In our quest to get rid of more paper, we thought if we put all of our

I am fairly new to Clio. We are still working with it as far as
inputting requests and such. We have Clio entered on the 3 machines in
our office. They all have been working well, but in the last two weeks
one of the machines seems to freeze up every time we ask it to "get new
OCLC requests" in the borrowing section. It seems to do all the other
functions okay but not that one.
Our other computers do okay, but that is the one we do most of our
ordering on and when we can't get them, we have had to go back in to
oclc on another computer and save them all again and then transfer them
to Clio.
What do you suppose is wrong. We have a brand new systems person--as of
yesterday and I hate to dump this problem on him without some
information to help him out a little.

I have two questions regarding Clio. We have only been using Clio for a
few months so we are still figuring things out from time to time. Recently
we my staff archived the complete requests and after doing so we discovered
a problem. Among those archived requests were items which have not been
paid but now that they have been archived, we are unable to edit the
records to mark them as paid. Has anyone else had this problem? Is there
a way to go back and indicate the paid status on these items which have
been archived?
My other question is regarding the savescreen.svs. We are also using
Cliorequest however that really does not have any impact of this question.
My staff member who does all of the borrowing requests has not been able to
'Get New OCLC Requests' and pull the save screens into Clio. We could not
upload the file on Friday and suspected that it was just a computer glitch
but on Monday we were still unable to do so. I tried the same task on
another PC and it would not work their either. Any suggestions how we can
get that file uploaded into Clio??
Any insight is greatly appreciated!

Hey folks!
I am not sure if the below is the same exact problem others are
experiencing but I sent this to Larry about 10 days ago. He has been
working on it. What is missing from the message below is that my hard
drive crashed and I had to reinstall all programs. So far, I have been
unable to get Clio to work.
This is how the problem started:
For the past week, everytime I send updates to the microenchancer, Clio
just sits there. The button 'send updates' is highlighted but the mouse
never turns to an hour glass. It doesn't lock up but it won't respond. I
have to shut the computer down.
You can't tell whether it is transferring the files or not.
The last two occasions it did-- and updating in the microenchancer was fine.
When actually updating the records, it seems to hesitate before the number
appears. Nothing has changed on my computer(as far as I know)
Then, my computer crashed. The programs have been reloaded but Clio
doesn't seem to connected to the Microenhancer(ver 1.0). It will not "get
new oclc files." It will pull in the save screen files.
Suggestions?

We had the exact same problem yesterday. After submitting a number of
requests, around 50 or so, I went in to the Borrowing Menu and clicked on
Get New OCLC Requests. Nothing happened, except Clio had locked up my
computer.
I re-booted (twice) and still had the same problem. Finally, I deleted the
.svs file from OCLCAPPS and we went back into each request and created a
new Save Screen for each. That seemed to work, and Clio seems alright
today, but now that I know that this was not an isolated incident, I'd be
very interested in learning more about it.

I think the most important thing to consider when there are difficulties
"getting" new records is to be sure that the file locations have not
changed. If software has been re-installed there is a good possibility
that the folders were assigned new names.
In our environment, shared CLIO database, individual installations of the
Microenhancer:
Savedscreen records need to be converted on each of the machines into the
CLIO files because they are saved on the computer that created the record.
The download resides on the specific workstation that did the download so
the records need to be converted on THAT machine.
On the flip-side, CLIO files are shared so that if one employee "sends
requests to the Microenhancer" all the requests in that file (borrowing
file OR lending file) are sent to the Microenhancer at that time regardless
of which workstation input the updates to the shared database. Once the
updates are sent to the Microenhancer the updates are in the file on the
computer where the command was issued.
The hardest part of our implementing CLIO was to get everyone on the "same
page" concerning file locations.

There is a 'minor' bug in Clio 1.2h which can cause this if the savescreen
file contains a record which does not have a lender string. This would
happen if a 'Review' or 'New' record were saved by accident. This has been
reported a few times in the last week or so. It has been fixed. If this
happens to anyone, please let me know.

We have been having sporadic trouble like this for about a month, both
with getting new requests (either way) and with sending updates. I was
starting to wonder if the recent changes in OCLC are affecting the way
certain records download, or if it's a telecommunications problem on our
end or something. It seems to be random, from what we see.
One thing that helps minimize the errors involving ILLME is to make sure
that Clio is not running when the OCLC programs are and vice versa. It's
kind of cumbersome to be starting up and shutting down programs all the
time, but it seems to work. We're on NT here, and have noticed that the
OCLC programs in general do not run as well on NT as they did on 95.
Thanks to Larry for the tip about saving requests without lending
strings. If this isn't already in the manual, could it be added?

Does this mean that we can savescreen "Review" records in the
next version?
I thought it would be a nice way to track the number of unfilled
requests before we place the request and also keep track of what
patron's are ordering even if we don't fill their request by saving
them in Clio. Unfortunately when I tried I discovered that Clio does
not like the "Review" items.

I have been using the CLIO workform for lending since May and
have not had the problem you describe. I suspect it is a printer
problem. It does not sound like something that the program could
do.

