Clio users,

I would like to have some feedback on Clio users who have a GroupWise SMTP
POP3 mail account that use Clio's patron email notification. Did you have
to do anything special to get it to work? Please email me off the list.

Thanks,

Jennifer,

If you want to reprint your First Overdue Notices you will need to do a
search for these requests. This is done by going to the Borrowing Request
Search screen. On this screen the field to search by is "DateOverdueSent".
Enter the date you attempted to print the Overdues. Now click on the Find
Them Now button. Once you have retrieved the records double click on the
first retrieved request's ILL number to bring up the Borrowing Request
Details' screen. On this screen select Edit Record. In edit mode remove
the date in the Date Of Last Overdue Notice text box. Now close the
Borrowing Request Details screen. Edit the other request in the same
manner. Once you have completed your edits then click on the Overdue/Recall
Notices button then select 1st overdue notices. Now click on Print Overdues
Now. The previously interrupted overdues should print out.

Dear Clio folks,

On Friday, my printer jammed when I was printing the 1st overdue notices.
Then, when I tried to run them again, I discovered that Clio had emptied the
file. Is there any way to let Clio know that the first printing was
unsuccessful and then retry?

Thanks in advance for your help!

Hello,

Hope this is a quick one. Is anyone using verion 2.1c for Clio?
For us to use it we will have to upgrade to Access 2000. So I'm hoping to
find out if it's worth it before we do the upgrade.

Specificly we want to do the upgrade so that we can use the the avery 6464
labels. I'd like to know how the labels are created. Is it all done in
Clio? Or do you have to capture your updated "Received" records (while in
Borrowing) via the microenhancer and save as a text file for output to a
word template.

Also if you are using this version- do you like it? Is it working well or
have you noticed any quirks?

Thanks

This works for borrowing requests. Is there any way to do this for lending

Hello,=20

Does anyone know the answers to the following questions? We're about to =
switch to the Voyager catalogue and are trying to figure out if we need to =
get stand-alone Clio in the interim since the current Voyager/Clio version =
2.0 doesn't have many of the capabilites we need.=20

Unfortunately, we're running out of time, as our Innovative ILL system =
will cease working on May 22nd. We don't want to order stand-alone Clio =
unless it solves some of the problems that we know we'd face with =
Voyager/Clio 2.0. My questions are as follows:

In our current system, Innovative, requests are distributed by a home =
library code: conservation institute staff requests go to the Conservation =
library ILL dept (GCI ILL), all others go to the main ILL department (GRI =
ILL). I see that a web request form (Cliorequest) is available and does =
ask for a login id. Is there a way to then sort those request, for =
distribution to 2 separate ILL departments? Is there a way to sort by =
staff/non-staff & have a message bounce back for non-staff that informs =
them that they are not eligible for ILL privileges? Am I correct in =
believing that no staff rekeying would be required once the request is =
submitted by the patron?

Another problem we are facing is this-- GCI ILL primarily uses OCLC and =
commercial document suppliers, GRI ILL does *not* have access to OCLC and =
instead relies heavily on RLIN. As far as I can tell, there is currently =
no interconnectivity between either CLIO & RLIN ILL or Clio/Voyager & =
RLIN. Will this be a feature in either Clio 3.0 or Clio/Voyager 2001? We =
currently rekey from Innovative's module into RLIN so this is sort of the =
least of our worries but it would be nice to have nonetheless. Would the =
difference in operations of the two ILL departments be a problem? Would =
two individual Clio set-ups be required?=20

Also, I read, with interest, about the NISO circulation protocol that aims =
to allow for patron information to be pulled from a circulation module and =
allows for the creation of virtual ILL records that are automatically =
created and removed. I'm assuming that this is what is currently under =
development for the 2001 Clio/Voyager release. Are any systems actually =
NISO compliant in this area at this time? Clio 3.0 appears to have this =
feature but will it work with Voyager at this time? In a related question, =
has Clio 3.0 been shipped? Are there any libraries in our area (Los =
Angeles) that have similar (admittedly odd) set-ups that we could visit =
for a demo? How quickly is Clio delivered after an order has been placed.

Thank you for taking the time to read this lengthy email. Any information =
would be greatly appreciated. I'm particularly interested in hearing from =
anyone who moved from Innovative to Voyager or anyone who is currently =
using Voyager ILL.

Sincerely,

Aimee Lind

Is anyone out there using ClioWeb? More importantly, will ClioWeb
be included as part of the upgrade to 3.0 or will it still be a separate
product? We're interested in upgrading our web forms (because ours suck,
basically) and implementing ClioRequest (which I believe is free to those
who have Clio software right now), but I'm a little concerned about one
feature on the "check your requests" page. It has an option to "request a
renewal" but I notice that even if something is 5 months overdue, it lets
you do that! We do not renew books after they're a certain amount overdue
(by policy) so I wouldn't want people to just be able to go in and request
a renewal on something that's horribly overdue.

