Hi,
Just noticed a problem w/ Clio, okay another one, and am wondering if anyone
can help with it.  For the first time since we installed 2.0b,  none of the
patron status or dept. info, or financial charges, transferred into Clio,
for the entire month of April.  Previous months contain all this
information.  Has anyone had this problem or can anyone suggest a solution?

Attention all OCLC ILL participants ... even those who don't use ILL =
ME:

One of the new features of ILL Micro Enhancer for Windows Ver 2.0 =
allows
Lenders to print mailing labels when they reply Yes to "Can you =
supply?"
The label is formatted using the :SHIP TO: field of the Borrower's =
request.
The ILL ME mailing labels have size parameters of 5 lines of 27 =
characters
each.  The 6th line is the ILL record number.  Each line of an address =
is
separated from the next by a / (slash).  When the line of an address =
exceeds
27 characters or there are more than 5 lines, ILLME prints a mailing =
label
with all ####s and the ILL record number to indicate the address didn't =
fit
in the 5 x 27 parameters.

I've been asked by several lenders to help spread the word to other =
OCLC
members to please edit the :SHIP TO: fields of your Constant Data =
records so
they can use this time-saving feature.   They have been getting many =
labels
of ####s due to improperly formatted addresses.  For each of these, =
they
have to stop & write out a label manually.  It is an honest mistake, in =
the
past, there have been no guidelines regarding the format  of the =
Borrower's
address beyond using the slashes.  With this new feature, we hope =
everyone
will make a change to improve their own lending and their lending =
partners'
productivity.=20

To edit the Constant Data records, type 'cdi' to get a list of all =
your
records.  Select one and edit the :SHIP TO: field so the address has =
only 27
characters per line (including spaces) and only 5 lines, each line =
separated
by a / (slash).  There is no need to put spaces before or after the =
slash.
Abbreviate as much as you can as long as the address is useful for the
delivery agency.  Send the edit '' and replace 'rep' the =
record.
If you have several records, highlight and copy the new :SHIP TO: field =
so
you can paste it into the next record.

Even if you don't use ILLME or don't use the mailing label function, =
your
Lenders might and that means you get your materials faster. =20

If we've piqued your interest:  To use the mailing label function, in =
the
Batch Update Settings window select the check box that reads 'Print =
Labels
from records of Yes(Copies) and Yes(Loans).'  Make sure you have the =
correct
label paper in your printer when you run the update.  (Laser printer =
labels
should measure 1 in x 2 5/8 in, suggested is Avery Address Labels =
#5160.
Continuous pin feed printer labels should measure 15/16 in x 2 =BD in, =
3
labels across. Suggested is Brodart Cat # 86-495-002 Labels or Avery
Standard 4144 Address Labels. This info is available in Help.)  If you =
have
2 printers available, go to Tools, Options, Printers to select the =
second
printer as your Label printer.  When the update is completed, the =
labels
print and are then peeled off & affixed to your regular ILL shipping =
label.=20

OCLC member libraries are starting to use the capabilities of the 'Reasons
for No' feature and the free reports to evaluate lending fill rates and
reasons for those rates.  Lenders are identifying the items for which they
respond 'not owned,' 'lost,' or 'lacking' to correct holdings and union list
data in OCLC's WorldCat as well as their local catalogs.

To assist in this database clean up, users have asked us to add the OCLC
bibliographic record number to the 'Reasons for No' report data for both
Lending and Borrowing.  This change has been implemented with the April 2000
report, available in early May.

