Hi Clio List,

I have been struggling with the "Needbefore date" in Clio. We used to
have that info transfer over from our web forms to Clio, to OCLC. But if
the patron only put in a few days, the request would almost always
expire in OCLC before the item could be acted upon or shipped out. I
deleted the "Needbefore date" on my web form so that all requests would
be "first-come, first-served" from now on. However, we are still,
somehow, getting needbefore dates that are only a few days transferring
to OCLC. I am wondering if I should also delete the "needbefore date"
out of the Clio Request e-mail fields so that it does not transfer over.

I know that we can manually edit the needbefore date on the OCLC
request, but seems like there should be a way to get around this problem
without adding another edit step.

Any help appreciated.

Ben,

In Clio Request go to OCLC Direct information and change "Default Need By
Date to the number of days in the future that the request can still be
needed.

Another means is to apply a constant data record to a review request.  This
is how you do it.  Call up your review list in
OCLC by the command "rv: " Select a review request to modify.  Once you
have the request displayed you will need to apply a constant data record
that has the appropriate need before date to the review request by the
command "acd [constant data record name]  ".

This new version does not temporarily store requests with no IL number se=
nt to
OCLC via Direct request but relies on your downloading the direct produce=
d
messages to get the requests into Clio.  This avoids all the searching an=

spent trying to match incoming messages to the temporary ones that had no=
 IL
number.  Eliminating this should mean considerable speedup in Clio downlo=
ading=20
of OCLC messages.

In addition, the pickup location is put into the patron notes field and
transferred to the OCLC workform in the patron notes. =20

The British Library ARTEmail system has been added as a destination for r=
outing
requests.  You must have established an account with the British Library =
and
have a password to use this option.

The Borrowing Search speed of our 28,500+ active records is much faster. The converting/loading of lending requests from OCLC has gone from 8-12 minutes per 100 request to 4-6 minutes per 100. Other updating, searching and converting seems to be much quicker now. Most times have been cut in half (some cut even more!). The only problem we had was when we tried to do a backup on the server for the Clio folder. The size of the folder more than tripled! Our systems people showed us a new way to backup and we are doing okay with it now. I read your email today. This version seems to be one of the best updates we've had. My staff is very pleased with it. Not only do they like the increased speed, but they are also impressed with the "cleanliness" of the update. As of now, no bugs or other problems to report. The same comments as above can also be applied to the ClioRequest update. We all want to thank you, Dotty and anyone else that put these versions of Clio and ClioRequest together. My Staff enters the ILL request in OCLC and downloads the requests using = the microenhancer. She complete the process by selecting "Get new OCLC = requests" in Clio and receives the message the the correct # of records = are imported. She then is able to match the patron files so she is = certain the oclc requests exist in Clio. However, when she goes back in = to update the records (after receiving the articles), the Clio record is = no longer there. Does anyone know why this is happening or how to correct it? If you currently have Access 97 installed on all of your Clio workstations and it will be a while before you upgrade to Access 2000, then you can upgrade your database to the Access 97 format and improve performance. It is ClioRequest 2.3a. It requires that Access2000 be installed on your workstations. This new version avoids storing requests with a zero ILL number sent to OCLC via Direct request but relies on your downloading the direct produced messages to get the requests into Clio. This avoids all the searching and time spent trying to match incoming messages to the temporary ones that had no IL number. Eliminating this should mean considerable speedup in Clio downloading of OCLC messages. In addition, the pickup location is put into the patron notes field and transferred to the OCLC workform in the patron notes. The British Library ARTEmail system has been added as a destination for routing requests. You must have established an account with the British Library and have a password to use this option. The lending bookstrap that printed to go with the item has incorrect information on it. The ILL number, the borrower info, and everything else is wrong. It belongs to a request for a photocopy. When you do a search in Clio by the ILL number for the loan it pulls up the record for the copy. I opened the table in Access and sorted by ILL numbers. When you scroll down the list to the place where the loan ILL number should be the other record (even though it has a higher number) is in it's place. The copy record is also found farther down the list in the correct numerical order, so it shows twice in the table. I'm very confused. These were downloaded on two seperate days. I don't know if this is an isolated case or if it has happened before. Any ideas? Julie A. When updating in Clio, it would be nice if the choice we make (mail, fax, Ariel) would stay constant. As it is now we have to keep clicking with the mouse to choose "copy shipped via" or "received via". It would be so much faster to be able to just hit the return key, and only use the mouse when we want to change the shipped or received via choice. Any way this can be done? If this has been suggested already, I apologize. I haven't read my list mail for a while.