Does anyone know if this is a feature that can be manipulated?

thanks,
Julia

At Washington College we use ClioWeb. The Renewal request is sent =
as an email to the designeated ILL person who then reviews the =
requests and decides which one can be submitted. The Ill staff can =
respond to the person submitting the request with an explanation. =
So yes, there is human intervention, the request is not sent =
directly to OCLC.

Since you do not have this feature you will need to relink the tables by doing the following: 1. Delete the following links from CustomReports table: BorPatrons, BorrowingRequests, BorrowingRequestsArchive, GroupMembers, GroupNames, Invoices2, LendingRequests, LendingRequestsArchive, Libraries, and MyAddress. After deleting these table links the only table that should remain is Reports. 2. Now to relink you will need to go to File on the Access menu bar then select Get External Data/Link Tables. 3. At this time you will see a window pop-up entitled Link. Look for the cliodata.mdb file that Clio uses then select it. This will require that you select the drive and directory that the file is located. If you do not know how to do this then ask a coworker with computer skills for help. 4. Once you have selected the cliodata.mdb file you will then need to select the tables that you want to link to the CustomReports database. These tables will be the ones that you removed in the first step. After you have selected them then click on Ok. Once this has been done the CustomReports should be operational. After archiving you will need to compact the database. This will reduce the size of the cliodata.mdb file. You will notice that the compacting process creates a new cliodata.mdb file entitled cliodata.new. Once you have completed compacting using your file management program, e.g. Windows Explorer, you will need to change the cliodata.mdb file to cliodata.old. Once this has been done then you will need to rename the cliodata.new to cliodata.mdb. If you or your system administrator already maintains a backup of the cliodata.mdb file then you can delete the cliodata.old file. The cliodata.old file is your database with a bunch of gaps. The new cliodata.mdb files has all the information that was in the cliodata.old file but without the gaps. Some people are confused about archiving and backing up the cliodata.mdb file. Clio's archiving process transfers completed requests to the archiving tables. This process along with compacting improves the functioning of the active borrowing and lending tables. This process does not create an extra file. The data remains in the same database. Backing up the cliodata.mdb file is creating an exact copy of it. This may require extra hard drive space. >Judd, > When we archive will this double our files? I noticed that whatever you = name a library (For example ELL would have the name William Hessel = Library) appears in the address when you print overdues or bills. What I was doing was giving the record a name that matched the 3-letter = OCLC code that made sense to me. And then filling in the 4 lines of the = address with the actual address. =20 But I see now when I print an overdue, it uses the title name in addition = to the address so in mine the name appears twice. =20 It may seem simple to just delete the name from the 4 lines of the = address, but that is not the case. The name of the library is not always = the top line. Proper Postal protocol requires that each line of an = address gets more specific as you go up from the city/state/zip line. For = example, my address would be: Tim Bishop William Hessel Library Lake Michigan College 2755 East Napier Ave Benton Harbor, MI 49022 So if that address was in my database Lake Michigan College would get = printed twice for overdues. If I took Lake Michigan College out of the = address then it would appear at the top of the address and that is = improper. If I use as the Title the first line of what the address should be, then = I'll have a lot of symbols with the title ILL Department or something = similar. At this time you can Alt+TAB back to the Unfilled ALA request. Click on the field name of the information you want to copy. You will notice that the information is highlighted. At this time select the copy key combination Alt+C (exclude the +). This information will be stored on your clipboard. Office 2000 has the ability to store at least twelve pieces of copied material on the clipboard. Once you have copied all the material you want to transfer to the new ALA request then Alt+TAB back to the new ALA request. At this time you can select from the clipboard the information to paste to the request. If you do not know how to use the clipboard feature then you can simply Alt+Tab back and forth getting the information piece meal. The paste key combination is Alt+V. I understand that you can repeat information if sending several ALA requests to the same library or for the same patron, when creating them. My question is this: if you create and send out an ALA request to a library, and it later comes back unfilled, is there a way to create a new ALA form to request the same item from a different library, without having to re-type in all the information, such as title, author, etc? On OCLC, I know you can do the "new" command and it copies the information from an unfilled request to a new workform, and you simply put in new lender(s) and produce the new request. I am wondering if CLIO has anything in place that I have somehow missed, to eliminate having to type in all the information again, except perhaps the library information and address. Hi Folks,

We are moving towards our announced = goal of Clio=20 3.0 in a series of steps.  Clio 2.2 is the first of these = steps.

