We expect to announce Clio 3.5 in mid-October. Some special
features to be included:

Anytime you attempt to perform a search of the title in Clio place an
asterick before the abbreviated title, e.g. *Adventures of huckleberry finn.
You can enter a portion of the title, e.g. *huckleberry. This search will
retrieve all titles with the word huckleberry.

Nancy,
If you are using Clio 3.01 or above and the option to review the new lending
requests in Clio you can reprint lending requests that did not print due to
printer problems, etc. In such a situation you will need to select the
Reprint New Lending Requests option under Administration. Once you have
selected the option you will need to enter the time just before you
attempted to print the pick slips.

there's some glitch with the printer. We want to know if we can still print

but that form is not nearly as useful as Clio's--hope this makes sense to
you.

I guess for records, I could search for those with status "unfilled" or

anymore.

Here is a stumper for all you computer literate:
We use a program that my husband wrote in conjunction with CLIO to generate
detailed borrowing by department reports. These reports are broken down by
each department on campus and show the patron's name, department, and the
request info, and its status. The report draws from the information in the
patron line of the OCLC request, which we format like this:
Smith, John Dept. PSY Status: fac
However, what becomes cumbersome, is that we have to have a different
patron line in our database for each department a person is ordering for
(i.e. we might have five John Smith's in the database ---all the same
person---but he is ordering ILLs for different departments). Is there an
easier way to have only one patron entry per person in our CLIO database but
still generate these detailed reports?

In order to create an invoice for a requests that was not at first updated
with a billing method of invoice click on the Search Lending Request button
on the Lending Main menu. On the lending Request search screen perform a
search for the request that you want to create an invoice. Once you have
retrieved the request in your results double click on the request to display
the lending request details screen. Click on Edit Record. In the text box
entitled Billing Method enter the word "invoice" without the quotations
marks. In the lending charges text box enter the amount you want to bill.
Once this has been done close the lending request details screen then return
to Billing. On the Billing screen click on Create/Print new Invoices. This
will create the invoice.

The archiving process is a way to speed up the process of updating and
sending requests to the Microenhancer. For some institutions with a heavy
volume of requests and the database residing on a slow network archiving is
essential. "Completed" requests are moved to the archive tables,
BorrowingRequestsArchive and LendingRequestsArchive. Another advantage is
the ability to remove old patrons from the patron record database (table).
As long as there are requests from the patron in the active table Clio will
attempt to regenerate the patron record, when reviewing new patrons, if it
is deleted. If you archive their requests into the archive table then Clio
will no longer consider the records for a potential new patron Therefore if
you delete the patron record the record will not be regenerate when
reviewing new patrons.
Requests that will archive:
In order for a borrowing request to archive it must meet the following
conditions.
1. The status internal must be either RecCopy, Unfilled, Cancelled, or
Returned.
2. The reqdate and statistics date (if it has a statistic date) must be
prior to the archive date.
3. The StatusUpdateNotReported should be "No"
These fields can be seen by going to Administration/Open Tables/Borrowing
Requests. You don't have to look at the fields but if you were curious as to
why one of the requests did not archive then you can determine why.
Archiving requests on the lending side will depend upon not only the
completed status (YesCopy, No, or Complete) and whether the request has been
reported to OCLC (StatusUpdateNotReported field should be "No") but on
whether the request meets the standards that you set when you begin your
archive. If you have the option to only archive paid requests then requests
that have invoices as the billing method should have a "Yes" in the
PaidVerified: field. If you have the option to archive only verified IFM
requests then the PaidVerified: must have a "Yes". If lending requests that
are completed but do not meet the standards of verification that is needed
due to their billing method then they will not archive until they are
considered verified or you can select the option to archive paid and unpaid
lending requests. You can also choose to archive IFM records that have not
been verified.
As for disadvantages,
There are no disadvantages. The requests are still available to reports run
in Clio. The reports pull potential information from both the active tables
and their corresponding archive tables.
The reason why some people have problems is due to an attempt to archive a
lot of requests at one time. A lot of servers will time out or do not allow
sufficient number of record locks to perform the process. In these
situations it is best to perform the archiving process in increments.
Before archiving determine the oldest requests in your borrowing and lending
request tables by going to Administration/Open Tables/Borrowing requests or
Lending Requests. Scroll to the date requested field place your cursor in
this field then select the sort A/Z button on the toolbar. The oldest
requests will sort first. Once you have determined the oldest requests then
it is time to archive your first increment of requests. For example if you
have borrowing requests that date back to the beginning of 2000 then I would
archive the first six months of that year.
If for some reason a Clio user still has problems I usually suggest that
they place a copy of the cliodata.mdb file on a local machine then perform
the archiving on the local copy. If this is done you will need to make sure
that the original cannot be accessed.
After Archiving:
Once archiving has been completed then a compact and repair of the database
is performed. Some Clio users forget to perform this step therefore they
continue to have problems with Clio remaining sluggish. The compact and
repair process will prompt you to save the file. You will call the file
cliodata.new. Once the file is created you will rename the old cliodata.mdb
file to cliodata.old then rename the cliodata.new to cliodata.mdb. If you
have moved the cliodata.mdb file to a local machine you will at this time
place it back in the original location, replacing the original non-archived
copy.
Relinking:
(Only required for Clio 3.0 and above users)
Once this has been done you will need to relink. In order to relink go to
Preferences/Data Directories. On the Data Directories window select the
relink button. You will then get a message, "This function will allow you
to connect the Clio Program to a different Cliodata file. Is this what you
want to do?? Reply to this message by clicking on "Yes". You will then
get a message that Clio needs help finding the Cliodata database, click
"OK". At this time you will need to browse to the location of your
cliodata.mdb file. Once you have found the cliodata.mdb file select it then
click on the "Open" button. Clio will then relink the cliodata tables back
to the program. You will need to do this process on each machine that has
the Clio program.

