Can someone please help us?

We just loaded MSOffice 97 yesterday afternoon. Now Clio won't run. It
says it can't find a file (MSAIN200.DLL) needed to run CLIO. We copied
that file from another machine which still has Office95 on it. We pasted
it into what we thought was the correct spot but it still doesn't work.
Has anyone else had this problem and solved it??? I called CLIO yesterday
but Larry wasn't in. Supposed to get back to me today sometime. Thought I
would post to the list in the meantime. Can anyone help??

Sorry for multiple postings.

The response to my Document Delivery Open House invitation has been
amazing.  Folks from as far away as Australia have sent regrets that
they could not come.  Some folks from outside Texas have asked if they
could come.  Though my original invitation was to Texas libraries, there
is no reason that folks from outside Texas couldn't come.  Though we
have more people coming than we can accommodate in any room the Library
has, we have made arrangements for the use of a 250 seat auditorium,  so
available seating is not an issue.  If you'd like to come, if you can
come, please feel welcome.  DO please let me know (via email) that
you're coming, and how many, so we can be sure to have enough
refreshments.

I have also gotten many, many queries and questions about the PS3000,
too many to answer individually.  So please forgive me if I do this.
The Open House is on March 12.  I would like to write up a summary of my
presentation, answering questions that have come to me via email and
that were asked at the Open House, which I will post to this list
sometime during the week of March 16.

Thanks to everyone who has responded to my questions over the last two
months.  Without you, we may never have purchased the PS3000 in the
first place.  Many thanks!

I will be demonstrating the Minolta PS3000 "face-up" book scanner and
the companion EPIC 3000 software, as we have adopted them for use with:
*Ariel FTP
*Ariel email
*Faxing (with WinFaxPro Version )
*Photocopying (both routine ILL photocopying and preservation
photocopying)
With the use of the Minolta PS3000 scanner, we have eliminated all
document photocopying in Interlibrary Loan (a major step toward
"paperless interlibrary loan"!)  The scanner operates directly under
Ariel, without the EPIC 3000 software serving as an intermediary.  From
Ariel, a document may be sent to its destination by Ariel FTP, Ariel
email, or (by printing a saved file to WinFaxPro) by PC-based fax.
We do use the EPIC 3000 software for producing hard-copy for mailing.
It offers 400 dpi resolution (as compared to 300 dpi for Ariel or 200
dpi for fax), as well as image editing and file manipulation
capabilities, with the resulting copy quality superior to most
photocopiers.
This scanner is revolutionizing our Interlibrary Loan operation.  No
more photocopying documents.  No more fax machines.  Email capability.
Greater efficiency, faster turnaround, better copy quality in the
finished product.  We hope you will find our open house useful to you in
your operation, and we look forward to hearing any of your ideas and
suggestions that we might use in ours.
Opportunities for limited hands-on may be possible, depending on time
constraints and size of crowd.  We have made arrangements for use of a
250 seat auditorium, so we will have no problems accomodating all who
wish to come.  Representatives from Minolta and from RACOM, the
Houston-area distributor for Minolta, will be present to answer any
questions we might have.  RACOM will be providing pastries and coffee in
the Library atrium/lobby prior to the start of the demonstration.
TRAVEL/PARKING-If you are driving, follow I-45 south from Houston to
Galveston.  After crossing the causeway, I-45 turns into Broadway. Go to
University Boulevard (near the end of Broadway), turn left, and then
turn left again on Market Street.  Public parking is available in the
parking garage on the right at $1.00 per hour.  The Moody Medical
Library is at 9th Street and Market, less than 2 blocks from the parking
garage.  Limited free 2-hour street parking is available in the
surrounding blocks around the Library.  However, violators receive
lovely bright green $10.00 tickets, unless you are blocking a driveway,
alley, or crosswalk, in which case the fine is $65.00.
FLYING/LIMOSINE SERVICE-If you are flying, do NOT (if you can help it)
fly into Houston (Bush) International Airport.  That's on the way north
side of Houston, halfway to Oklahoma, and you will spend all day just
getting to Galveston and getting back.  FLY INTO HOBBY AIRPORT.  Once
there, make connections with the Galveston Limousine Service
(409-740-5466).  They will have vans departing for Galveston at 9:30am,
11:00am, and 12:30pm.  Pickup at the airport is at a  kiosk outside
baggage claim, across the access drive, near the Airport Express booth.
The drive into Galveston is less than 45 minutes.  If requested, the
driver will drop you off in front of the Library (remember, 9th and
Market).  No reservations are required for traveling from the airport to
Galveston, but they ARE required for return.  One way fare is $21.
Return times are at 3:30pm, 5:00pm, and 6:30pm, with later times
available.  REMEMBER, RETURN RESERVATIONS ARE REQUIRED.  Arrangements
for pickup in front of the Library (remember, 9th and Market) can be
made at the time you make your reservation for return.