Clio 2.2 adds a significant new capability to Clio.  This one=20 improvement has produced more excitement among our field testers than = any other=20 function we have ever produced!  We have demo-ed it in the past = month and=20 the overwhelming response was "How fast can I get it?"  We thought = it was a=20 good thing but we had no idea how good you folks would think it = is!!  Users=20 have told us that their lending workload is diminished by 50%.

What is this great function?  We refer to it affectionately as = "the=20 lending triage screen".  It enables you to quickly scan all = incoming=20 lending requests and check your web based catalog by OCLC number or = title for=20 availability, call no, location.  If you can't supply, you can = answer No=20 with a reason.  If you need to reply with a condition, you may do = so=20 immediately.  If you need to check the shelf, you print the request = with=20 call no and location on the pick slip.  That's it - you never even = print=20 the Nos or Conditionals.  They are updated on OCLC the next time = you send=20 updates.  The pick slip has the call no and location as well as = additional=20 info (see below).

How does it work?  Clio 2.2 provides a built-in connection to = your=20 web-based OPAC.  This means just one program open - no switching = back and=20 forth between Clio and  a browser - it is all on one screen - less=20 confusion.  Each request is presented with relevant fields=20 displayed.

For selected OPAC vendors (Endeavor and Innovative at this time, = others=20 later),  Clio 2.2 automatically searches for new lending requests = based on=20 the OCLC number or title of the item.   This allows you to extract = the=20 local call number and location from your OPAC records with minimum = effort. =20

For other OPACs, you accomplish the same searching with a few mouse = clicks -=20 no rekeying.

Clio 2.2  also incorporates the following additional = changes:

-  The New Lending Request report ('Pick Slip') and Lending = Bookstrap=20 have the full SHIP TO address from the Lending Request.

- In addition, the address from the Library table is also = printed on the=20 Lending Bookstrap. You can use either the SHIP TO address or the Library = table=20 address - whichever makes most sense.

- The Borrowing bookstrap now includes a return mailing label.

- There is also an option to print both the Borrowing and Lending = Bookstraps=20 on a removable stick-on label  (Avery #6464).

- Every field from the OCLC message is printed on the 'Pick = Slip'.  This=20 means, among other things, that the Ariel address will be on the = printout no=20 matter where the borrower put it.

These upgrades have been provided as a result of suggestions and = comments=20 from you.   Based on our field testing, this = upgrade should=20 result in significant workflow efficiencies in your ILL operation.

This initial release of Clio 2.2 requires Access 2000.

If you wish to download Clio 2.2 go to http://cliosoftware.com/d= ownload22.htm =20 Please let us know how you like it.  We still have time to = incorporate good=20 suggestions into the 3.0 version.

I want to wait until I get back to work the end of August. If we haven't been doing the upgrades all along, can we jump right from 2.0d to whatever upgrade is available by the end of August or do you have to go through each upgrade? Our current version is CLIO 2..0d which we purchased in January 2000. Since it's been over a year, is the CLIO 2.2 version still free for download or do we need to purchase it? Does anyone know how the upgrades work? What about CLIO 3.0 when it is ready? I'm assuming that if we want to add CLIO Web, that will have to be paid for but currently, CLIORequest is free to current CLIO customers. MIME-Version: 1.0 Content-Type: text/plain; charset="iso-8859-1" We are one of the field testers for Clio 2.2 and I must say that the Clio product just keeps getting better and better. The result of this upgrade is a major streamlining of our lending requests processing. We stay in one window, Clio, and do all the work from there. What a time saver! The upgrade allows you to respond "no" immediately without having to print the requests if it is not found in the catalog, checked out, etc. The printout has a mailing label, so we don't have to write them out. We just cut and tape the label to the package. If any one has other questions, please feel free to e-mail me. I probably won't be able to respond until Monday because I will be in RI for the ILL Conference on Wed. and Thurs. I also have Friday off. Sue Susan E. This report reflects how much we spent in DocDel and Loan fees for 2000-2001 (for borrowing). Each of UConn's 6 campuses are detailed. For each campus (Storrs is the main campus) we've calculated the following: 1. the total cost for loans filled using IFM 2. the total cost for loans filled via invoice 2. the total cost for photocopies filled using IFM 4. the total cost for photocopies filled via invoice 5. an average cost for filled loan 6. an average cost per filled photocopy 7. an average cost per filled request (overall) Check out the report here: http://www.lib.uconn.edu/docdel/Reports/Costs/2000-2001Table.pdf Thanks, Joe Joseph Natale Document Delivery/Shared Resources Librarian University of Connecticut Libraries 369 Fairfield Rd.