Karen,
If you have a request that is going to be cancelled since it is held
in-house you can enter the request as an ALA then Update the borrowing
request to Cancelled and add the note that the request was filled in-house
to the borrowing notes text box. As for requests that are received in Clio
Request, if you plan to send the request to a branch library or cancel it
you can change the routing to Email or ALA by double-clicking on the request
then changing the routing to appropriate selection. Process the request as
an ALA will give you the option to print the request in ALA format, not as a
screenshot. Both methods will create a record in Clio with a negative
number. You will need to update these requests to cancelled then place a
note in the borrowing notes text box that they were filled in-house.
FYI: In my opinion the only requests that should be updated to Unfilled are
requests that will not be re-requested to other institutions, in short, all
of potential avenues getting the material have been tried.

I've loaded Clio and Clio Request and I'm beginning to look at how the
borrowing portion works. I'm confused about something and I can't seem to
find anything about this in the manual.
In our library, patrons will sometimes submit requests for items that we
either have or we might have in our branch libraries. In the former case,
we would cancel the request totally. In the latter case, we usually print
the request and send it to our branch library for in-house photocopying. We
might also cancel a request because we're over copyright, or other reasons.
If we cancel a request because the item is held or we're over copyright,
etc., we don't want to send the request to OCLC or Docline, but we do want
to keep a record of it. I only see the option to "delete record." Is there
a way to cancel requests submitted (not route them on), yet keep a record of
what was requested for statistical purposes?
If the request should not be sent via Interlibrary Loan, but rather to one
of our branch libraries for copying, how can we print the request? I tried
printing a request within ClioRequest and it just looks like the screen.
Fields that extend beyond the editable area don't print out and the right
side of the screen is cut off. How can you get a better printout? If you
can't get a better printout, then perhaps we can route it via e-mail to the
branch libraries.

I archived using the date "Archive Requests with Statistics Date earlier
than: 043002" and when I bring up my "Borrowing Request Search" it has a
record dated 010815 the status is returned the OCLC status is RENEWAL OK it
has a received date and returned date. Why didn't this record archive?

We just updated to CLIO 3.1c.
I had not archived since then.
When I tried to Archive Borrowing Requests
I got the dialogue box with the error message
"Error in Archive button click 3073 Operation
must use an updateable query"
I tried to change the date but got the same
message.
What should I do next???????
Richard was also by and did a patch so we
could enable ClioWeb but I did not think that
was on the active database yet?

Why is it, when I use the "new" feature in OCLC Passport to produce a new
lending string and thus, request, from an unfilled request, that it doesn't
get into CLIO when I do downloads from ILLME? I have the online produced
field checked when I download. Yet, these "new" requests aren't showing up
in CLIO.

We have several Distance Education students who use our online resources
to order items. At the current time we supply articles from our library
and order other articles for them from other libraries and also we send
books from our collection, but not from other libraries (although I know
there are some of you who do that also).
When I find requests from Distance Education students in my review file
which can be ordered from other libraries, I process them the same as I
would a request from an oncampus student. However when they are found
in our library, I make an ALA form in Clio or Clio request and list EXN
our symbol as the lender. That way I have them in Clio. Is there an
easier way of dumping them from the review file into Clio without having
to manually make a request in Clio?
I could save them and then upload the save file, but I think there may
be a problem in making EXN the lender. Am I wrong? What are the rest
of you doing?

I may have emailed this question before but only recieved a response
from one person who said they had no troubles.
I am using CLIO 3.1. It is taking quite a long time to get the oclc
messages. In fact it took over an hour to retrieve the new borrowing
messages.
We are also constantly getting error when we get new messages to put
into CLIO.
It also takes quite some time to update information. i can usually
input the ILL numbers continuously. But now there are times when it
takes 30-45 seconds for clio to accept the ill number. At times I have
had to get out of clio and come back in order to update the information.
Sometimes while updating, I will get a message concerning creating an
invoice. Clio then closes on me.
There are also times when I am updating information and I get a message
saying that a table is already opened exclusively by another user or it
is already open thorugh the user interface and cannot be manipulated
programmatically.
Can anyone help me with these issues? Are they all related? Are these
kicks that will be taken care of with the next update of Clio? Is it
associated with programs we are using?

Does anyone know what this error message means?
"Error 2101: The setting you entered isn't valid for this property."
I get this on occasion when adding a Docline request into Clio. It doesn't
happen every time and the error doesn't seem to cause any problems as the
requests get entered into the database all right. I don't understand why it
would come up with some requests and not others when I'm doing the exact
same thing.