We've encountered a problem with CLIO that I haven't seen mentioned before
so I wanted to see if any other libraries have this problem.
We routinely get multiple renewal requests on any given item that we procur
for our patrons. Especially for faculty, one renewal isn't enough. What's
been happening is that CLIO shows that the last date a notice was generated
was way back in June, but the new due date is now Sept 10th. But it does
NOT generate a new overdue notice. This doesn't make any sense to me, as
I'd think CLIO would go by the last date a notice was sent and we have it
set to print notices for anything that's more than 2 days overdue.
Any thoughts?

We recently installed Clio, which seems to work. The only problem is
that ILL ME won't function now. When we try to open ME, we get the

"The database (Btrieve) could not start. This is most likely due to
lack of available memory. Close any open applications and re-start
ILL ME for Windows."
Has anyone experienced this before? Any suggestions? We've tried
closing all other windows; it doesn't change a thing.

We have recently started using Clio (this week, in fact). I notice that
there are bar codes on the pull lists for lending materials that I print
from Clio. when I attempted to scan the bar code when updating, a "B"
was inserted in front of the ILL number. Is this a problem with my bar
code scanner, or is there some way I can configure Clio to read the bar
codes? I didn't notice anything about the bar codes in the manual we
received with the software, but I may not be looking in the right

Is it possible that you have the new version of the ME and the current
version of CLIO? It is my understanding that the two are not campatible.
The CLIO update has not been released yet, so I have continued to use the
Older version of ILLME until they can be installed at the same time.

I have a feeling the "B" in your barcode is your reader. I use my
barcode reader all the time in CLIO and have never had any
problems. It just worked (once the barcode reader was
programmed right - it did not work at first but my reader was not
reading ANY barcodes, not just CLIO barcodes).

We just installed ClioMed here and I've set it to print to our networked laser
printer (HP4si). When I tell ClioMed to print request records, it prints the
screen images in a goofy format: landscape, and kind of running together so
that one record is spread across two pages.
Am I correct in assuming that you all dump ClioMed records into Word or Excel
and print them from one of those apps? Or has anyone come up with a way to make
direct printing work on a one-record-per-page basis?

numbers, e-mail, and I use it for searching number of records for
patron,etc..
We are limited to sending five request per day per patron and this comes
in very useful and also for looking up information on each patron and what
they have requested. It saves requesting duplicates of same papers or
books.
I also maintain, the library database because it is useful for many
things. Free copies, Fax numbers, etc. without me having to go online and
looking up these questions.
I do not use a combination of WegZap and CLEO, so I can not help in the
area.
Not sure if I helped any, but hopefully some.

You can update patron information in much the same way as you update library
information. I find that this is an excellent project for the slower times
in ILL near the end of semesters, etc.

Just a note to let you know how things are going ---
Clio 2.0 is in final beta testing. Things are going quite well. We expect
to begin shipping shortly after we return from our upcoming trip to
Chicago, Boston and New Jersey. That will be in approximately two weeks.
Since the new version is produced using Access 97, it requires that a new,
complete version of the software be produced. We will be shipping CDs
unless you specifically ask for floppies.
As you know, upgrades are free for one year. Users who purchased Clio
after Nov. 1, 1998 will receive an update free of charge. Others may
order the upgrade for 25% of the current price of Clio according to the
number of transactions chart. We will create two web pages, one for each
category. You will be asked to provide the current shipping address and
update or confirm contact information. Users who are ordering the upgrade
will be asked for transaction volume numbers.
We will post a message to this list when the web pages are ready to accept
your input.
By the way, we like to keep our contact information up to date so that you
will receive email messages. If you have recently assumed a new position

Larry, I have a question regarding number of transactions since I wasn't here
when we originally bought Clio. Does number of transactions refer to the total
number of filled and unfilled requests that transpire per year? Or, do we only
count the number of filled requests per year?
Also, will we be billed after we are sent the upgrade or is advance payment
required (in which case we would need to receive a proforma invoice)?

Yes, it is. Click on the Billing button. Click on Review Invoices.
Select the invoice you need to delete by searching for it with
an invoice number, ILL number, etc. Once you have selected the
proper invoice, double click on the invoice number at the left to
bring up the details of that invoice. This will cause a new
fly-out window to open with details on that invoice. Double click
on the ILL number at the left and a second fly-out window will
open with more details. On this window, you should find
a line for Billing Method with a pull down menu to the right.
Open the pull down menu and change the billing method from
"invoice" to "none". Click the Close button. This will delete the
invoice.

Ah-ha! Good question. The answer is actually, pretty simply, human
error. For us, under Get New OCLC requests, both lending and borrowing
have the SAVESCRN.SVS file there (as well as the ILLME.DAT file). So,
what happened was that someone was in Lending and accidentally selected
the Savescreen file and "got" all the requests that were savescreened
(which should have obviously gone into Borrowing). I ended up just
re-entering them on the Borrowing side and deleting them from the
lending side, but it was a timely way to take care of the problem.
We keep the Savescreen file under lending for those times when we need
to "get" a lending request before we actually download all the Pending
requests (such as for a RUSH, so we can update it without downloading
it).