If a record is updated to rec in CLIO but has not been updated to shipped
in OCLC,  when updating  through the microenhancer it will show up as an
error.  If the original sender forgets to update the record, the request
moves on to another lender who then updates the record to shipped.  If at
this point I download shipped records through the microenhancer to CLIO,
the Clio record will read "Clio status: rec copy,OCLC status:SHIPPED" .
            MY QUESTION: Will CLIO hold the lender symbol to match the CLIO
status of rec copy or will CLIO change the lender symbol to match the OCLC
status of SHIPPED?  I am wanting to know how to tell an updating error
(entering the wrong il number as rec) from a duplicate request without
going back and reviewing paper copies of the request records.

          using both for approximately one month we've found several problems
          which affect the efficiency and usefulness of the system.  However,
          since the software is so new to us we are hoping you have some
          solutions to our concerns which we are not aware of.

          We are using Clio Request to send requests entered via a web page to
          OCLC's ILL Review file.  We observe that at the same time the
          requests are sent to OCLC's Review file by Clio Request the requests
          are sent to the Clio management system with a status of Review.  This
          causes a series of problems:

          1.  When requests are Produced in OCLC any abbreviations in the title
          are overlaid with full, correct bibliographic information.  However,
          when these requests are downloaded back to Clio, when Clio does not
          match a  title exactly with the abbreviated title in the Review
          version of the request, Clio creates another request instead of
          overlaying the Produced version of the request over the Review version
          of the request.  In addition, OCLC allows us to resend Unfilled
          requests.  However, we've found that when we resend an Unfilled
          request from the OCLC Save file, Clio creates yet another request (now
          we have three copies of the same request) in Clio.   This results in
          many duplicate requests in Clio.  In less than one month we have over
          600 requests languishing in the Review status while the produced
          requests have already been received and completed.  These duplicate
          Review requests are clogging the system, skewing statistics, and
          rendering the search by patron function for current outstanding
          requests unusable and unreliable.  We notice that the Clio system
          creates a unique Clio ID no. for each request.  However, Clio does not
          seem to use that number for anything.  Why doesn't Clio use this
          number to match the Produced requests and resent Unfilled requests
          that later may be filled requests with the original
          Review requests?  It makes better sense to make this the control
          number rather than the OCLC ILL number which does not exist yet in
          Review Requests and changes with resent Unfilled requests (even
          though it is the same request, an added benefit of this would be a
          truer picture of turn-around time on requests that have been resent
          several times).

          2.  Clio updates inconsistently.  We religiously download the OCLC
          Shipped file to Clio, but half the time the requests are not updated
          in Clio to Shipped.

          3.  Clio, also, does not consistently transfer updates to OCLC.
          Several times we have updated items to Received in Clio, but not all
          of these have transferred to the Microenhancer and then to OCLC.

          4.  We desperately need the Patron address line to be added to Clio
          so that it can be transferred to OCLC.  We have had to change our
          procedure with Clio and add the patron address to the Patron name
          field in OCLC.  However, by doing that we have lost the ability to
          search by patron name (PA:4,3,1) in OCLC.  Since we cannot rely on
          Clio to tell us the true current status of all requests by a patron
          (see #1 above), we need to be able to at least search OCLC to see a
          list of outstanding requests by patron.  The presence of the address
          in this line has negated that capability.

          5.  We need to be able to call up items by Clio number on the update
          Screen in order to Cancel requests in Review status.  Would be nice to
          have reasons for cancellations in a drop down box.

          6.  We need to be able to cancel borrowing requests in Clio not just
          to delete them so that we have a complete record of patron's requests
          and why they were canceled, such as "our library owns".

          7.  The patron notifications for photocopies are virtually useless
          because all they give is the ILL number and the title of the
          periodical.  It should show the full citation for each article
          ordered.

has anyone had this same problem?

even though we are not opening our desktop in order to keep clio moving
along at an acceptable speed, we are finding that if we have opened clio,
it causes an error of the GDI type in other programs which we might have
need to access. this causes us to have to shut down and restart the whole
works which is really wearing me down and out-must be the end of the
semester. this began occurring only after we upgraded clio to 2.0.

We are a small library and know most of our patrons. So we can affort =
the
luxury of sending these direct requests "to profile" in OCLC, which
eliminates the REVIEW problem.