There is a potential pitfall if you are installing Office 97 after you have
already installed Clio on your PC.

During the installation of Office 97 you will receive a message to the
effect that "Office 97has detected some older versions of Office files on
your system. Do you want then removed? Yes(recommended) or No?"

*** Do Not Remove the older files!****. Clio depends on these. Simply say No.

Hello all,

average turnaround time for both borrowing and lending? Is there someway
to do this via access or what? Does anyone out there do it? If so, would
you be willing to share with this unfortunate soul? (Who's waiting for a

Hello All,

This list has been pretty quiet for the last couple of weeks I just
thought I'd rattle the cage a little.  I have a number of small wish list
items for clio that I'd like to see for the borrowing side. From what
little I know about access I don't think they'd be particularly difficult
changes or additions to make. I just wanted to see if anyone agreed with
me on these items and to start a little wishlist activity on this list
(which I think is an extremely important thing for the ongoing development
of this software.) Here is my wishlist with reasons.

1 I'd like to be able to search borrowing requests by the DESCRIPTION
field. The reason I'd like to be able to do this is that we often receive
paper overdues and Recalls from lending libraries with titles that have
only the most remote relationship with our title in clio. When we check
items in my students carefully enter the call number of each item. No
matter how weird the title is on another library's recall notice. It
almost always includes a nice clear call number.

2 I'd like to be able to edit the "OCLC STATUS" field. Many libraries do
not update items to RECALLED in OCLC. They instead send a paper recall
notice. It would be nice to be able to enter RECALLED in the OCLC STATUS
field and not have to keep track of the paper notices outside of clio.
Also for ALA request paper notices are the only method.

3 I'd like to be able to "quick sort" the column in the table view of
clio. In the full version of Access you can look at a table and right
click on a column title and get the options to "quick sort ascending" or
"... descending" which puts the records all in order according to the
field in question. It would be nice to be able to do this in the
administative table view in clio.

4 I thought it would be nice if, along with the other information on the
right hand side of the clio produced Bookband, a mailing label for the
lending library were prodoced. We cut the band in half and staple the
right half to the back of our request cards along with the lenders
paperwork and mailing label if they provided one. It would be wonderfully
convenient if Clio produced a label for those places who don't provide one
themselves.

This is in work. I am also adding a new 'custom search field' to the
Borrowing request update screen where you can enter call number or whatever
and search or get a report based on the contents.

Hi, good suggestions.  We at The College of New Jersey would also like to
see:

1.  On the ALA workform:  An option to repeat the patron (as with lender
symbol and Bibiographic info).  I often have many requests for one patron.

2.  Updating Borrowing Requests: Include Patron field (so we don't have to
do a separate search when updating) and also an editable copyright
compliance (depending on whether a vendor or a library winds up filling
the request, we sometimes need to change this field when updating.)

3.  Search Borrowing Requests Results screen:  Separate patron status and
dept fields.

For the OCLC ILLME4WIN users how about including an automatic sending of
updated records from CLIO to the ILLME.  For ILLME users this would
eliminate a step.  Larry and I discussed this during a visit to Texas
and he said he would consider it.

I wish...

**the Lending ALA form had a space for the borrowers request number--and
it was a searchable field.  It would also print on invoices and overdue
notices.  I now use the call number field for this now, but I also use
that field for notes abouts about the number or format of items I send
because you can update it when you are updating to YESLOAN.

**the libraries database would show you on the search screen if you have
marked the updates complete button.   Just a check mark or * beside the
symbol or address would do it.

