number of pages for the 2 because all are lumped
together.

Last week, the lending bookstraps started printing out of order. They
are not in any normal other order, such as by symbol, title, or library
name. Multiple straps for single libraries print together. I _think_
they may be printing by the order in which the library was added to the
libraries database, based on who are our big borrowers, but that's pure
conjecture. I have repaired the database twice with Access and it's not
fixed. Does anyone have any ideas about what is happening or how to fix
it?

Hi,
Is it possible to still print out a patron notification form even though the
person has an email address for notification?
We use the printout notification form for our paperwork and also send one
along with the book to the other campus
for their use. Is it possible to print one of these out? I noticed that if a
person as an e-mail address, a patron notificaiton form
will not be printed. Is there anyway to override this? Also is there a way
so we can print TWO copies of the patron
notification forms without having to update the ILL record twice?
