Has anyone else had this problem?
Whenever I print out my lending or borrowing bookstrap, the address for the
other
library doesn't always print completely out, especially if the library's
name and address
have 5 lines.
I went back and checked in CLIO and looked in "Search Library Database,"
for a library. When I brought it up on the screen, there is the library's
name at
the top of the screen, and then there are 4 lines for the address.
I noticed that when it is printed out with the library's name, then it
counts for 5 lines,
and the bookstrap address only can accommodate 4 lines.
Can this be changed somehow?

We've been using CLIO a few weeks and I just (don't ask me how)
downloaded into CLIO a large number of old lending requests from our
other campus. My problem is, I need to delete them from my copy of
CLIO. I know we could click the "delete record" button when I'm looking
at the full record one at a time, but there are 98! Is there a way to
delete on a batch basis? I can bring them up by date req. and get a
list.

Yes, there is.
Go to the Admin menu item in Clio and select Open Tables, then Lending
Requests. This will open the entire lending request table. In the upper
left hand corner there two 'sort' buttons, labeled a->z and z->a. If you
click your mouse in any column, like ReqDate, and then clcik one of these
buttons, the entire table will be sorted forwards or backwards by that
column, ReqDate in this example.
This allows you to locate a batch of records with nearly the same ReqDate.
If you click the small gray square at the left end of any row(just to the
left of the ILL Number), the entire row will be highlighted. If you now
hold the 'Shift' key down and click another row, all of the rows in
between will be highlighted.
Now, click the 'Delete' key on your keyboard. All of the highlighted
records will be deleted. Make sure that you have selected the right set of
records and, as always, that you have a backup copy of the database!

I suggest that you re-load the files from the Clio installation set. The
disk is labeled 'Microenahncer for WIndows Data Files'. There are 20 files
on this disk. Copy them all to the C:\OCLCAPPS\ILLMewin\data\ directory.
Overwrite any file that already exists.

We have the problem any time an address it too long. I know what institutions
to watch for, so I can type the rest of the information onto the address
label. I think the problems lies in a lack of memory allocated to this portion
of the form. If you get a response from anyone with a "fix", please send it to
the List.

I thought this happened because the address on the bookstrap was coming from
the address on the OCLC form, not the library database on Clio. I've
noticed that when a library doesn't format their return address on their
OCLC constant data with " / " between the lines, the whole address tends
to run into one long line on initial Clio printouts. After I've checked
the "new libraries" and fixed things, this doesn't happen.

Hello all again
We're still having the same problem with our Lending Clio and NT...I get a
General Protection Fault when printing invoices manually. It happens on
the 2nd invoice.
My inquiry today is: Is anyone out there successfully running Clio and
NT together?
My systems guy would like to talk to you or your systems people. We think
that we just don't have something set correctly and would like to verify
some settings. We THINK its an NT issue not Clio, since my Clio works fine
in W95.

but the record just stays there forever and can't be archived because
OCLC only shows that it was received....?

Sometimes I'll update something in CLIO but receive an error message on it
when I send it up to OCLC. Usually the problem is that the other library
failed to update it in some way (i.e. they never indicated it was received
and I have since received the book back so the "complete" won't take). I
usually make a note that CLIO has been updated but that OCLC still needs to
be updated and then I send a Lender's note or a Borrower's note to ask them
to update their record. Maybe your problem is on the other end of the
record.

the "new libraries" and fixed things, this doesn't happen.

There are two sets of Clio-L archives:
Set 1: http://www2.twu.edu/archives/Clio.html
covers January 1997 - May 1999.
Archives for June 1999 through the present are stored as monthly
archives on our server here at UConn. Currently, there are 5 archive
files for the Clio-L list. Each monthly 'log' has a title corresponding
to each month and year. For instance the log that holds all the
messages posted to Clio-L in June of 1999 is labeled LOG9906.
If you wish to retrieve one or more of these logs, do the following:
1. send a message to listserv@uconnvm.uconn.edu
2. to receive _all_ the archive logs via email, include this message in
the body of the note:
GET CLIO-L LOG9905 f=mail
GET CLIO-L LOG9906 f=mail
GET CLIO-L LOG9907 f=mail
GET CLIO-L LOG9908 f=mail

The server will send the logs back to you via email.