We also use Cliorequest, and the feature of ordering by entering the =
OCLC
number is really nice. We are using the html form supplied by Clio, and =
have
not been able to get it to work yet.It still ends up in the e-mail box.
I noticed there is no field for the oclc number in this form.=20

Has anyone developed a sturdy plain web form, and is willing to share =
it? I
would light a candle in the chapel of my heart for such a person!

Twice in the last 24 hours, Clio has hung up when we
click on "Exit".  The only way to break out is to hit
Control/Alt/Delete.  This results in a windows message
that "the program is not responding".  Has anyone else
experienced this problem, and is there a fix?  We are running
CLIO 2b.

  If you have more than one computer that updates clio via cliorequest you =
must have a separate ID on each computer...  or else you will create =
duplicates and lose control with ClioID...  under OCLC settings, each =
computer should have a different (1 letter) ID...  From my experience, =
this could be the source of all confusion.

  On our web form/template we input patron address information in the =
'Notes' field and it will show up in the :BORROWING NOTES: field of OCLC =
review files.  Also, appended to the front of this field is...
ClioID: ?0001234////
(the question mark indicated the single letter ID set within ClioRequest)
this should not be altered in any way.

you can use view source to see the patron information form
it contains javascript so you may ask if you have questions...

the second part of the form is written in both javascript and asp =
(requires Windows NT as an operating system)

can.

