I have been using Clio 2.0b successfully for some time now on 3
machines. One of them now gives an error message when I open Clio that
says that the data directory path for Clio and ILLME are not the same
and should be changed in the Preferences. They are the same and nothing
has changed. The Clio FAQ mentions this specific problem and gives 2
possible reasons that it is happening. The first is the reason I
mentioned previously. The second is that the ILL.DAT file is not there
because nothing has been downloaded to the machine before. Well, this
machine has been used for some time, but there is NOT an ILL.DAT file.

I would appreciate any ideas to fix this.

We are going over our processes in depth this Summer in order to eliminate all functions that aren't necessary because they are duplicated in Clio. One thing I have done for years (about 20) is have a small file of 3 x 5 cards on which are listed Journal Titles we order through the year that fall in the category of 5. On the card we write the volume, date and issue and who we ordered from if we get it from a place where we pay the copyright. We keep this updated as we order. At the flip of a card I have all my information. Well, I know that Clio keeps track of copyright also. I can ask Clio (in give me a list of journals that we need to keep track of for copyright and how many requests we have ordered from that title. And I can ask it to give me a list of those we have gone over the number 5. And I can go into Search Borrowing Records and call up a journal title and get another list of everything we ordered, but I have to call each one up individually by clicking on the order number to see which volume and issue and year was ordered and who we requested it from. This seems more time consuming, especially if you have ordered lots from before the 5 year time line, then it does to check it out on a card in a file. Am I missing the boat here? Is there some other way to check this out that I haven't read about in the manual? We have never gone to CCC because we usually don't have many requests going over the 5 limit and those that do we have been able to get from a Document Delivery who charges the copyright fee. So I can't wait until the end of the year, check out Clio and then send my money to CCC. I guess I really need to know when I need to use a Document Delivery and that seems cumbersome to find out in Clio. "I like my cardfile." But I am willing to give it up if you have a better way. Both occur after I've gotten new OCLC records from an ILLME download. 1. On OCLC the status is Shipped but in CLIO, if I search the request, it shows the correct lender but the OCLC and CLIO statuses are still "In Process" (and consequently there is no due date. That's what usually tips me off that the situation had occurred.) I could understand this happening if the request was downloaded via the ME before the lender updated to "Shipped" but that is not the case. Also, if the request is downloaded a second time via the ILLME and then into CLIO why isn't the status corrected and the due date added? 2. I have also had instances where when I am updating to Received, CLIO displays an incorrect lender. Usually, it seems to be the first in the string, rather than the lender who is actually filling the loan. CLIO is somehow not updating correctly. Can anyone give me some insight on what's happening? I am using CLIO 2.0d and Access 97. When Sending Updates to ME, message says
"Either the data directory is incorrect or not all the output files exist"
 
The ill.dat file is in the C:\oclcapps\ILLME folder

If you have made custom changes to the design and format of bookstraps or notices then you will have to make all the adjustment in Clio 2.2 once again. These setting are stored in the cliodata.mdb file, which is not replaced by the installation. If you do have to make changes to the design and format of the bookstraps, notices, etc. in Clio 2.2 then you can copy the clio.mdb to the other machines with the Clio 2.2 installation, replacing the existing clio.mdb on their pcs. When we conditional a request it goes into OCLC & Clio at a Conditional Status. If the lending library decides it can comply, then the request is still in our Cond/Pend message file on OCLC. What happens if the lending library deletes the record because it found it to be in error or something? The record is no longer in OCLC, but we still have a Clio record that says: Conditional in the status. We do NOT want to keep a paper file. I have thought of one way to handle this and that is to periodically do a 'conditional' status search on the lending requests in Clio, then check them in OCLC. The ones no longer in OCLC can then be updated in Clio. Does this sound reasonable? Or is my Monday brain a little fuzzy still? I spent the day altering the book ill request form, and I have gotten it to work with Cliop Request to a certain degree. I can fill out the formm and send it to the ill e-mail address. I can then open Clio Request and download the e-mail message and parse it and send it to review. When I go in to the Clio Request Review Window and look at the request, everything is where it should be except that my Notes: field keeps popping up in the Borrowing Notes field instead of the patron notes field, which is where I would like them. Now what am I supposed to do? If I send it to review (without a lending string), it disappears into the ether never to be seen again in my Clio database or my message file. Even typing rv:[F10} pulls up nothing. The log says it is there and has an A###### Clio Request ID, but I can't find any trace of the record on OCLC or in Clio. We are able to download and update our lending requests, but when we click on the "Review New Requests" screen, under "new lending requests for books" and "new journal requests," its screen says that we have 0 requests. We have tried everything, and we are at a loss--how do we get this screen to reflect the number of requests that we have so that we can check the OPAC? I hope this makes sense. We are a Public Library. We process about 1500-2200 books a month for Borrowing. Our Patron database in Clio has about 500 patrons, but is not current or updated. Our primary method of circulation is to create a fast add and hold for each request, allowing us to use our opac to notify patrons that their book is in. We only use Clio for Lending and to track old Borrowing requests. If we switch to CLIO WEB we would have to start maintaining a patron database. We do not have an OPAC that is currently compatible with CLIO so that it could make the fast adds as mentioned in version 3.0. A. If we go to CLIO WEB we would have to maintain patron database right? Can anyone tell us how long it takes to do this everyday, (match records and/or create new Patron records.) when the Patron Database is regularly maintained? B. In general we've experienced the matching process to be tedious. For instance we have one patron that needs 25 of his requests matched to his Patron record. Is there something wrong with his patron data record in CLIO? Is Clio case sensitive? (His requests are always lower case.) C. Any tips for updating Patron Database? D. When patrons register to use CLIOWEB how is this done. Do they do it online? Or do they call us to get a PIN number? E. Can the PIN number correspond to phone number or library card number? F. Once the PIN number is assigned, if the patron forgets it, would it have to be reassigned by them having to call us or can they get a reminder online? G. Will CLIO Request display an UNFILLED request? H. We cut and paste the "Reasons for no" from Passport into the Unfilled request into CLIO. Would patrons be able to see this? Could it be customized so patrons could see "Reasons for no". I. Right now we use CLIO 2d Access '97. Whenever we update LENDING and other staff are also doing something in Borrowing, the LENDING paperwork will not print out. Has anyone else experienced this? Is there anyway to fix? We will be upgrading to 2.2 next month. Will this fix the problem?