In this case, you are the lender so you can place a Recall on the book in OCLC
and then Complete it in OCLC. You won't receive a lending credit for this item,
granted, but if it doesn't happen very frequently, I find it to be a little
faster than contacting the borrowing library. If you have already updated in
Clio, then you don't have to worry about re-updating the record in Clio. Of
course, this is purely a personal preference. I used to contact libraries, but
found it to be too infrequent to really affect our lending numbers.

Hi, this is a typical "Friday problem" for me,
This is so frustrating. I wanted to change my choice of printer in CLIO to
print off my bookbands in lending and borrowing.
So I went to File, then print setup. I chose another printer, but it still
ran the bookbands off of the printer that
I had chosen for my default printer. So I tried it again and again, and
still, it wouldn't print on the printer I had chosen.
Can anyone help?

I've had this problem too! As far as I can tell, Clio
pulls the default printer from the windows setup. So even
if you change the printer in Clio, it still goes to the
printer that Windows has selected as the default printer.
The fix is pretty easy. Simply change the default printer
in your windows setup and Clio will print it out correctly.

Betty,
Your change in CLIO will very likely become effective if you close and
then re-start CLIO. A lot of programs are written to read set up info set
up info when they load and don't re-check before each item is printed
(because that would really slow things down).

So, from what I hear you all saying, I have to change the printer setup in
Windows each time. e.g., if I want to print
on one printer the OCLC requests on carbon copy paper, and on a different
printer, CLIO bookstraps on regular printer paper.
Correct? There has to be a better way. Maybe Larry can change something in
CLIO?????

We had a similar problem and found it was easier to
change the Windows default printer to whatever we
wanted for Clio and then change the printer each time we
needed to in the other programs (like ILL ME Win). It is
much easier to change in ILL ME than in Clio, so that's
how we do it now.

i get the following message for BORROWING: "Error during archive; error
3000, reserve error(-1106) there is no message for this error".
when i try to archive LENDING, i get the following message: "error during
archive; error 3218 couldn't update; currently locked".
can anyone tell me what i am doing wrong? since we are getting mighty close
to to our limit for the year, my anxiety level is rising fast.
i've checked the preferences and don't find any setup, in either category,
which might prevent this operation.

No need for concern. There is no limit, practically speaking, on the size
of the Clio database. You have no limit to worry about, either financially
or from a performance standpoint.
If you wish to archive some older records, you may want to look at the FAQ
on our web site regarding Archiving, paticularily if you have a Novell
network. If this does not solve the problem, send me a note with some
details about your network and the size of the database.

We are proud to announce that ILL Micro Enhancer for Windows Ver 2.0 is now
available for your download and installation pleasure. The software and
electronic versions of the documentation are ready and waiting on the OCLC
Product Services Web page at http://psw.oclc.org/psw/ Use your OCLC
authorization and password to access the Software and Documentation area.
Updated product information is found at http://www.oclc.org/oclc/menu/me.htm
If you are upgrading from Ver 1.0, read the document titled "Read before
upgrading to version 2.00" for important information about upgrading to Ver
2.0 as well as about using Clio and other third party management programs.
This version of ILL ME for Windows allows you to process your ILL requests
using the "Reasons for No" functionality recently added to the online
system. As lenders, update your "No" responses with ISO ILL reasons or
continue to just say "No" without a reason. As borrowers, download the
Transaction History with your borrowing requests to view your lenders'
responses. Go to the Tools/ Options/ General tab page to select these
features.
Ver 2.0 also manages all the current Message File categories. You can
download your Direct Produced and Online Produced message file categories to
get barcoded printouts of your borrowing records. Review records are
automatically update to Review in Process during the download process.
There are many other new features and enhancements to the software such as
an enhanced Session List and more downloading and updating options. To
learn about them, go through the TourGuide (Help/TourGuide) as well as read
the Help topic "New features and changes in Ver 2.0" for a complete list.
Use the documentation items, Getting Started with OCLC ILL ME for Windows,
Third Edition to install the software and the OCLC ILL ME for Windows Quick
Reference to learn more about the program. The documentation is available
in HTML, PDF and Word 6 formats.
ILL ME Ver 2.0 & its documentation will be available only in electronic
format until the next version of the OCLC Access Suite is released later
this year. At that time you will be able to order the new Suite CD-ROM
and printed copies of Getting Started and Quick Reference.
We are pleased with the changes we've made to ILL ME, most of which were
based on your suggestions and think you'll really like this new version.