**the libraries database would store alternate addresses for
invoicing/shipping materials to multiple addresses for the same
symbol--such as public libraries or branch libraries (a primary address
and several secondary addresses).

**the next step after this one is to make the link from that particular
address to the ALA form you are creating without having to retype in the
information (if you had searched the libraries database)

Larry,

When looking up a specific record in Libs, Lending or Borrowing when a
specific record number or code is entered it would be nice to go directly
to the full record instead of to the brief and then to the full record.
(Extra key strokes on every lookup)

In addition, hitting Enter once instead of twice to execute a command would
really make my staff happy. In the search libs data base hitting the return
key twice brings up the more options bar which is inconsistant with the
rest of the search fields.  Perhaps some key other than enter key to ask
for more info and use the enter key to activate the commands.

Maybe a CHECK OUTCARD NO: field (or option for those that have automated
systems)on the update screen and item record.  We use this as a link
between the Borrowed books and the Library's OPAC, which we check out all
circulating items on.

You know, something else that would be nice is if on the "new library" update
page (where you first enter all the library info, I'd like to be able to go
from the name (on that first top middle-of-the-screen line) to the first line
for the address (first line in the address box) by using a TAB rather than
having to MOUSE over to it.  Just a minor thing, I know, but it always peeves
me.  Thanks.

I'll throw my $.01 in here (not worth two cents).

I'd like to capture the "ship to" information and be able to use it for
overdue notification and shipping label production.  Since many  libraries
are referral centers the information in the Library Record may not be the
correct information for shipping or notification.  (We are already
capturing differing addresses for billing.)

I'd also like to "cut and paste" when editing library records from
download.

It would also be nice if CLIO checked for the existence of the download
files and prompted us to convert, or let us know that there are unconverted
files.  (Some message statuses we don't want to convert.)

During the past two months I have been working on the Spring release of
Clio. Since the Fall release didn't make it until Winter, I have tried to
get a head start.

I have been accumulating a list of all the suggestions I have received and
have implemented many of them, including many of those in the past week
(the 'escape out of a record' from last Thursday made it, just)! The
readme.txt file attached to this email lists the bug fixes and improvements
included in this version.

Significant among them are:
  lending and borrowing turnaround time reports,
  collection development reports for loans and copies,
  a custom search field that you can use to retrieve records and
     generate reports,
  a financial summary report for lending,
  the 'repeat patron' feature for ALA form entry and
  the ability to search Invoices by ILL number.

I have also put the OCLC status back onto the Borrowing search screen.

  I've been sort've sitting on my hands with this one, we just started
using CLIO in November and there is a lot to learn, but here goes...

    We've started notifying our patrons (as many as we can) via E-mail
when their books arrive.  I have my students trained to use Windows to
enter the update in CLIO, then Alt-tab over to Netscape Mail and start a
mail message to the patron (our SIG file is a generic:  "We've received
the following material for you, etc.." -  It comes up automatically when
we start a new message and we can just fill in the particulars, Author,
Title, Due date and the lot.)

    Could you add the Author field to the updating screen, so it can be
copied over?

    Could you change the Title field so we can highlight the information
and copy it?   I can't click and highlight in that field.

    We can highlight all of the other fields on the updating screen.
It's very easy to do a "ctrl-c" to copy and then go over to the e-mail
message and paste the information onto the screen.  Mucho better than
re-typing information into the e-mail message.  Once entered into the
message, we Accept the update and go on to the next book for the patron,
or to another patron and e-mail message.

    In a _small_ way I can appreciate the amount of things you have to
consider and re-consider when you plan your upgrades.  But, we have to
ask.  Thanks, Larry!

Hello - We have been having problems with old records showing up in Clio.
It happens when we send lending requests from the OCLC ILLME over to
 Clio.  It doesn't happen all the time, only occasionally. Today there were
about 20 requests that popped up from April and May 1997.  We did not begin
using Clio until August, 1997.I contacted Larry Perkins when it first
 started happening but he was stumped. Anyone have any idea what's

Cheryl--The old records don't have the same numbers as your new records do
they?  It sort of struck me one day that it would be possible eventually to
have duplicate numbers...I can't recall just what made me think that, but ?

This is a question for Larry Perkins, but I mention it here in case others
have wondered about the issue-

Here at Indiana University Libraries, we implemented CLIO early this year.