Hello,
I think the easiest way to get these files into BORROWING would be to
rename savescrn.old to savescrn.svs and "get" in Borrowing. (Of course
this means you need to still have that file.) A couple other ways to do
this would be to pull the records up and savescreens again OR if you have
the new microenhancer(which does NOT work with most CLIO functionality
yet), download the online produced files as a file. Either set the
directory and file name to the same path used by savescrn.svs or change the
path in the "get" screen.
(There are ways you can handle this in Access or through the Tables in
Administration but things could get really messed up if anything goes
wrong.)
After we crossed our Borrowing into our Lending file, Larry recommended
that I check Preferences - File names and delete the screen.svs file from
the Lending file names.

When we do our borrowing updates in Clio, we always adjust the due
date....we make it a few days prior to the one assigned by the lending
library. Thus, when you print your notices they reflect this date.

I don't use the patron notification letter but I do know that when you do
the updates in CLIO, after you enter the ILL number and hit , you can
go down to the due date box and either put in your own internal due date or
delete the assigned date that might appear in the box and put in your own
date. Then click on "accept" (after you make sure that you have the right
library chosen as the lender) and when you "return to the borrowing menu"
the bookstrap will print with the date you have chosen.

Several people suggested deleting the records one at a time from the
Lending table and then re-savescreening and reading into Borrowing.
This is probably the simpliest method if there are not a large number of
requests.
If you have discoverd this problem soon enough, Connie Moss suggested a way
to read the on-line produced file into the present version of Clio. Clio
2.0 will read this file directly.
If you need to delete a lot of Borrowing requests from the Lending table,
you can go to the Admin menu, select Open Tables, then Borowing Requests.
Sort the table by Borrower. All of the requests with your symbol in this
field are really borrowing requests. You can select a block of requests to
delete by clicking on the small gray square at the left of the ILL Number,
hold down the shift key and click another row. The entire block will be
selected. Click the Delete key and those records are history.

I believe that Clio 2.0 and Access 2000 will work together in much the same
way that earlier versions of Clio and Access 95/97 worked together, namely

Clio is looking for the database files. Find your cliodata.mdb file and
enter the entire pathname. You will also have to set up the file paths for

In an email that is attached, I had asked about receiving the free
upgrade for CLIO. I had mentioned that we had purchased our copy of
CLIO in September of 1998 and you replied that we would receive a free
upgrade. According to your email, we would not be included in the free

We just found a couple of lending requests in our borrowing file today. I
am not sure how they got in there. We have our lending screen save going
to the LABELS.SVS (Alt L)file that OCLC recommended. And we have our
borrowing screen save going to the SCREENS.SVS (Alt B)which OCLC also
recommended. We also have an OCLC.SVS (Alt O)for saving MARC records.
Our 'problem' sounds like human error, but my staff insists they have
done no screen saving for lending requests. We just switched to the Novell
system and I want to make sure there a problem of incompatibility with the
two softwares.
There are only two requests, one was a yes to copy and one was a yes to a
loan. The other 132 requests we replied to seemed to have gone into the
correct lending file.
I guess I'm confused by some of the comments as to how borrowing records
get into lending and vice versa. We have always downloaded some borrowing
and lending at the same time for printing. It was my understanding that
Clio sorts the borrowing records from the lending records in the ILL.DAT
file.
We are just learning how to use Clio. It's been difficult for my staff.
They feel that Clio takes too much time away from processing. I was
wondering if some of you long time Clio users can share your workflow with
me.

with use of CLIO because reading such messages helps me to anticipate problems
when we finally do purchase and use CLIO. It only takes a second to eyeball
a message, then another second to press the "delete" button if I don't wish
to keep the message for future reference, but I'd rather have messages to
delete, than to miss something.
It is reasssuring that CLIO has such responsive, and responsible, support in
the persons of Mr. Perkins, et. al.

We are using a different mode of delivery which I want to compare
(turnaround times) with the old ways (UPS/standard mail). How can I
produce a report in Clio that compares the turnaround times of these
"received via" modes?
I have looked through the options in the stats section and can show the
general turnaround time for copies/books and the actual number of items
received a certain way. I guess I'm either out of luck or not smart
enough, because I haven't found what I'm looking for.

Hi all,
Sometimes the "Accept" button is selected in the 'Update
(Lending|Borrowing) Requests' window and then you find it would be nice
to cancel that update. Does anyone know if this is a feature that will
be added in upcoming versions?
I envision being able to select the request in the completed box in the
lower right corner and being able to delete it from that list or press a
button saying 'Cancel Update'. I know you can go into the table and
manually reset the flags/fields but it should be easier.

No, CLIO! defaults to the current date when "prepare ALA form" is opened.
You can alter (forge, I guess) the date, but the year must still be a 4
digit entry. We could, I guess, enter 9999, but I don't know why we would
have to enter the incorrect date in order to get a usable date to print
out.