First, congratulations to Judith Carter and her team at OCLC for producing
ILL MEWin 2.0!
Next, we want to tell you where we are --
We received the file spec documentation from OCLC on August 31. We started
work immediately to make the changes necessary in Clio to make it
compatible with MEWin 2.0
The current version of Clio, 1.2h, is NOT compatible. If you want to
continue to use Clio 1.2h, DO NOT switch to the new Microenhancer yet. You
must wait until you get Clio 2.0.
Clio 2.0 is coming along well and is almost ready for beta testing. New
features, besides the MEWin 2.0 compatibility, include
- automatically sending email notices to patrons - arrivals, overdues, etc. ,
- sending borrowing requests to another library via email and
- reading, parsing and entering a lending request received via email into
the Clio database without rekeying.
These last two items will allow smaller libraries to route requests to hub
processing centers where the information is electronically read and
processed. This will greatly reduce staff time since there will no longer
be a need to key in the request.
There will also be some items from the wish list that you all know and
love. We'll try to include the most asked for items and as many others as
time and energy permit. If your favorite is not among the additions, maybe
it will make it into version 2.1!
Stay tuned for further status reports. We expect to annouce the
availability of Clio 2.0 soon.

Hi all,
This is kind of involved and a bit confusing, but here is the problem
we're having:
This is a multi-user environment with multiple people updating the Clio
database. Tracking one particular borrowing request as an example:
Request in Clio: ClioStatus=Shipped, OCLC Status=Shipped
I begin doing a download via the Microenhancer. While I'm doing that,
another user updates the request in Clio to Received. ClioStatus is then
RecLoan, OCLC status (in Clio) is Received.
The Microenhancer finishes the download, I go into Clio and 'Get New
OCLC Requests' Then, ClioStatus=RecLoan, OCLC status (in Clio)=Shipped
Now when you 'Send Updates to the Microenhancer', this update doesn't
get sent, so consequently OCLC never gets updated to Received.
A similar thing could happen with other types of updates and could (and
has) caused lots of problems. Is there some sequence of events, i.e.
downloading, updating, etc. that would eliminate this. The only
solution I can see would be to tell everyone else to not perform any
updates to Clio while I do the upload/download and subsequent Clio
update. This would mean going to the other users, telling them to stop
what they're doing for several minutes, doing the download & update and
then telling everyone to go ahead again - a real hassle. I don't see any
other course to guarantee the OCLC database and the Clio 'reflection' of
that database will stay in sync.
Any help is definitely appreciated.

As you know we have vast amounts of requests to deal with and
many clio stations in use here. To keep from tripping over the very
process you have described below, we download the shipped,
recall/renewal ok/no renewal and retry categories on one machine
at night after everyone has left. We never print these out. In the
morning before any updating gets done, we put the illme file into
clio as well as all the new requests from the day before.
The mail processing folk can then update records to their hearts
content without running into the sequence below. Very rarely we
run into problems beyond our control. This happens when the
lending library didn't update the record to shipped, sends us the
book anyway. We receive the book and later in the week another
library in the string updates the record.We download the illme file
and now the record becomes shipped again. Nothing much you
can do about that if the lending library goofs.

Ok. How are the columns defined (tabs)? Also, do multiline data (i.e.
notes) have to be in the third column, or can the data be fully
left-justified? If it has to be in the third column, any tips on how to
format form output using PERL to get it that way?