We now find that the file sizes of the following CLIO and ME F/WINDOWS
files are growing quite large over time:

(All 3 files indicated below are being stored / accessed on a LAN):

Cliodata.mdb ( 26 MGS )
Ill.dat (BORROWING) ( 40 MG )
Ill.dat (LENDING) ( 12 MG )

Two questions:

1.) Will these files simply keep growing over time?

2.) As the above named files grow in size, should one expect an application
performance "hit", instability of any kind, or other degradation of
performance in either CLIO or the ILL ME FOR WINDOWS?

I am starting the task of re-implementing the Archiving function in Clio.
There are some issues concerning Invoices and Lending Requests.

Assume that the library charges for at least some lending activity. Then,
under what circumstance should Clio allow a lending request to be archived?

Suggestion:
Lending Requests will be archived If:
-Status: ''yescopy OR 'no' OR 'complete'
AND
-Request Date is earlier than Archive date
AND
If Billing Method is Invoice,then
-Lending Request is Paid AND Invoice is Paid. Note that there may be more
than one item on an Invoice. If one of those items is not paid, then none
of the items will be archived.
OR
If Billing Method is IFM, then
-Lending Request is 'verified'
OR
Billing Method is Deposit Account or None.

And for Borrowing Requests:

Borrowing Requests will be archived If:
-Status: 'RecCopy' or 'returned' OR 'unfilled' OR cancelled
AND
-Request Date is earlier than Archive date
AND
-Lending Charges are zero OR blank
OR
Item is marked Paid. Note that this means that if you receive an Invoice
really late and have had no other indication of the lending charges(like in
the SHIPPED message), you may have archived the record by the time that the
invoice arrives.

What about archiving Invoices?

I would appreciate comments on the ideas outlined above, particularly the
issues mentioned as Notes.

The cliodata.mdb file will continue to grow as lending and borrowing
requests contiue to be added to the file. At some point, which will vary
based on each institution's computing worload and capacity, performance
will begin to suffer, although this will be well beyond the 26 MB cited.

I am in the process of implementing an improved archiving function (see
related message today) which allow records to be transferred to another file.

The ill.dat file is an MEWIN file and I do not know how that program
manages that file; however, you can cause mewin to start over by simply
re-naming the files ill.dat, download.dat and illindex.dat (say, ill.bak,
etc.) after you have read all of the current sessions contained in the
ill.dat file. Mewin will recreate those files from scratch the next time
you download data from OCLC. After you are satified that you realy don't
need the .bak files any more, you can delete them.

I also have a couple of questions.  Can you make it possible to "unarchive"
things?  Or to archive only those you specifically select?  Can you archive by
specific year?  How about the possibility of archiving into different files (like
one for "unfilled--but got some other non ILL way" or "never got anywhere anytime
nohow way" or whatever--I guess I'm saying into user defined categories).

I'm having problems running the copyright reports and will take
any and all suggestions to make this work!

1.  Copyright Status Report

    I can run one month at a time.  When I try to run for
    last year or a specified period, I get this message:

        A run-time error occurred in module:
        Report.CopyrightStatusRpt.  You don't have
        permission to view this module.

             Continue                     Reinitialize

    When I click on "continue" the program just goes into a
    loop.  When I hit "reinitialize" I get kicked out of
    Clio.

2.  Copyright Compliance Report

    When I try to run this I get the message that there is
    no data.  We've checked our borrowing records and we do
    have CCG in the constant data file.

        I had exactly the same experience the first time I ran my
copyright compliance reports as well, and like other respondents, was
told that since I hadn't ordered over the limit of 5 in a given time
period I can't generate a report.  I am careful, but it would be useful
to know, for collection development reasons, that I'm closing in on
committing a copyright violation (Heaven Forfend!).  I collect statistics
and copyright information quarterly.  Perhaps this can be changed in a
future incarnation of Clio.

I felt the same way when I learned about this.  It's not that I don't trust
the program...well...I just like to be sure.  On the search borrowing records
screen (in the upper right corner) there is a box for "sort by" and title is
one you can sort by.  So as long as you haven't archived it, you can do a
title sort and scan the list.  Of course if you have a long list this won't
be so appealing an option, but at least it is an option of sorts.