When the program was first installed, barcodes would print on the borrowing bookstrapes. However, CLIO has just recently began printing only the first little vertical line of the barcode (on the left side) and leaving the remainder blank. Does anyone know why this is happening? or how to correct this problem? I thought I'd share these reports with the members of the list, especially those new to the list and new to using Clio. The University of Connecticut system consists of 5 regional campuses in addition to a main campus at Storrs, a medical school, and a law school. The 5 regional campuses are at Torrington, Waterbury, Stamford, Avery Point and West Hartford. Last September, we began centralizing, at the Storrs campus, all document delivery and interlibrary loan requests for 3 of the 5 regional campuses. Last month, we added the remaining 2 regional campuses and centralized DD/ILL activity at the Storrs campus for all the UConn regional campuses. The law school library and the medical school library operate independently. The reports included on the web page cited below address borrowing activity at the Storrs campus and the 5 regional campuses. I thought I would share this information to demonstrate what Clio is capable of producing in conjunction with the use of MS Access and MS Excel's export to HTML function. I know that there are several members of the Clio-L list that routinely use Access and/or Excel in generating reports for their own operations, most of which are far more sophisticated than these. The reports were created by using the Linking Tables or the Import features in Access to bring forth relevant records from the Clio data file. Once the correct table was linked/imported (we used the BorrowingRequestsArchive table) in Access and by employing a series of filters, the table was copied to an Excel sheet, some fine tuning was done, and then the sheet was saved as an HTML file. Some information you'll need to know as you peruse these reports: We use only 4 status indicators: FACULTY STAFF GRADUATE UNDERGRADUATE All department names are abbreviated. Undergraduates are by default assigned OTHER as a department. We don't track undergraduates by department. Some of these reports will take several seconds to load once you click their links. It is usually a county library system so I figure they will know how to contact the library we loaned the book to. As long as the information is on OCLC we have the name of the actual library. I agree that having the info print from our records would be great, however, then if there is a group of libraries sharing the same system you won't have the correct name of the library to send it to if it is taking the name and address from the clio library database. At my library I always start the symbol with @ because I know that there are no OCLC symbols that start with that. Then I add two letters that make sense as the initials. You can search for an NUC in the "Any Field, Any Text" field. http://www.oclc.org/oclc/forms/pisearch.htm For Canadian libraries, the National Library of Canada has a similar web search. It will also find OCLC symbols for Canadian libraries. http://www.nlc-bnc.ca/wbin/ill-candir/illsear/l=0/c=1 Remember that a symbol in Clio can be up to five characters. You don't need to stick to three. I have lots of NUC symbols and other made up ones. As long as you put good info in the institution name field in Clio and do library name searches with an * in front of the word, you should never get duplicates. It seems like the only way to get the mailing labels to print correctly (other than going into the lending table and fixing each record, which we don't have time or the inclination to do) is for libraries to put the addresses in correctly to begin with. It looks like Judith and the gang at OCLC have been trying to get libraries to fix their :shipto: fields so they have slashes and not too many characters. Now that the ILLME 2.0 will print mailing labels, we lonely Clio users aren't the only ones having trouble. To combat this for statistics on the total number of transactions I have created a group called "Stats" in which every library is a member. This is because when our info was transferred into Clio I had many libraries that belonged to several groups. I am currently (slowly) working on putting each library into only one group besides "Stats" so that I can eventually get rid of that group and have an accurate bottom line. There are actually a series of problems which I believe are all related to one another but have not been able to figure out. 1. We have had several patrons reply to email pick-up notices that they received. They informed us that the items cited in the email was not something that they had ordered. I thought perhaps the records had not been matched prior to being received since most of these items were photocopies received via Ariel. So we altered our procedure to assure that all the records were matched before the updating was processed, but that did not fix the problem. The strange thing is that the email has the correct patron name at the top of the message but it sends the message to someone elses email address making it appear to be linked incorrectly. In reviewing the patron database, I found that the correct email information was present. 2. We have been receiving several calls from patrons who come to the library to pick up their materials and they are not at the Circulation Desk for them to pick up. When we check Clio, they say received but if we check OCLC they are either in process or shipped. So Clio is sending out bogus email message for items that we did not receive yet. 3. Related to number 2, in examining the Clio requests I found that there was an additional problem. As an example, I searched the borrowing requests for those with a request date of today and I retrieved 36 items. I verified with my staff that this number was correct but I noticed that although the Clio and OCLC status are both Pending, several of the records have a due date indicated. When I opened the actual request, I discovered that the items were in fact requested today but the record indicated a received date of 3/13/2000 or 3/14/2000 and some of them even had been updated to returned but the requests were for copies?!? As a result, patrons are getting bogus email messages indicating that items have arrived and we cannot trust the overdue notices without double checking them in OCLC. The paid box is also marked on several of these items too and we did not update them at all. 4. One last thing, we also use Cliorequest to process our email requests. I also noticed while searching the Clio database, that the review records that ClioRequest sends to Clio when the records are forwarded to OCLC, are not being overwritten by the produced records. I saw a posting on the list regarding something to this effect but I have deleted it. I always trust Clio more than I do OCLC because sometimes #s are lost when forwarding them to the microenhancer. Any time we've had this happen (material not there even though they received an email), it has been an error on our part, i.e. student pulled wrong paperwork. >3. If you send a request from Clio Request to OCLC (whether it be the Direct or Review) the titles must match EXACTLY or clio does not recognize this as the same request. Yes, I know they both have the same Clio Request #...doesn't matter. Even a misplaced . causes this. I have gotten into the habit of deleting the 0s at the end of the day. There may be some repeats, so in that case consider it a second nomination for that feature :). 