To all:

We have just received a book that we had requested for a faculty member
who has been entered into our patron database.  When we printed a patron
notification sheet for this book, it included a different faculty
member's name.  This second faculty member is next in line
alphabetically to the first one.

I've looked at all the places in Clio that I can think of to see how
the names got mixed up, but I can't find where it might have crossed.
In all places, the correct faculty member's name appears.  It is only on
the printed patron notification sheet where the second person's name
turns up.

I'm sure this is beginning Clio stuff, but that's where I'm at at this
point!  Thanks very much for any information.

Suzanne,

I spoke with a representative of the Copyright Clearance Center regarding
the need for article information when reporting.  The representative told me
that this is not required.  It is just an option.  The only time article
information would be necessary would be when after reporting a photocopy to
the CCC a publisher contacted you about what article was cleared.  This is
very rare.  If this ever occurred you can obtain article information for the
title by performing a search of the title for the period in question by
request date (reqdate) then sort by request date.  You would then disregard
the requests that were CCL and within the 5 photocopy rule.

What copyright wording do folks put on book bands to inform the patron that
reproduction violates federal copyright? I'm specifically trying to address
the copyright of audiovisual materials borrowed from another library for our
patrons. We are suspecting that a few patrons are burning copies of cds,
etc. The Library's lawyer has informed us that we must not fill any patron
requests if we know this is happening.

I've been finishing up the customization of the borrowing "book" bands as
we're getting ready to implement Clio. I want to add a brief note to inform
the patron/cover the Library's responsibility.

I don't think your idea will work, as the requests won't be associated with the new code when you download from OCLC. What we do is to put the OCLC code in the Library name field and the central library address in the billing address field. The code prints out on the book bands, alerting us that this is a request that we must pay attention to the Ship To field on the request itself (we use the address on the request sheet, which is the Ship to, for copies). If we need to create an invoice, I get the address from the OCLC request, put that into the library record temporarily, print the invoice, and redo the library record. I wouldn't want to do that on a regular basis, but as we usually only do invoices for lost books, it's not too bad. For overdue notices we just cross out the address and write in the correct one. Here we have been dutifully checking off the correct reasons for no with each "no" we updated in CLIO and, due to a call from another institution wanting to know why we turned down a request, I found out that the "reasons for no" feature was turned off in ILLME. And I've been grumbling with all the rest about those schools that don't bother to say why they've turned down the request. And I ARE one! Yikes. For those of you who might fall in the same boat, here is a little refresher as to how to activate your Reasons for No, if you are using CLIO. 1. Open up ILLME 2. Select "Tools" 3. Select "Options" 4. Select "General" 5. Make sure that "Update Records with Reasons for NO" is checked. That's it. And again, I apologize for all these months when we thought it was still activated. Apparently, during one of our upgrades, it became deactivated, unbeknowst to us.
