The Univ. of Kansas Medical Center has purchased and installed Clio Doc
to serve the needs of our KUMC patrons who want our interlibrary
services dept. to fill their requests for items owned by our library.

To date, we are unable to resolve technical error messages that Clio
Doc is generating. I would be interested in hearing from anyone using
Clio Doc.
We'd like to get it working.

You have to upgrade to CLIO 3.1 in order to capture the 5 letter symbols.  I *assume* that it's a free upgrade, particularly since we have 3.0 installed.  And you don't have to de-install 3.0, you can just load over it.

There does seem to be a problem at OCLC = recently.  We=20 have notified them and they are trying to reolve the difficulty as soon = as=20 possible.

To avoid this problem you can do the following to maintain a backup of the requests without having to reenter the requests. Set up Clio Request not to delete requests from the email server. When you get new borrowing requests in Clio Request you will need to immediately open your Email client (MS Outlook 2000) then download the messages from the server. Setup your Email client to filter these emails into a folder for borrowing requests. If you have problems sending requests to OCLC and lose a request you can go to the borrowing request folder in the email client, find the request then resend it to the server. With this type of setup you will need to make sure to disable the automatic "checking for new messages" feature that most email clients have as an option. In order to setup Clio Request to not delete requests from the server go to Options/Setup Email Service Information/ then selecting "No" for the option to "Delete Mail From Server" in Clio Request. For setting up your email client to filter requests into a special folder consult you software's user's manual or online help. With this setup here are the steps to follow. 1. Open Clio Request and Get New Borrowing Requests 2. Open Email Client to download messages that have already been read into Clio Request. If you find that the number of requests is more than the number in Clio Request then you will need to determine which requests may have been sent during the time between getting new borrowing requests and downloading the requests off the server. For the requests that you determine were not uploaded into Clio Request resend them back to the email server. They will be uploaded into Clio Request when you click on Get New Borrowing Requests. 3. Do your normal steps in reviewing the requests in Clio Request then attempt to send the requests to OCLC. 4. If the some of the requests do not go to OCLC and are not in Clio Request then you can go to you email client to resend the requests to the email server. The requests will then be ready to be uploaded into Clio Request when you select the Get New Borrowing Requests button. Backing up the Requestdata.mdb file Another Method of backing up your request is to make a copy of the requestdata.mdb file after you have downloaded the requests from the email account. Go to C:\Program Files\ClioRequest\ folder via My Computer or Windows Explorer then select the requestdata.mdb file. Once highlighted go to Edit/copy then Edit/paste. A copy will be placed in this location with the name "copy of requestdata.mdb". Attempt to send requests to OCLC. If you have problems replace the requestdata.mdb file with the backup. When you replace the original with the backup be sure to keep a backup if you are unsuccessful once again. Our IT people suggested that it was essentially a connection problem with the problem being either on our end, with general internet traffic or with OCLC's network connections. Larry, does Clio Request have an error function for miscommunications with OCLC; could it be hanging because it's still waiting for the response that isn't coming? My questions: A. Is Clio going to be working on a way to purge records that are not current requests? (Not including overdue books, or lost items.) We would really like to see this happen. We don't need the records from the past nor the larger file size. B. Has anyone currently found a work around that allows them to purge old records? At times Clio Request will hang because it does not receive a reply from OCLC. If you wish to remove a patron from you records you can go to Administration/Open Tables/Borrowing Requests. Scroll to the Patron Name. Place your cursor in the Patron Name field then sort the borrowing requests from A/Z using the A/Z button on the toolbar. Once the requests are sorted by Patron Name then you can scroll to the patron that you wish to remove. Highlight all the records by clicking on the shaded area left of the first request by that specific patron then hold down the shift key then scroll to his/her last request then select it. Once selected you can click on the delete key to delete the unwanted requests. Follow the same steps with the Borrowing Archive table. Once all of the patron requests have been removed then you can delete the patron's patron record, if you have been maintaining a patron database. Another way to delete old patron requests then remove the patron's patron record is to create a custom delete query. This is possible with the ability to access the tables by opening the cliodata.mdb file using Access for Clio 2.2 or later versions or by linking the BorrowingRequests and BorrowingRequestsArchive tables to a custom database then creating a custom delete query for earlier versions of Clio. We want to get rid of all requests going back to 1999. Excluding of course the current year and anything that is not returned. I'm guessing this will be a lot of work if we have to go into each patron's record and delete their old requests, and also have to check the date returned field. Can we do as you suggest and delete requests by admin mode, but then use borrowing requests and then sort by year? (This still seems like it will take a lot of time. You will need to perform an update query. An update query can be used to remove the patron's name from the PatronName field. If you are running Clio 3.0 or above you can do the following: (Warning before attempting to perform this type of modification to your database create a backup copy of it.) 1. go to the location of your cliodata.mdb file and open it in Access. 2. In Access select the Query Object then select the New option then select the Design View option 3. Once the Design View appears close the Show table window. 4. After closing the Show table window select from the View option on the Menu bar SQL view. 5. On the SQL View add the following SQL script, replacing any existing script: UPDATE BorrowingRequests SET BorrowingRequests.Patron = Null WHERE (((BorrowingRequests.ReqDate) Between [Beginning Date MM/dd/YY] And [Ending Date MM/dd/YY])); 6. Once entered save the query as PatronNameRemoval. 7. When you run the query you will be asked for the beginning date of requests that you want the patron name removed. Once you have entered the data click OK then you will be asked for the Ending Date, enter it as well. After clicking OK you will be warned that you are about to modify X number of records. Reply Yes. If you are not running Clio 3.0 or later let me know. There are other ways to remove the Patron's name from the requests. I am looking at my Borrowing Statistics Report by Group. At the top it gives a number for Unfills. Is this a separate number or is this included in the number of loans and copies?
