not printing. Here's the followup:

Is due date the only field that Clio sometimes doesn't download? (In the
instance I was referring to, I checked the record on OCLC and a due date
was present.)

Install Clio on each PC then place the cliodata.mdb file on the server. Each copy of Clio should be pointed to this file. As for how to setup OCLC's Microenhancer and Passport an understanding of the ILL Clio process must be made. In Passport ILL borrowers at your institution make requests. These requests are best downloaded by OCLC's Microenhancer as "online produced". This information is stored in a download.dat, Ill.dat and Illindex.dat files and stored in the ILLME subdirectory of the OCLCAPPS directory. Clio retrieves this information by being pointed to this Data Directory. Clio has its own data files that came with Clio on a separate disk that should be copied to the Data Directory. Here are the names of these files: Cd_copy.dat, Cd_loan.dat, N_compl.dat, Download.dat, Ill.dat, Illindex.dat, N_compl.dat, N_cond.dat, N_delreq.dat, N_future.dat, N_no.dat, N_nocond.dat, N_norecv.dat, N_norr.dat, N_recall.dat, N_recvd.dat, N_renew.dat, N_retrnd.dat, N_ship.dat, N_yescnd.dat, N_yescop.dat, N_yesln.dat, N_yesrec.dat, N_yesrr.dat, Update.dat, and Updated.dat. The data files are used to send updates to the Microenhancer. The Microenhancer and Clio should be pointed at the same Data Directory. The Clio setup for proper data transfer is located in Preferences/Data Directories/Microenhancer Data Directory. You can determine the location that the Microenhancer is pointing by going to Tools/Options/Data Directory in the Microenhancer. As for networking Passport this should not effect Clio per se. I am not sure of the steps involved in networking this program. You should be aware that Clio will need to know the location of screens.svs file. The screens.svs file is usually located in the OCLCAPPS directory. This file is created and appended to by a macro feature in Passport called Savescreen. The Savescreen macro is used by some ILL departments to capture data for Clio. Some institutions still use this feature and it is still available for them to use. You will need to make sure that Clio is pointed to this location by adjusting "Preferences/Data Directories/Passport Data Directory. Reference and Tracking Patron's Requests As for tracking patron's requests this will require the installation of Clio on the local hard drives of each reference pc pointing to the cliodata.mdb file on the server and access to Passport. This setup is needed due to the fact that the borrowing "In Process" category is not available to the borrowing institution to download into Clio. Let me explain. Some requests will not be in Clio if a created request is not downloaded during the short duration that it has a status of pending. Requests that are not downloaded as pending change to an In Process request when the lending library downloads their pending requests. Borrowing requests that have this status cannot be downloaded via the Microenhancer. The "In Process" category that is downloadable via the Microenhancer is the lending side requests. Due to this situation a patron's request may have been requested but it will not be in Clio until the status changes to "shipped" or goes unfilled, provided the ILL department does upload the "shipped and unfilled" categories on a regular basis into Clio. Reference personnel will need to be aware of this situation. If they do a search for a patron's request in Clio and do not find the request they will need to still do a patron search in OCLC using Passport to determine whether the request is active. If the request cannot be found in either locations then the request has not been made. In conclusion, 1. You need to be concerned with Clio and the Microenhancer pointed at the same Data Directory. 2. Dat files for Clio should be placed in this Data Directory for updating in Clio to function properly. 3. Passport can be networked but you need to be aware that Clio needs to know the location of the screens.svs file. 4. Reference will need access to Clio and Passport to have full knowledge of the status of a patron's request. Where the requests in question invoiced or no charge ? If you have a request that was updated as an invoice billed request but it should have been IFM you can change this by going to Review Invoices, call up the invoice number or scroll to the invoice in question, double click on the invoice number which will give you the "Details for Invoice", and double click on the ILL number. At this point you will see the Lending Billing Details screen. On this screen you can change the billing method, the amount of the charge and you can confirm that the charge has been paid. In your situation you would change the Billing Method to IFM. This will remove the invoice, if you are billing by once invoice per request. At this time you can go back to the Main Billing menu and select Review IFM Records. IFM records are grouped by institutions. You may have to click on the Next button to find the borrowing institution request that you have changed to IFM. At this time you can make extra adjustments to the record as needed. As for a request that a billing method was not applied you can call up the request by going to Search Lending Request screen and do a search for the lending request by ILL number. At this time double click on the ILL number to pull up the Lending Request Detail screen. To edit the record click on the edit record button. With the request in edit mode enter in the billing method field IFM. When you have completed the edit close the record. Now when you go to Billing and review ifm records you will notice that the request will have been added. Now why these requests did not have the appropriate method applied in the first place there can be multiple reasons. Even with this you can still do some checking on probable causes. The first would be your constant data record for IFM. Go to the Lending Update screen and select either Yes Copy or Yes Loan. After you have done this you can select the appropriate constant data record for review. Find the IFM constant data record then click on the Edit CD Record button. You may have two, one for books and the other for copy. If you do not have an IFM constant data record click on the Edit CD Record button