The list is very long to put on the web page.
Actually, we prioritize the items on the list keeping in mind how many
customers have asked for them. If only one person has requested something,
that isn't as high on the list as something requested 20 times.
Larry groans when a whole bunch of wish lists come in, but actually it does
help us improve our products and results in software that meets your real
needs. Too often, software is written by people who think they know what
is required, but in fact they don't. That's why we really enjoying talking
to our users at meetings and the ALA and hearing from you via email. It
keeps us working on what is important to you.

When this happens to me, and I've got to redo the updates in CLIO, it is
usually because I have forgotten to click on Accept. When the updates are
okay in CLIO, but not found in the microenhancer, it is usually because the
computer has somehow gotten rebooted before the updates are sent from CLIO
to the microenhancer. To avoid this problem, I make it a habit to send the
updates as soon as I finish updating.

Meg and DeeDee--I concur with Meg, making the habit of sending the updates
to the microenhancer as soon as I finish updating in Clio. Sometimes they
are mysteriously "lost" and do not go to the printer, instead I get an
alarming message that I have performed an "illegal operation" and the only
options available to me shut down Clio. I re-open Clio, go into the
microenhancer, do the update there, get the report and then I have to
re-enter the numbers into Clio, getting an error message each time, in order
to obtain book straps and patron notices.
On my wish list is an option to select "print the batch now", rather than
the "automatic printing" function as we now have it. Still and all Clio
Book Straps sure beat the old handwritten method we had before Clio!!!!
We copy the Patron Notices, stamp them with a form for Patron Signature and
Patron Phone number, fold them so the Patron name and date due appear at the
top of the fold, and insert these into the books for the Patron to sign when
they pick up the books. This way we have a signature showing that they
picked up the book. It saved our necks at least once!!!
The date due showing (sticking out of the book) helps us to review quickly
the status [age] of books on our Pick Up shelf at the Circulation Desk.
Some books might not get picked up and have to be pulled from the shelf for

One fix for this would be to download the IN PROCESS file and use it to get
the records into CLIO. There are a couple of things to note: on the GET
OCLC REQUESTS screen check the box that says Read In Process Records, this
will take longer than reading just the Pending. (If set to print request
sheets, be sure to turn it off before beginning.)

I need some help! Yesterday the systems Department installed the new
Microsoft 2000 Professional Software on all of the PCs in our ILL
Department as part of the library wide upgrade. Until this point these
machines ran only Microsoft word and Excel. This new software includes
Access 2000 in addition to those.
Upon opening ClioRequest this morning, we were prompted with a message to
convert our database or open the datebase and the bottom line is that
nothing seems to work now that Access 2000 has been loaded on the machine.
Does anyone know how we can fix this? Is Clio/ClioRequest compatible with
Access 2000? Do we need to uninstall the Access 2000 in order to run
ClioRequest?
Any help would be greatly appreciated!!!

My guess is all you'd have to do is reinstall clio. This happened to
me when I installed office on machines that had clio already. When
you do a typical install it removes some important part of clio.
When you reinstall clio everything is swell.

have visitors from other ILL departments come have a look.

Hi Kate,
We here at Skidmore (Saratoga Springs) use Clio and would welcome visitors. I
must warn you that as yet we are only using the statistical Clio and not Clio
Request although I have plans to check into it. I am an enthusiastic supporter
of Clio too but am willing to admit that we aren't fully utilizing its
capabilities at this point (custom reporting, e-mail notification, etc.). I
suppose we would be a good example of an interim installation....

Here is a question for you whiz-kids.
I want to automate all of my statistics, I have the OCLC statistics that
you download off the web and Clio. I have talked to various people, and
most say to get everything I need I need to work with both kinds of data in
both Access and Excel. Is this true? Or can I get excel to macro some of
the query features of access to help me. I have a director that wants
every kind of statistic she can think of, so I need to generate 27 pages of
statistics per year. If I can do this with what I have it will be easier
than having to go back to original requests and hand count for some things.

We have the CLIO software, but I am perplexed as to how to get started.
Should I put all current requests in? or just the new requests? Should I
put only a small number of requests into CLIO until I know what I am doing?
or take the plunge and put them all in there? I would like to hear about
your experiences getting up and running with CLIO. Please respond to me
