Karen,

What the manual is describing is the flow of processing requests. Update
all your RecLoan, Rec
Copy, Returns, etc. as batches. This makes the process more rapid then
non-batched requests.

The represents the term carriage return, an old typewriter term. On
your computer its the enter key.

Hi,
1. If seven requests are all made on the same date, and the first five
are excluded, how does one decide which two of the seven requests are
the ones for which copyright fees are to be paid, in terms of number of
pages?
2. If I search for a borrowing request and get "#Error" what does this
mean? I have two articles on my copyright statistics report, but I
cannot locate the title when I search borrowing requests in Clio.

Thanks for your help.

Hi,

We need to reinstall our ILL ME data files. According to the FAQ, we =
should have a disk with them on it, but my systems guy seems to have lost =
it. He said that there is somewhere on the web that we can download =
these. Does anyone know where that is? The files I'm referring to are =
the ones with names like N_yescop.DAT and N_no.DAT.

Thanks,

Clio users,

I have had a request from some Clio = users for a=20 report that they could run a Patron Status report that breaks down = titles=20 requests by the Patron's Status.  If you are interested let me = know and=20 I will give you access to my share site.  Look for the file = Patron=20 Status.mdb.  When you download the file follow=20 the instructions below.

1. Start Patron Status.mdb by = double-clicking=20 on the file.
2. When you double-click the file, you will get an = error=20 message which says
"C:\xxx\cliodata.mdb isn't a valid path. Make = sure=20 that the name is spelled
correctly....".     = When you=20 click 'OK' the mdb opens and then you can
proceed with the = rest.
3.=20 Access will then start up and open the file.
4. At the top your = monitor=20 screen there is a menu item called 'Tools'.
Select = 'Add-Ins'=20 and then 'Linked Table Manager'.  The = 'Linked
=20 Table Manager' screen will appear.
5. Check the small check box = in the=20 lower left labeled 'Always prompt
for new = location'. =20 Click the 'Select All' button.  Click 'OK'.
6. You get the = usual=20 Windows dialog box to allow you to point it to the
= location=20 of your cliodata.mdb database.  When you find it, and select=20 it,
click the 'Open' button.  You should get a = message=20 which says 'All
linked tables were successfully=20 refreshed'.  Click 'OK' then close
the Linked = Tables=20 Manager window.

If you are interested in breaking it down = into copies=20 or loans, create your
report off of BorrowingRequestUnion2, Copy = Union,=20 or Loan Union.  I hope
this helps.