then Click on the New button that is on the Edit Copy Constant Data Record (ECCD) window. In the (ECCD) for IFM you want several fields set. First you want to give the constant data record a name, if the CD is New. Next you want to set the charge amount. The last thing is to set the billing method which in this case will be IFM. Be sure to verify each constant data record for completeness. The second possible reason can be the processing procedures. Be sure to divide the requests into different batches by billing methods applied, No Charge requests, IFM and Invoice. In this process you will make it less likely that you update in Clio with the wrong constant data record. Anyway here are some steps to take to see whether the new requests are matched to their patron record. First go to Search Patron Database and click on Review New Patrons to see if there are requests that have not been matched. Next step is to go to the Borrowing Request Search display. Do a search for a request that you fill is not matched. Double click on the ILL number to open the Borrowing Request Display. At this point check the Patron Matched field. If it say yes then the patron has been match to a patron record. If you are not sure of what patron record the patron has been matched too then you can go to Administration/Open Tables/Borrowing Requests. In the Borrowing Request table search for the request that is in question. When you have found the request scroll to your right to find the patron id field. Write down the id number. Go to Administration/Open Table/Patrons. Scroll down the Customer Id field until you find the corresponding id number. If they do not match then you will need to pull the request up in the Borrowing Request Search and go to its detail screen and change the patron match field to "No". After you have done this go back to Search Patron Database. Click on Review New Patrons to match the request to it appropriate Patron record or create a new patron record. If you do have a pc that has Access 97 with the Service Release 2b patch installed then you could install Clio 2.0d. If you have Access 2000 then you could install Clio 2.1. Either of these versions of Clio would give you access to the ALA report for modification. As for the description field this field was designed for use during the point of updating the request in Clio. When the request is updated to received a description of the condition of the material could be made. If you want to give information to the Lending library in regards to a description of the material that is being requested you need to place it in the borrowing notes. This information will print out in the Special Notes area. For instance renewal requests can be queried in Cio by selecting the Clio Status as the field to search and the criteria to be YesLoan. This will then filter for all outstanding loan requests. You can scroll down this list to view the requests that have a OCLC Status of RENEWAL REQUEST. Another option would be to print out the renewal request message file via the Microenhancer, get OCLC messages in Clio then using the printouts as a reference to update Clio. Here is a possible solution. This solution requires changing the email server setup in Clio Request from delete messages left on the server to not delete messages on the server and back again. In the morning you would set the option to "Delete Mail From Server:" to "No". This setting is located under Options/Setup Email Server Information. After this is done you "Get New Borrowing Requests". After the requests have been downloaded change the "Delete Mail From Server" to "Yes". At this point "Get New Borrowing Requests" once again. These two steps should be done without any delay between the steps. You should now have two copies of the requests for the day and the mail server should not have any remaining requests. For the first set of requests do your normal review and then send them to OCLC review file. Be sure to unselect the duplicates so they do not get sent with the original requests. Requests in the OCLC review file that you determine to be fillable "in-house" print a copy of the request and delete the review file. Once you have completed reviewing your OCLC review file return to Clio Request with your print outs of requests that were cancelled. Review the copy set in the "View Borrowing Request Summary" for the requests that were cancelled and click on the Request to bring up the Review Details screen. On this screen set the Routing to ALA Form and select the lending library to the symbol that you have designated as a symbol for request that have been filled "in-house". After you have set the routing for the cancelled requests to ALA Form Summary return to the Request Summary and make sure that the requests that you are sending to Clio as an ALA are exclusively selected. Once you have sent these requests to Clio then you can delete the rest of the duplicates in Clio Request. This is easily done going to the Review Detail screen of the first duplicate request then selecting the "Delete Record button. After deletion you will notice that the next duplicate request will be displayed and can be readily deleted in the same manner as before. Once you have completed deleting all of the remaining duplicates start Clio. In Clio you will need to delete the "orphaned" records that have a 0 ILL number that have ALA request. Update the ALA requests to Cancelled with your reason entered in the Borrowing Notes field. Please let me know if you have any problems. We then have to delete this record and recreate it with a negative clio number just so we can assign it this record number and a lender that corresponds in our database to an unfilled status. When I do a download on the Microenhancer I do include records with expired status. When I tell CLIO to "get new OCLC requests" it imports and updates all the other records that have been downloaded but when I check on the expired requests, they still display the previous status. CLIO doesn't update the record to OCLC status of EXPIRED and the records are left in limbo. I don't often have expired requests but recently I've had 2 and they are just left hanging. Is there anyway to manually update them? Going in to the record and trying to edit the OCLC status to expired does not work. Any advice would be appreciated. Thanks.