1. Printing overdues, renewals, and recalls--"Print All" button This would be a button (on both the borrowing and lending sides) on the screen where you choose to print notices for overdues, renewals, and recalls. It would allow for you to click the "Print All" button so that you could print all the notices with one to two easy clicks. 2. Sort by "Request Date" This would just be added to the Sort By list on both borrowing and lending and would allow you to sort a list of requests by the Request Date. 3. "Libraries Database" button on Main Menu Okay, here I am asking for a _major_ feature. What would be ideal would be to have one place to edit libraries and worry about checking off the "Updates complete" box. Since most of the information transfers from borrowing to lending anyhow, why not have one location? You could also add information boxes such as "Lending contact", "Borrowing contact", "Lending Phone", "Borrowing Phone" and all that good stuff. The point would be to have one place that libraries would have to be edited instead of two. 4. Review New Libraries button includes _ALL_ libraries that need to be updated. Following my previous suggestion for a main Libraries Database button, this feature would allow you to view all the libraries that don't have "Updates complete" checked off. Also, you would be able to print out a list of these libraries so that it is easier to gather the information on these libraries for updating (via OCLC or the OCLC book). 5. Second Overdue notice says "Final Notice" instead of "Second Notice" This is just a semantics thing, but I think saying Final instead of Second is a bit more accurate in the case of many libraries. Since, sometimes the notice is actually a third or fourth notice, using Second seems blatantly inaccurate, whereas Final seems a bit more ambiguous. Ideally, each notice would say Second, Third, Fourth, etc, but I don't know how easy that would be to do. 6. Lending Requests print all information from OCLC Occasionally, when we print out notices via Clio, they are missing some information. Usually, the reason is that the borrowing library put a whole line of information into the Edition field instead of the borrowing notes or article fields (which would be more appropriate). Since Clio's lending format isn't designed to accomodate this, we sometimes have to go back to OCLC to find the extra information. It would be nice if Clio's fields were more flexible to accomodate long entries. 7. Borrowing shipped method matches automatically I'm hoping this will be fixed in the update version, but just in case I'm making another plug for this. Please, please, please make it so that when you do Borrowing updates for RecLoan and RecCopy Clio will automatically match up the Shipped Method by referencing the Library database. We are running CLIO 2.0 pretty smoothly but ran into an interesting problem the other day which I have not been able to fix. It seems that the Word autocorrect feature is active in CLIO so every time we enter the OCLC symbol IHS CLIO changes it to HIS. We are unable to search for a list of transactions we have done with this institution. I tried a couple of other possibilities and it does the same if you type in hte (changes to the) or ehr (changes to her). Has this been addressed? Is there a way to disable this feature within CLIO? It was not apparent to me. I switched off autocorrect in my word software but it doesnt affect CLIO. Thanks for any help. I use the libraries database for mail merging and printing labels. It would be nice to easily add libraries that belong to various lending groups and send them mail even though we haven't had an ILL transaction since I started using CLIO. Right now when I want to add a library, I open the libraries table, add the OCLC symbol and library name, close it, and then go back to the search libraries button and edit the record. My Lending Unit Head, who is out of town today, has reported this happening before. Any clues as what is going on? Others, entered the same way on CLIO, updated without any difficulty. It would be a nice feature, though. Among them is the ability to review notices before they are sent and a log of those sent successfully and those not. OCLC services to be unavailable Aug. 6-7 during power upgrade All OCLC online services will be unavailable from 2 a.m. (U.S. Eastern Daylight Time), Sunday, Aug. 6, until approximately 6 a.m., Monday, Aug. 7, during a planned power shutdown. The 28-hour shutdown is necessary for the installation of a new power system in the Kilgour building, which houses OCLC's data center and telecommunications facility. The ultimate goal of this upgrade is to reduce the need for such shutdowns in the future. Following the installation, OCLC will be able to perform preventative and corrective maintenance on the high voltage (13,200 volt) switches and transformers without shutting down power to the building. OCLC's four diesel generators will be arranged in two banks of two, rather than the current bank of four. Originally, three of the four generators were needed to power the computer room. Today, any two of the generators can supply enough power. The change will give OCLC increased redundancy and flexibility in its power system. The borrowing statistics compiled and printed as they should have. By this I mean that they showed the difference between items that were loans and items that were copies. Lending Statistics are not doing the same thing. All the reports list the lending activity as a loan. This is obviously inaccurate. Is there a code or field that needs to be changed in my setup? However, if you use OCLC, you can subscribe to the OCLC/ILL statistics ($400 a year I think) and you can produce an excellent collection development report from these.