In the list of installed programs find Clio. Highlight the program from the list and select the button Add/Remove. The Clio program should run its auto uninstall feature. Both lending and borrowing records are not getting into CLIO somehow! We try to update them but the are not in the database. Why is this happening? They seem to be form t he same few days -- Aug 14th-18th. I asked my staff if they are remembering to do every step -- the downloading, the savescreens etc. but they *swear* that they do. Is there some way to copy the lending records into CLIO? The load of this latest version was supposed to clear up the problem, but it hasn't. The odd thing is, the transfer of the lending information occurs with some requests, but not with others, and the problem is not one of updating or anything like that. If anyone has a suggestion to fix this, it would be much appreciated. Upload records into Clio using the Microenhancer. The Microenhancer can be used to upload all the records that should be in Clio. When you go to upload from the Microenhancer select All. After completing the upload go to Clio and upload the records by selecting Get OCLC Messages for each side. This should upload all active records into Clio. On the Lennding side to read In Process records into Clio select the "Read In Process Records" option box on the Get OCLC Messages screen. Do not use Savescreen and Microenhancer together for uploading the same file. To set the default ship method go to Preferences/General/. At this time select either Loan Ship Methods or Copy Ship Methods. Use your mouse to select the row that has the type of shipping method needed for default e.g., ariel. then click the button "Set defaults for Copy" if its a copy request. One is to wait for the request to be updated to shipped. The next option is to do a Savescreen on the record and read it into Clio. In most cases the request will eventually get into Clio. The lender has to update the request to shipped or the request will remain In Process for seven days, I believe, then it will go to the next lender on the lender string. I would use the updated version that is online. This has the latest corrections. 2. When you download. I would download the Online Produced, Direct Produced and conditionals, cond/pend, unfilled and pending daily. These message files have the main information needed for Clio. There are times when a transfer does not succeed when using the Microenhancer. When this occurs download the shipped files for borrowing. I would do this about once a week. If you have trouble with the pending requests for lending select the In Process msg file for download. On the lending side go to Get New OCLC Messages select the option to Read In Process Records. As for the other message files I would download those twice a week. 3. The preferable means of getting new OCLC requests into Clio is through the Microenhancer. At times a request may not get into Clio due to the fact Microenhancer's transfer did not properly download. In this situation you can go back into Passport create a savescreen of the request. This request can now be uploaded into Clio via the screens.svs file. 4. The clock problem is a result of where the designer of Clio had the time set for Pacific time. This will not affect the download. The current download session will be shown first in the session list. 5. The main file that needs to be backed up is the cliodata.mdb file. This file contains all of your settings as well as all of your interlibrary loan requests. If you do have an error downloading pending the requests status in OCLC will change to In Process. The only way to get these requests into Clio is to download the In Process files via the Microenhancer. Another reason for the problem with updating to Yes is the that the request has gone to the next lender on the lender string before you could update the request to YesCopy or YesLoan. As for the other problem with NLM's docline I have forwarded the message to Larry. Judd Knight Clio Software Support ----- Original Message ----- From: "Edwards, Alice J." Downloading the Online Produced will do the same thing as Savescreen. As for Conditionals they should be updated via Clio. If you download the Conditionals using the Microehancer then upload them into Clio you can then update them in Clio to Yes or No conditional. The request cannot be downloaded twice. The request can only have one status in OCLC at a time. When the requests is downloaded as a conditional it just changes the OCLC status in Clio. This make it possible to do a search for request in Clio that are conditional. A query for conditionals should be done with the request date as a criteria. I hope this helps. It would be really nice if Clio would give you the option of selecting groups of libraries to see their turnaround time. Currently we can only see what our average turnaround time is for all libraries. I need to see what the turnaround time is with individual libraries. ____________________________________________________________________________ Deborah A. To resolve this problem, I want you to have your staff avoid using the Savescreen in Passport. If you find that records are missing on the Lending side read In Process records into Clio. Select the "Read In Process Records" option box on the Get OCLC Messages screen. Do not use Savescreen and Microenhancer together for uploading the same file if it already was uploaded into Clio with the same status e.g., If you upload the online produced at the beginning of the day that should retrieve all the requests that were created they day before. At this time there would be no reason to upload SaveScreens. The uploading of Savescreens would be a duplication of Microenhancer process. There may be some times when using the Savescreen function is necessary. An example would be if you have created a record the previous day and the next day after uploading via the Microenhancer you find out from the patron that you need to add more information to the request ( like a volume no.). At this time you would go into Passport call up the record. If the status has not changed to ship you could go ahead and modify the record then do a SaveScreen. Now go to Clio and retrieve the savescreen. Go to Start at the bottom of your screen. Click on it. Then select programs from the pop-up list. Another pop-up list should appear to the side. Select from the programs windows explorer or NT explorer, (if you have NT). In windows explorer look for the cliodata.mdb. If your running clio through a network the program should be on a network drive. Proceed to a network drive. Highlight the network drive letter with your mouse then click on Tools option on the menu bar at the top of windows explorer. At this time select Find/Files or Folders. A pop-up window should appear. In the Named: field type in cliodata.mdb. In the Look in field you should see that the drive that you had selected should be displayed. Also make sure the option box "Include subfolders should be checked off. When this is done click on the Find Now button. The network drive will be now queried for the cliodata.mdb. If its on this network drive you should see it displayed in the results. If it is there look at the column entitled In Folder. This will tell what folder the cliodata is located. Write this down. Now Close the find window and explorer. Start Clio. When it asks you to find the cliodata.mdb file click OK then browse to the folder that you have written down. Select it then you will notice that clio is relinking tables. After this is done make sure that this is the correct cliodata.mdb by going to one of the other PCs with clio, Start it and check Preferences/Data Directories/Clio Database Directory. If the location of the cliodata.mdb on your PC is the same then you are back in business. I hope this helps.
